Project Time

Management

DEFINITION
What is Project Time
Management?
Project time management is the
stage of defining the processes that
need to be carried out during the
project
related to guaranteeing that the
project can run on time while
taking into account the limited
costs and
maintaining the quality of the
product or service from the project.
PROJECT TIME MANAGEMENT
PURPOSE

Understand the importance of

project schedule and good project
time management
Define activities as the basis for creating
a project schedule
Explain how project managers use
network
and dependency diagrams to determine
the sequence of activities
Understand the relationship between
resource estimates and project
schedules Explain how several tools
and techniques can assist project
LEARNING
OBJECTIVES
Use Gantt Charts to plan and track schedule
information, find the critical path of a project,
and explain how critical chain scheduling and
PERT (Program Evaluation and Review Technique)
affect schedule creation
Explain how project management software
can assist in project time management
The realities and issues related to the control
and
management of changes to the project
schedule
The Importance of the Project
Schedule
Project managers usually consider timely delivery of results to be the biggest challenge
Issues regarding the schedule are the main cause of conflict in the project, especially in the
second half of the project
Time is the most inflexible quantity; time will pass no matter what happens to the project
Conflict Intensity During the Life of
the
Project
Schedule Conflict
Cause of conflict:
individual work
style Cultural
differences
Myers-Briggs type indicators focus on individual behavior
towards structure and deadlines
Some individuals prefer to stick to schedules and meet deadlines
while others do not
Cultural differences even for the same country will have
different behavior towards schedules
Project Time Management Process
Activity definition: identification of specific activities that project
team members and stakeholders must perform to produce
deliverables Activity sequencing: identification and documentation
of linkages between project activities
Estimated resources for each
activity Estimated activity duration
Schedule creation: activity sequence analysis, resource estimation
analysis for each activity, and activity duration analysis to create a
project schedule
Schedule control: controlling and managing project schedule changes
Activity Definition
Activities or tasks are work elements that are usually found in
WBS that require duration, cost, and resources
The project schedule is the fundamental document that
initiates the project
The project charter includes the start and end dates of the
project, as well as budget information
The scope statement and WBS help determine how the
project will be carried out
Activity definition includes the development of a more
detailed WBS and explanations that support an
understanding of how the work will be carried out, so that
realistic estimates of cost and duration of work can be made.
List of Activities and their
Attributes
The activity list is a tabulation of activities that will be included in
the project schedule. This list should include:
Activity name
Activity number or ID
Brief description of the activity
Activity attributes provide more information about each activity, such
as about previous activities, subsequent activities, logical
relationships, resource requirements, constraints, final dates, and
assumptions about activities.
Activity Sequencing
Includes reviewing the activities that must be done
and determining their dependence on one another
Dependencies or relationships between activities
related to the sequencing of activities or project tasks
Must determine dependencies between activities for
the benefit of critical path analysis
Three Types of Addiction
Mandatory dependencies: consistent with the nature
of the work to be performed in the project; often
called hard logic
Discretionary dependencies: determined by the
project team; often called soft logic and should be
used with care as it may limit future scheduling
options
External dependencies: includes the relationship
between project activities and non-project
Determine Budget
Overview
Determine the budget is the process of aggregating
the estimated costs of individual activities or work
packages to establish an authorized cost baseline.

Key benefit: it determines the cost baseline

against which project performance can be
monitored or controlled.
Network Diagrams
Network diagrams are a technique used to
show sequencing of activities
A network diagram is a schematic view of the logical
relationships between project activities or the
sequence between project activities
There are two main formats, namely:
Arrow Diagramming Method (Activity on Arrow or
AOA) Precedence Diagramming Method (PDM)
AOA
Example

Assume that all durations are in days; A=1 means activity A has a duration of 1
day
Arrow Diagramming Method (ADM)

Also called AOA (Activity On Arrow) network

diagram Activities are indicated by arrows
Points (nodes) or circles are at the start and end
of the activity
Can only show finish-to-start dependencies
Precedence Diagramming Method (PDM)

Activities are declared using boxes (boxes)

The arrows show the relationship between
activities PDM is more popular than the ADM
method and is used by project management
software
Better at showing different dependency types

Project)

Schedule Making

Use the results of the time management process to

determine project start and finish dates
The main goal is to create a realistic project schedule that can
be used as a basis for monitoring project progress in the time
dimension
Related tools and techniques
are: Gantt Charts
Critical Path Analysis
Critical Chain
Scheduling PERT
