CHAPTER IV

PRESENTATION

This chapter presents the description of the system,

system hardware requirements, system user requirements,

and estimated cost.

Description of the System

This is a Palawan State University- Rizal Campus: SPIMMS

is software solution designed to streamline the tracking

and management of all assets and valuable tool for

educational institutions seeking to improve their

inventory management processes. It intends to resolve the

challenges and inefficiencies encountered in the current

campus inventory management system, particularly the lack

of secure and reliable data storage solution. By

providing a centralized platform, efficient tracking, and

detailed reporting, SPIMMS helps property custodian save

time, reduce costs, and ensure the availability of

essential assets.

Dashboard

It shows the total number of employee records

position records, fixed asset, consumables.

Employee Records

The Employee Records shows the list of all employees

registered in the system.

Add

1.) This allows for addition or registration of new

employee.

2.) The system will display a form specifically

designed for registering new employee.

3.) The user will click the “Save” button to store

the entered information.

Update/Edit

1.) The user will select employee.

2.) The system will display the information of

selected employee and allows the user to edit

the employee’s information

3.) The user will click the “Save” button to store

the updated information of the employee.


Service

1.) The user will select employee.

2.) The user will click the “Service” button.

3.) The system will display the employees name,

date hired, and employee no., in addition to

that the service details will show and allows

the user to update the service of the employee

if necessary.

4.) The user will click the “Save” button to store

the updated information of the employee service

record.

Print

1.) The user will select employee.

2.) The user will click the “Print” button to

generate report.

3.) The system will display the names of employee

registered in the system.

4.) The user can choose their preferred printing

options, such as printing report or exporting

it to file, from the upper corner of the

computer screen.
Withdraw

1.) The user will select employee.

2.) The user will click the “Withdraw” button.

3.) The system will display the withdrawal form,

and this will enable to user to allocate

consumable materials to the employee.

4.) The system allows to add multiple items by

clicking the “Add” button.

5.) The system allows to removed items that are

placed incorrectly by clicking the “Removed”

button.

6.) The user will click the “Save” button to store

the information of withdraw items.

Accountability

1.) The user will select employee.

2.) The user will click the “Accountability”

button.

3.) The system will display the new accountability

form, and this will enable to user to allocate

fixed assets to the employee.

4.) The system allows the user to add multiple

items by clicking the “Add” button.


5.) The system allows the user to removed items

that are placed incorrectly by clicking the

“Removed” button.

6.) The user will click the “Save” button to store

the information of accountability items.

Close

The user will select the “Close” button to exit in

the Employee Records.

Position

The Position shows all the positions in the campus.

Add

1.) The user will click the “Add” button for

registration of new position.

2.) The system will show the adding form of

position.

3.) The user will click the “Save” button to store

the entered information.


Manage

This will allow the user to edit or update the

position inside the campus, then saved.

Accountability & Withdrawal

This form will show all the issued fixed assets and

withdraw consumable items, including the name of

accountable employee and his/her position details.

Inventory Records

This form displays a comprehensive list of all

assets and supplies belonging to the campus.

Fixed Asset

This form will display all the long-term tangible

asset that the campus owned and uses in its operation.

View

To view the details of asset, the user should click

the “View” button.


Add

1.) To add new fixed asset, the user must click the

“Add” button.

2.) The system will display the new fixed asset

form with automatically generated Asset Tag No.

3.) Then saved.

Consumable

This form will display all the consumable materials.

Add

1.) To add new fixed asset, the user must click the

“Add” button.

2.) The system will display the new consumable

items form.

3.) Then saved.

Login History

This form displays a list of all users who have

access to the system, including the time and date logged

in and out, IP address, computer name, and status.


User Records

This form presents information about authorized

users.

Add

1.) To add new user, the user must click the “Add”

button.

2.) The form will display the user form, and the

user will register the authorized user of the

system.

3.) Then saved.

Account Profile

This form displays the details of the current user,

and allow the user to edit or update the necessary,

changes to the system.

Account Security

This form displays the editable form for account, if

there if need to change password.


System Hardware Requirements

Laptop/Desktop Computer – this computer is needed for the

installation of the system. This will include the:

 Mouse

 Keyboard

 Windows 10 or 11 Operating System

Laptop/Desktop Computer Specification Required

Processor: Inter Core i3

Installed RAM: 8GB vacant size

Operating System: Windows 10 or 11

Printer – the equipment needed to produce a hardcopy of

the system and other documents.

System Software Requirements

This system requires the following software

application:

1.) Microsoft Visual Studio 2022

2.) SAP Crystal Reports

3.) SQL Server 2019

4.) Microsoft Office Word 2021


System User Requirements

The user must be the property custodian and the

other authorized faculty members. To navigate the system

effectively, users should have a basic understanding of

computers, including experience with laptops or desktop

computers. This will enable them to quickly learn the

system’s functions, operate it effectively, and

troubleshoot any problems that may raise.

Estimated Cost

The cost for the development and implementation of

the School Property Inventory Monitoring and Management

System is between forty thousand pesos (₱40,000.00) to

forty-five thousand pesos (₱45,000.00). Included the

hardware requirements and the documentation.

The financial estimated costs are follows:

Laptop ₱27,000.00

Printer ₱8,000.00

Operating Expense

Electricity, Ink, and etc. ₱3,000.00

Total ₱38,000.00
