Job summary;
The Warehouse Store Assistant supports daily warehouse operations, including receiving,
storing, issuing, and maintaining medical, surgical, laboratory, and administrative supplies. This
role ensures accurate inventory handling, timely fulfillment of departmental requests, and
adherence to safety and hygiene standards in a healthcare environment.

Key responsibilities;

1. Receiving and inspection:


 Unload, check, and record incoming shipments against purchase orders.
 Report damages/shortages and label items with expiry dates/lot numbers.
 Ensure temperature-sensitive items (e.g., lab reagents, Surgical instrument and items)
are stored promptly

2. Storage:
 Stack and store items in designated locations (shelves, bins, cold storage).
 Apply *FEFO/FIFO* (First-Expired/First-In-First-Out) principles.
 Maintain clean, pest-free, and well-organized storage zones.
 Receive, inspect, and record incoming stock against purchase orders.
 Store inventory in designated locations, maintaining accurate records of stock levels.

3. Inventory Support:
 Assist in cycle counts, stock audits, and expiry tracking.
 Flag low-stock or near-expiry items to supervisors.
 Update bin cards/ERP system for issuances and returns.
 Conduct inventory checks to ensure accuracy and identify any discrepancies.
 Create and maintain a daily checklist for critical or expensive items to ensure proper
handling.
 Manage expiry dates of products, ensure proper rotation of stock, and prevent ex-
pired items from being used.
 Notify the supervisor or procurement team of any non-available items that require re-
ordering.

4. Documentation:
 Maintain logs for goods received/issued, damages, and returns.
 File GRNs (Goods Received Notes) and issue vouchers.

Key performance indicators (KPIs);


1. Order accuracy rate: Percentage of orders processed without errors.
2. Inventory accuracy rate: Percentage of inventory items accurately recorded and accounted for.
3. Order fulfillment time: Average time taken to process and fulfill orders.
4. Expiry management compliance: Percentage of products with accurate expiry date
management.
5. Notification response time: Time taken to notify the team of non-available items.

5. Physical Demands: Regular lifting, bending, and moving stock.


6. Schedule: Rotational shifts; occasional emergency support for critical demands.
