process becomes increasingly complex. Manual processes, such as using logbooks or basic
spreadsheets, can lead to inefficiencies, inaccuracies, and loss of valuable resources.
This study focuses on developing a computerized borrowing and inventory
system to streamline the process in a university library. The proposed system will
automate the tracking of borrowed books, monitor inventory levels, and provide detailed
reports, thereby improving the overall efficiency and reliability of library operations.

Problem Statement
The current manual system for tracking borrowed books and managing inventory in the
university library is inefficient and prone to errors. This has led to several issues,
including:
• Misplacement or loss of books due to inaccurate records.
• Difficulties in tracking overdue books, resulting in fines or replacement costs not
being collected.
• Challenges in maintaining up-to-date inventory, making it hard to know when to
reorder or retire books.
• Time-consuming processes for both library staff and users, leading to decreased user
satisfaction.

Objective of the Study
General Objective
The general objective of this study is to develop and implement a computerized
borrowing and inventory system for the university library that will improve the efficiency
and accuracy of managing library resources.
Specific Objectives
1. To design a system that will automate the process of recording borrowed and
returned books.
2. To create a database that will keep track of all library inventory, including book
details, quantity, and status (available, borrowed, reserved).
3. To implement a notification system for overdue books, reminding users of due dates
and alerting staff for follow-up.
4. To generate reports on inventory status, borrowing patterns, and overdue books to
assist in decision-making and inventory management.
5. To improve user satisfaction by reducing the time taken to borrow and return books
and increasing the accuracy of the records.

Scope and Limitations
Scope
The system will focus on automating the borrowing and inventory management processes
within the university library. Key functionalities will include user registration, book
cataloging, borrowing and returning processes, overdue notifications, and report
generation. The system will be accessible to library staff and users within the university
campus.
Limitations
• The system will not include online or off-campus access due to network security and
data protection concerns.
• The system will only handle printed materials (books, journals) and will not manage
digital resources like e-books or online journals.
• Integration with other university systems (e.g., student information system) is not
included in the initial phase of the project.
• The system will require periodic maintenance and updates, which are not within the
scope of this study but will be recommended for future work.
