Reception facilities differ significantly between large and small firms, with larger organizations typically featuring spacious, dedicated reception areas equipped with advanced technology and multiple receptionists to handle various tasks. In contrast, smaller firms often have basic reception areas that may also serve administrative functions, with usually only one person managing all receptionist duties. Additionally, larger firms implement shift systems for coverage, while smaller firms may have the owner or a single employee fulfilling these responsibilities alongside other tasks.

QUESTION:

In what ways are the arrangements for the reception facilities likely to differ between large and
small firms?

Within larger and smaller organizations, the receptionist facility is likely to have a differing
appearance, firstly, due to the various size and complexity of their facilities. In larger firms, there
is often a dedicated reception area with spacious layouts that includes numerous desks, waiting
lounges, state of the art security systems and advanced electronic check in systems that allow
receptionist to easily manage visitors that enter and exit the company, whereas, in smaller firms
they may only be a basic reception area that also double as a space where administrative tasks
are carried out. Lastly, because of staff and roles, within larger firms, they are likely to employ
multiple receptionists to perform the role of managing calls, managing deliveries, managing
expected and unexpected callers and visitors, etc or employ them in specific parts of the some of
the roles outlined above, for example, one person may be assigned to answer only calls in
reception or greet visitors entering and leaving the organization. In larger firms, employee also
work in a shift system that ensures the organization has coverage throughout the day. While in
smaller organizations, they will be only one staff who handles the tasks of a receptionist, in
addition to managing the reception area and performing their clerical duties. In small firms, the
owner or another employee may take up the responsibility of performing the receptionist duties
in addition to some clerical duties in order to ensure the company is running smoothly.
