2. First Draft Delivery Sending draft
Subject: First draft ready — [Project Name]
Hi [Client Name] ,
Your first draft is ready. Please find the PDF preview attached.
A few notes:
This is the initial layout and design direction based on your brief
All content has been placed per your outline — please check for accuracy
Feel free to flag anything: text changes, layout preferences, color adjustments
For revisions, please send your feedback as a numbered list referencing specific slides. For
example:
1. Slide 3 — Change headline to "Market Opportunity"
2. Slide 7 — Swap the bar chart for a pie chart

Your presentation is complete. Here's everything:
[ClientName]_[ProjectType] _FINAL.pptx — Editable PowerPoint with embedded fonts
[ClientName]_[ProjectType] _FINAL.pdf — High-quality PDF export
Loom walkthrough — [paste Loom link here]
The Loom video walks through the full deck slide by slide, so your team can see the design
choices and flow.
It was great working on this. If you need any presentations in the future — pitch decks, sales
decks, quarterly reports, or anything else — I'm always just an email away.
Best,
[Your Name]
P.S. If you were happy with the work, I'd genuinely appreciate a quick testimonial — even 2–3
sentences. It helps more than you'd think:
What was the project?
What did you think of the result?
Would you recommend this service?
No pressure at all — just if you have 2 minutes.
5. Testimonial Request 3–5 days after
Subject: Quick favor — 2 minutes?
Hi [Client Name] ,
Hope you've been getting good use out of the [project type] . I wanted to ask a small favor.
If you were happy with the work, would you mind sharing a brief testimonial? Even 2–3 sentences
would be incredibly helpful. Here are a few prompts if it's easier:
What challenge were you facing before the project?
How was the experience working together?
What was the end result or impact?
You can just reply to this email with whatever feels natural. I'll only use it with your permission,
and I'm happy to keep it anonymous if you prefer.
Thanks again for trusting me with [project description] . Really appreciated the opportunity.
Best,
[Your Name]
6. Repeat Business / Upsell 2–4 weeks after
Subject: Quick thought on [Company Name] 's presentations
Hi [Client Name] ,
Hope things are going well since we wrapped up the [project type] . I wanted to check in — do
you have any upcoming presentations, reports, or decks on the horizon?
A few things I help clients with regularly:
Quarterly board/investor updates
Sales and proposal decks for new prospects
Internal training or onboarding presentations
Monthly retainer packages for ongoing needs
No pitch — just wanted to stay on your radar. If anything comes up, I can usually turn things
around in [48 hours / a few days] .
Best,
[Your Name]
7. Referral Request After positive project
Subject: One more thing
Hi [Client Name] ,
Glad you were happy with the [project type] . Quick question — do you know anyone else who
might need presentation support?
I work with [startups / agencies / consultants / executives] who need professional decks but
don't have the time or in-house design team to do it. If anyone comes to mind, I'd really
appreciate the introduction.
Happy to offer [a discount on your next project / a free minor update to your deck] as a thank-you
for any referral that turns into a project.
Thanks again,
[Your Name]
Tips for Client Communication
1. Respond within 2–4 hours during business hours. Speed = trust.
2. Keep every email under 200 words. Respect their time.
3. Always confirm deadlines in writing. "I'll have this to you by Wednesday" = accountability.
4. Never send the editable PPTX until final payment clears. PDF previews only.
5. Over-communicate during the project. Silence makes clients nervous.
6. Follow up once for a testimonial, once for future work. Then stop. Don't be annoying.
7. Save your best client interactions as templates. The more you standardize, the faster you
move.
