ClaimPoint is an advanced web-based Lost Found management platform meticulously


crafted to digitize, streamline, and automate the management of lost and found items
in institutional environments, notably universities, hospitals, and transportation hubs.
Historically, handling lost property involved tedious paperwork, unreliable physical logs,
or incomplete spreadsheets, leading to delays and considerable inefficiencies.
The need for a secure, centralized, and user-friendly system has grown as organizations
become larger and more dynamic. ClaimPoint utilizes modern cloud infrastructure and
AI-powered matching algorithms to ensure efficiency, security, and transparency. Users
can log detailed lost or found items, including images and descriptions, through a seamless,
responsive interface.
Administrators gain powerful dashboards to track, categorize, and manage items, while
claimants and finders are kept updated with instant notifications. ClaimPoint stands out
for its flexibility in adapting to organization-specific requirements and scaling for different
operational sizes, ensuring no lost property goes unnoticed or unreturned.
Through end-to-end digital transformation, ClaimPoint transforms the lost and found
experience for all stakeholders. It brings automation, analytics, auditability, and robust
data privacy, empowering organizations to vastly improve return rates and user satis-
faction, enabling a smoother, safer campus or facility experience in today’s fast-paced
world.

Background and Present State

Lost and found management has long been a neglected, manual process, often fraught with
inaccuracies and inefficiencies. Traditional systems rely on paper-based logs, scattered
spreadsheets, or minimal digital tools, making it difficult to reconcile lost and found claims
in a timely or accurate manner. The absence of comprehensive, centralized solutions
typically leads to poor recovery rates, user frustration, and a lack of accountability.

In recent years, several digital platforms have been developed globally, setting a bench-
mark for best practices in this vital area:

This platform is one of the most comprehensive online databases for lost and found,
covering both pets and property. It enables users to upload detailed listings and search
through extensive, categorized databases. Organizations can use “Venue Pages” and an
advanced admin interface to streamline operations. The app supports real-time updates,

Designed mainly for public transport and municipal environments, iLost allows finders
to upload item photos and descriptions within seconds. Its automated claim-matching
system significantly reduces manual workload for organizations such as transport opera-

Motivation

• Need for Digital Transformation: Many organizations still manage lost and
found items through manual or paper-based methods. These approaches are slow
and inefficient, leading to delays and poor tracking. ClaimPoint is motivated by
the need to digitize this entire process and replace traditional workflows with a
structured, web-based platform.
• Lack of Centralized Management: Traditional systems often fail to provide a
unified place where users and authorities can coordinate. ClaimPoint addresses this
by offering a centralized system that stores lost and found item details, improves
accuracy, and makes the overall workflow more organized and transparent.

ing lost and found items becomes time-consuming for both users and staff. Claim-
Point introduces an AI-based matching algorithm and notification system—which
helps users and authorities connect more quickly, speeds up item recovery, and

often rely on manual judgment, which can lead to mistakes, disputes, or fraudulent
claims. ClaimPoint introduces a structured, evidence-based verification process—
using item details, images, and claimant information—to ensure fair and accurate
claim resolution.

• Digitize Lost & Found Operations: Develop a structured web-based system
that allows users to report, manage, and retrieve lost and found item records effi-
ciently.
• Create a Centralized Platform: Provide a interface where users can submit
lost/found reports, track claims, and where administrators can manage the entire
process.
• Implement AI-Based Matching: Integrate an AI-assisted matching mechanism
to automatically identify potential matches between lost and found items using item
descriptions and images.
• Streamline Claim Management: Establish a clear workflow for claim submis-
sion, verification, and approval, ensuring faster and more accurate item recovery.

4.2 Possible Outcomes


• Faster Item Recovery: Automated matching and centralized data help users and
authorities identify and return items more quickly.
• Improved Record Accessibility: Digitized item logs ensure that past and on-
going lost or found records can be accessed instantly, enabling faster searches and

5.1 Requirement Gathering
We first identified and finalized the core features required for the system, including the
lost item form, found item form, automated matching, claim management, admin panel,
notifications, and dashboard functionalities.

5.2 Feature Finalization and UI Planning


Based on the selected features, we designed the initial UI screens such as the lost item
page, found item page, item list, claim page, and admin panel. These UI sketches were
reviewed to ensure they fully satisfied the gathered requirements.

5.3 UI / Frontend Development


After finalizing the UI layout, we developed the frontend using HTML, CSS, and Reac-
tJS. This included creating forms, applying validation rules, and implementing smooth
navigation between pages.

5.4 Backend Development


The backend was implemented using [Link]. We created API routes for handling items,
users, claims, matching processes, and notifications. Basic security measures and input
validations were added to ensure stable system behavior.

5.5 Database Setup


We designed MongoDB collections for items, users, claims, and matches. The backend
was connected to the database, and CRUD operations were tested to confirm reliable data
handling.

5.6 Full System Integration and Manual Testing


After developing the individual components, the frontend, backend, database, and the
AI-based matching algorithm were fully integrated into a unified system. The AI mod-
ule compared lost and found items using text and image features, producing similarity
scores to help identify potential matches. For uncertain cases, a human-in-the-loop review
process was included to ensure accuracy.
Once integrated, the complete workflow—such as item submission, image uploads, match-
ing results, and claim processing—was tested end-to-end. Manual testing was performed
to validate all functionalities, identify inconsistencies, and fix any issues. Adjustments

were made to improve the system’s usability, reliability, and matching accuracy.

Conclusion

In summary, ClaimPoint serves as a modern solution to the longstanding challenges asso-


ciated with traditional lost and found management. Organizations that relied on manual
logs, scattered records, and inconsistent communication now face a growing need for
structured, digital systems. By introducing a centralized web-based platform supported
by AI-driven matching and secure data handling, ClaimPoint directly addresses these
limitations.
The platform enables users to report lost or found items with clarity and accuracy, while
administrators benefit from organized dashboards, automated workflows, and improved
oversight. Real-time notifications, detailed record-keeping, and transparent claim pro-
cesses help reduce delays and enhance trust among all stakeholders.
Overall, ClaimPoint lays the foundation for a more efficient, reliable, and user-centered
lost and found system. By digitizing and streamlining the entire workflow, it not only
improves item recovery rates but also elevates the overall operational experience within
universities, hospitals, and transportation hubs.
