1.0 PURPOSE :

The purpose of this procedure is organizing our workplace (shop


floors & office space) to improve productivity, quality &
performance, to reduce waste and to impress customers.

2.0 SCOPE:

Applicable to all the areas including office, equipments, machines &


tools of the organization.

3.0 RESPONSIBILITY:

– 5S Kaizen Team comprising of all HODs. Leader - Head of


Production / Head of HR & IR (for HO).
– All HODs are responsible for their respective area.
– Plant Head of HR & A / Executive (HR) will supervise 5S
activities using General 5S’s Checklist.
– Audit Team comprising of MR, Head of Quality System /QA
& Head of HR & IR will conduct monthly audit.

4.0 AUTHORITY:

5.0 DEFINITIONS/ ABBREVIATIONS:

5S: 5S is the acronym for five Japanese words, SEIRI, SEITON,


SEISO, SEIKETSU and SHITSUKE which signify sort, set-in-
order, shine, standardize and sustain.

6.0 PROCEDURE:
6.1 5S Kaizen Team creates awareness throughout the
organization. Display 5S posters in all areas. Make & distribute
5S Card to each employee.

6.2 Arrange training program for all employees to explain 5S


principle and its impact on work place organization & office.
Continue to arrange training at least once in a month for 15 – 20
minutes.
6.3 First start to implement 1S, i.e., SEIRI means sorting through
everything in each work area and discard unnecessary items. Use
Red Tag (F07-13-01) in all unnecessary items mentioning item
name, date, disposition method etc. Continue sorting every day for
1st one month, then once in week.

6.4 Next implement 2S, i.e., SEITON means set-in-order all necessary
items facilitating easy pick up for use. There is a place for everything
and everything in its place. Then move on to 3S, i.e., SEISO means
systematic cleaning / shining floors, working table, equipments,
machines tools etc. Ensure that cleaning / shining supplies are as
close to the work areas as practical.

6.5 4S, i.e., SEIKETSU ensures that the first three steps of the 5S
program continue to be effective. The good practices developed in the
first three steps need to be standardized. Use “One-point Lessons”
(WIPJ 5S-01) for first 3S’s as reference standard.

6.6 Finally implement 5S, i.e., SHITSUKE means sustaining


discipline. Maintain standards and keep the facility safe and
efficient order day after day, month after month and year after year
by monitoring the results of the program through General 5S
Checklist (F07-13-02 & F07-13-03), 5S Audit Score (F07-06-14 for
Plant & F07-13-04 for Office) and 5S Thermometer (F07-13-05) which
shows level of achievement.

6.7 Plant Head of HR & A / Executive (HR) will monitor the 5S


activities and progress as per General 5S Checklist (F07-13-02) & 5s
Office Checklist (F07-13-03) on daily / weekly basis. MR / Head of QA
/ Head of HR & IR will conduct 5S Audit (F07-06-14 & F07-13-04)
once in every month. Auditor will also take necessary photos in
Kaizen format (F07-13-06) to show improvements before and after
implementation. The findings of daily checklist and monthly Audit
score report will discuss in a monthly meeting to take a time-bound
