INTRODUCTION
PowerPoint (PP) is a software package designed to create electronic
presentation consisting of series of a separate page or slides. It is created
by Robert Gaskins and Dennis Austin at a software company
named Forethought, Inc. It was released on April 20, 1987. Initially the
PowerPoint is released for Macintosh computers only. Microsoft acquired
PowerPoint for about $14 million three months after it appeared.
PowerPoint became a component of the Microsoft Office suite, first offered in
1989 for Macintosh and in 1990 for Windows which bundled several Microsoft
apps. When first PowerPoint 4.0 (1994) launched, after that PowerPoint was
integrated into Microsoft Office development, and adopted shared common
components and a converged user interface.
PowerPoint was developed to give the presentation which is essential for
offices, education-learning process, to give point details about the new
products, launched new companies, or to give the objectives, importance of any
products or topic in a clear way.

The main function of PowerPoint is that it help to present the information
digitally for a Personal use or Business/Commercial use. Thus, to present our
information this Microsoft Suite software has provide a lot of useful and
variety of tool which make our presentation designable and attractive.

❑ File: - In PowerPoint a File tab is a box or folder or a section of ribbon
that allows to access the file functions. From file tab we can do these below
mentioned things: -
i. New: - It helps to open the new blank document or page.
ii. Open: - It helps to open the existing files which we saved before. We can
open the existing file and can edit those files too.
iii. Save: - This tool inside file help to save the created presentation in device or
any other place where user want to save it.
iv. Save as: - The ‘save as’ feature allows users to create a new file based on an
existing one. It save the copy of original file under a different name or in a
different location, preserving the original file while allowing modifications to
new version.

v. Print: - This tool of File allow the user to control how the presentation will be
printed, where it will be printed and what will be printed.
vi. Share: - The ‘share’ button or tab share the presentation at any social media
form. It also give them permission to edit and change the document while
sharing to the person.
vii. Export: - This tab generates a formatted Microsoft word representation of a
project, package, or folder. The export allows user to quickly generate stylish
tabular outputs, or repeated output.
❑ Home: - ‘Home’ is also known as Formatting tool bar.
This tab contains the most commonly used document controls: like Fonts,
Paragraph, Styles, Find, Replace, select and editing.
We are now explaining about the tool which is inside home. The ‘Home’ is
formed by the combination of font, paragraphs, styles, editing, find, replace, cut,
copy, paste, format printer.
The ‘Home’ is divided into five categories: -

Fonts
Theme font: - : This formatting tool bar most common tool change the text
style by changing custom spacing and design. The famous font style are:-

Font size: - The font size helps to improve readability. It is essential for
formatting and improving readability. It is essential for formatting and

user.
Italic: - The another common tool of formatting tool bar help to emphasis the
part of a text. This tool used to draw attention to some particular part of a text. It
is mostly used to denotes titles and names of particular works that give extra
emphasis in writing.
Underline: - The main function of this tool is to underline the particular text or
paragraph which is more important than others. Simply called to put a line
under some text.
Text Highlight Color: - This tab allow the user to text pop by highlighting it in
a bright color.
Font Color: - The ‘Font Color’ tab change the color of the font or the text of
the documents.
Paragraph
In inside ‘Home’ tab the paragraph contains these tools.
Alignment ; Alignment is the position of text, in a computer. It determines the
appearance and orientation of the edges of the paragraph.
There are four type of alignment. They are also explained below:-
Right Alignment:- This alignment is also called Right-aligned text. This is the
text that is aligned with a right edge only.
Left Alignment:- This alignment is also called Left-aligned text. This is the text
that is aligned with a left edge only.

Centered Alignment:- This alignment is also called Center aligned text. This is
the text that is aligned centrally between two edges.
Justified Alignment:- This alignment controls the spacing between words. A
justified text increase the space between words to fill the entire line so that it is
aligned with both the left and right edges.
Bulleting:- The main function of bulleting is to organize and present
information in a clear and concise manner. Bullets are typically used to list
items without any particular order or hierarchy.
Numbering:- The main function of numbering is also same work as bullet
which provides clear and concise text but it indicate a text or sentence as
specific order or sequences like hierarchy(1,2,4,------)
❑ Insert:- The insert tab is tab next to the Home tab in Microsoft Word.
This tab has a lot of useful features that will let user to insert like tables,
word art, hyperlinks, symbols, charts, signature line, date and time,
shapes, header, footer, text boxes, links boxes equation, and so on.
Simply, the insert tab contains various items that we may want to insert inside
into a presentation.
The insert tab is divided into five categories: -
o Tables
o Illustrations
o Links
o Text
o Symbols
o Media
They are explained below: -
Table
The table is the combination of rows and columns. The ‘Table’ tab allows the
user to pick the numbers if columns and rows of the desired table in the
document. By dragging our mouse over the highlighted area we can select the

rows and columns that we would like. We can also choose the design of the
table.
Illustrations
The illustration tab contains Picture, ClipArt, Shapes, SmartArt and charts.
Picture: - We can insert a picture from the device into the document through
this tab. While inserting the picture it also provide the feature to edit the picture.
Clip Art: - This tab insert drawings, movies, sounds, or stock photography to
illustrate a specific concept into the document. This Art also help to insert the
logo of the company or organization too.
Shapes: - The ‘Shape’ tab provides different shapes to make any logo design, or
any other objects or information by using different shapes. This is mostly used
to insert readymade shapes such as squares, circles and arrows.
SmartArt: - This tab helps to insert the SmartArt graphics to visually
communicate information.
This command also help to make venn-diagram and complex graphics.
Chart : - It make easy to spot patterns and trends in the data by inserting the
bars, area or line chart.
Links
Hyperlink : Create the link in the document or presentation for quick access to
the web pages and files. Hyperlink also helps to change the document which is
necessary at that time.
Action: Give the select object to carryout what the presenter has click. Just like:
go to the next slide. It peform the action which is provide b t he presenter.
Text Box
Screenshot: - This tab quickly add snapshot of any presentation that is open any
desktop of the user document.
Header and footer are important items to add to the presentation to give them a
professional look or feel.
Header: A header could have information on the presentation title, author
name, version number etc. A header is useful as it help user to repeat content at
the top of every page.

Footer: A footer is useful as it help user to repeat content at the bottom of every
page.
Page Number: The ‘page number’ tab allows the user to see the page number
of their Presentation.
Text Box: This tab brings focus to the content by that showcasing important
texts such as heading and quotes. We can select the text box by dragging to the
presentation when it is needed.
WordArt: The ‘WordArt’ tab is most common used in MS word. The WordArt
is used to design the font which is used in any text to give the flavored to the
presentation. We can also create style while using the WordArt to give
decorative effect to the document.
Date and Time: This tool helps to show the date and time and also help to
insert the date and time in our presentation to make our presentation effective
and to give real data.
Slide Number:- This show the slide number in our presentation to count how
much slide we make in our presentation or in our topic.
Symbols
Equation: The command add common mathematical equations to the document

such as the area of the circle (l*b), quadratic equation formula, x= ❑ ,
value of pie= 3.14 etc. By using this command we can build our own equation
using the library of math, symbol and structures.
Symbols: This command helps to insert symbols that is not in our keyboard or
in our system. It contains different mathematical symbols currency value etc.
Media
Video: This ‘Video’ tab helps to insert the video in our presentation. This is the
most used and presenter favorite tool to use.
Audio: This tab insert the audio in the presentation or from the online source.
The presenter also record the audio in the presentation to make a better impact
for the audience.
Screen Recording: This tab copy the screen which is shown in our screen and
also allow the presenter to use audio of that screen or also helps to make voice
over of that screen.

❑Design: - In PowerPoint, the design menu is frequently used to apply
pre-designed styles or themes to slide backgrounds, whereas the insert menu
is useful for adding text, pictures, shapes, or videos.

o Variants
o Customize
Theme: A theme is a predefined se of colors, fonts, and visual effects that
apply to the slides for a unified, professional look. Using he theme gives the
presentation a harmonious appearance with minimal effort.
Variants: Variant appear to the right of the themes in the Design tab.
Variant can be further customized by clicking the More button to modify the
theme colors, fonts, effects or background styles. To further customize a
design theme., it is easy to apply a new variant while everything else about
the theme remains the same.
Customize
This Customize tool contain the Slide Size and Format Background.
Slide Size: Customizing Slide size can be crucial for adapting the
presentation to different devices or specific preferences. Whether the
presenter need to cater to traditional projectors or widescreen monitors,
understanding and adjusting slide size ensures that helps the content is
visually optimized for the audience’s viewing experience.
Format Background: Format background in the PowerPoint ia a model
windows that let the presenter to change the background options in
Microsoft PowerPoint. The presenter also choose to change the slide to a
solid color or to a picture that is saved on the computer.
❑ Transitions
A slide transitions is the visual effect that occurs when the presenter move
from one slide to another or next during a presentation. The presenter or the

user can control the speed, add sound, and customize the look of the
transition effects.
The presenter also give the timer in what time they want to change the slide
by automation process in the presentation.

The presenter can use animation to effectively manage the flow of
information in the presentation, emphasis key points and to increase
participant’s interest in the presentation. There are four types of Animation
effects in PowerPoint.

Slideshow: A PowerPoint slideshow (PPT) is a presentation created on
software from Microsoft that allows users to add audio, visual and
audio/visual features to a presentation. It is considered to be a multimedia

technology and also acts as a tool for collaboration and content sharing.
PowerPoint is included in Microsoft Office, making it one of the most well-
known and widely used brands of presentation software.
A PowerPoint slideshow is generally considered very easy to create, as no
knowledge of design is required to create slideshows. PowerPoint slideshows
can include embedded images, audio and video to provide better visual impact.
PowerPoint slideshows are also flexible, allowing presenters to customize the
slides to fit their needs. Microsoft provides many standard templates and themes
for PowerPoint slideshows in order to help presenters in developing slides.
PowerPoint slideshows are considered to be one of the easiest, most useful and
most accessible methods to create and present visual aids. Reordering the
presentation is easy with the drag-and-drop feature. For presenters, it helps to
improve audience focus, increase visual impact and also increase interactivity
and spontaneity during a presentation. For certain topics, PowerPoint
slideshows help users in analyzing and synthesizing complexities. It supports
and encourages teaching and learning processes.
❑ Review: - The Review tab provides icons for document review-related
commands, such as spelling check, translation, track changes, apply
changes, comments and so on. It contains these tools: -

▪ Comments
▪ Compare
These tools are explained below: -
Proofing
Spelling and Grammar: - Check spelling for the contents of the document. You
can use the Spelling options to make sure the document does not contain
spelling mistakes. When you select Spelling Check, the Spelling
Check/Proofing dialog box appears.
Thesaurus: - Thesaurus is a tool which is used in MS Word or Microsoft Word
to search for synonyms and synonyms for a particular selected word. Thesaurus
in MS Word helps writers to find exact and suitable words to express their idea.

Word Count: - The Word Count dialog box displays the number of pages,
paragraphs, and lines in your document, and also the number of characters,
either including or excluding spaces. On the Review tab, in the Proofing group,
click Word Count.
Language
Language: - Allows users to select the source and target languages for
translation.
Translator: -Translates the selected text or entire document into the desired
language.
Comments
Use comments in your document to make suggestions to other people or to
track issues for follow-up. The ‘comments’ tab also used to perform new
comment, and show the previous comment.
Compare
We can compare two versions of a document to see how they differ. You can
also merge two versions of the same document into one new document. In both
cases, Word shows the differences with revision marks.
❑ View: - The View tab enables you to switch between Normal or Master
Page, and Single Page or Two-Page Spread views.
