Integration between the travel partner, GetThere, and Oracle Expenses Cloud improves the employee booking
experience and provides visibility to travel costs and travel policy violations. The travel booking site is accessible
directly from the employees’ Travel and Expenses work area and when a trip is booked, the trip data is
automatically downloaded to the Expenses Cloud application, making it quicker and easier to create expense reports

1. Navigate to: More… > Tools > Security Console.
2. Click on the Users tab

4. Select your user: OracleApps
5. Click Edit.

1: Reviewing Expenses System Options


1. Navigate to: Setup and Maintenance > Financials offering > Setup > Expenses functional area > Manage Expenses
System Options

2. On the Manage Expenses System Options page, you can define system options for all business units or set options
for a specific business unit.
3. Review the three sections in the Manage Expense System Options page:
• User Options for Expense Report
• Corporate Options for Expense Report
• Processing Options for Expense Report
• Specific Business Units

4. In the User Options for Expense Report section, change the Allow choice of reimbursement currency during
expense entry to Yes, so you can choose a reimbursement currency when creating expense entries.

5. In the Corporate Options for Expense Report section, select the Enable Terms and Agreement check box to enforce
expense terms and agreements for all business units. This controls whether employees are required to select the I
have read the company policies before submitting expense reports check box.
6. Select a value from the Printable Expense Report Format list.

7. In the Processing Options for Expense Report section Pay Expense Reports Through, select Third Party in the
choice list. This allows your expense reports to be paid through a third-party legacy application within your
company or an outside supplier.

8. In the Specific Business Units section, select a business unit, Japan for example, and click the Edit button.

If your business unit doesn’t exist in the Specific Business Units section, click Create and select an applicable
Business Unit from the Create System Options: Specific Business Unit page.

9. Review the choices in the Edit Expenses System Options: <Japan> Business Unit page.
Note: Do not use US1 Business Unit. Although the choices are similar to the options on the Manage Expense System
Options page, the choices you make on this page will apply only to the specific business unit you have selected.

10. Scroll down to the Processing Options for Expense Report section.
11. In the Employee Liability Account section, select the Define value specific to business unit.
12. Open the box and change the LoB to a different LoB.

13. Click OK.


14. Notice how the LoB number changes in your Employee Liability Account.

Create expense types that are applicable to each business unit. You complete the following tasks:
• Create an expense report template.
• Create four expense types.
• Define the expense types permitted to be itemized for the itemization-required expense type of Hotel.
• Specify Expense Requirements.
• Confirm that created expense types appear in the expense report template.

Creating an Expense Report Template


1. Navigate to: Setup and Maintenance > Financials offering > Setup > Expenses functional area > Manage Expense
Report Templates.

2. Click the Create icon.


3. Enter Name: XXExpense Template
4. Accept the default effective start date.
5. Select US1 Business Unit.
6. Click Save.

3: Reviewing Approval Rules (Demonstration)
1. Navigate to: Setup and Maintenance > Financials offering > Setup > Expenses functional area > Manage Expense
Approval Rules > BPM Worklist.

2. From the Tasks to be configured pane on the Oracle BPM Worklist application, select
FinExmWorkflowExpenseApproval
3. Click the Edit icon on the Tasks to be configured toolbar.
4. Click the Notifications and Deadlines tabs to review options.
5. Click the Assignees tab. An approval hierarchy is displayed.
6. Click Switch to Vertical Layout on the upper-right corner of the page.

8. Below the Expense Report on the far left, click the diamond icon.
9. Click Go to Rule. The ExpenseReportRuleSet in the left pane is highlighted.

Note: The current approval policy for expense reports requiring supervisor approval is > $0. The List Builder is
using the Supervisory option.

4: Setting Warning and Error Limits on a Conversion Rate
• Set a warning and error limits on a conversion rate.
Note: This demonstration can be done only once in the instance. If it has already been completed, just review the
setup with the class.
• You are setting a warning limit on the conversion rate. If users enter a conversion rate that is 5-10% higher than the
default conversion rate, they will see a Warning.
• You are setting an error limit on the conversion rate. If users enter a conversion rate that is 10-15% higher than the
default conversion rate, they will see an Error.
1. Navigate to: Setup and Maintenance > Financials offering > Setup > Expenses functional area > Manage
Conversion Rates and Policies page > US1 Business

2. The Edit Conversion Rates and Policies: US1 Business Unit dialog box opens.

3. Select the Default conversion rate check box


4. Enter Warning Tolerance Percentage : 5
5. Select the Display warning to user check box

05: Viewing a Conversion Rate Policy Warning and Error
Will show that during your business trip to the UK, you took a taxi ride and paid for it by using your personal Visa
credit card. After returning, you are entering your expenses.
You notice that a different conversion rate was applied to the taxi expense by Visa than the one used by your
company. You complete the following tasks:
• Viewing a conversion rate warning
• Viewing a conversion rate error
• Reviewing the Expense System options
• Selecting options for a specific business unit
• Enabling a printable expense report and then assigning it to a specific business unit

Viewing a Warning for a Conversion Rate Used in an Expense Report


1. Navigate to: About Me > Expenses.

2. Click Actions > Create Expense Report.

3. In the Expenses Items region, click the Create icon. The Create Expense Item dialog box opens.

4. Accept the default date.


5. Select Expense Template : Expenses US1.
6. Select Expense Type : Taxi.
7. Select Amount : GBP - Pound Sterling and enter 100.00.
Note: GBP may be near the top of the choice list, rather than in alphabetical order.
8. In the Conversion Rate field, change the conversion rate from 1.22895416 to 1.32.
9. Select Expense Location : San Francisco, San Francisco, CA, United States.
Note: You will see a yellow warning that surrounds the Conversion Rate field, which indicates that the conversion
rate you entered of 1.32 is 5% or more above the allowable limit of 1.22895416. For entering the conversion rate of
1.32, which resulted in a warning, enter a justification.
10. Enter Justification : Conversion rate applied by Visa.
11. Click Save and Create Another.

Viewing an Error for a Conversion Rate Used in an Expense Report


12. In the Create Expense Item dialog box, accept the default date.

13. Select Expense Type : Lunch.


14. Select Amount : GBP - Pound Sterling and enter 100.00.
15. Change the conversion rate to 1.88.
16. Confirm that the Expense Location list shows San Francisco, San Francisco, CA, United States.
Note: You will receive a red error that surrounds the Conversion Rate field, which indicates that the conversion rate
you entered of 1.88 is 10% or more above the allowable limit of 1.42221027.

17. Click Save and Close.

Tip: If you do not see the error message, click the Save and Close button and then submit the expense report. You
will then see a message that indicates that you cannot submit an expense report with errors. You will note a red error
icon on the line. Click the expense item link and then you will see the error that was not showing previously.
18. Select “I have read and accept the corporate travel and expense policies”.

19. Click Save


20. Click Submit. You will see the error message appear that stops you from submitting the expense report.

Touring the Expense Work Area
1. Navigate to: About Me > Expenses. Click the Go to Travel and Expenses link.

2. Review the two infotiles at the top of the page. Each infotile has a different heading and purpose.
The Expense Items and Expense Reports infotiles are visible to everyone. Other infotiles are visible based on your
roles.
3. Review the Actions menu in the upper-right corner

Note: Here, you can specify what action to take, whether it’s to create an expense item, create an expense report,
request a cash advance, book travel, or tour Expenses.

7. Click OK on the confirmation message.
Note: After saving the report, Expenses assigns a report number.

15. Click Itemize.
16. Click the Add Line icon.
17. Select Type : Room Charge.
18. Enter Amount : 562.00.
19. Click the arrow next to the expense type.
20. Enter Number of Days: 4 to see the daily rate.

21. Click the Add Line icon.


22. Select Type : Meals.
23. Enter Amount : 280.00.

24. Click the Add Line icon.


25. Select Type : Miscellaneous.
26. Enter Amount : 20.00.
27. Select the Personal check box.
Note: Notice that because we selected miscellaneous of $20 as a personal expense, the report total decreased from
$877 to $857.

28. Click the Add Line icon.


29. Select Type : Internet.
30. Enter Amount : 15.00.
Note: The running totals for Business and Personal expenses are at the top of the page. The Remaining Balance tells
us how much we have left to itemize.
31. Click Save and Close.

1. Navigate to: About Me > Expenses

2. Click the Expense Items infotile.

3. Highlight one of the Expense items you created previously.


4. From the Actions menu on the selected expense item, select Mark as Recurring Expense.
5. Select Monthly to make the expense recurring on a monthly basis.

Create Audit Selection rules to determine which expense reports are automatically selected for audit.

8. Select the Audit expense reports of individuals on the audit list check box.
9. Select the Audit expense reports with expenses older than a specific number of days check box.

Managing Cash Advance Policies


1. Navigate to: Setup and Maintenance > Financials offering > Setup > Expenses functional area > Manage Cash

a. Review the Method of Applying Advances.
b. Increase the Number of Unapplied Advances to 2.
c. Reduce the Maximum Amount Allowed per Cash Advance complying with your company’s cash advance policies
to 500.00.

The information displays business units with cash advance policy values that differ from those displayed in the All
Business Units region. Before you can set up cash advances, you must set up a cash advance clearing account on the
Create Business Unit-Specific Cash Advance Policies dialog box.

2: Entering Expenses Using Quick Entry
Quick entry is the quickest form of manually entering an expense line. On the springboard, tap on the quick entry
pop-list to select an expense type, enter amount, and tap add. An expense is created. The View icon will show the
count of expenses on the device in a badge. The Quick Entry pop-list will show you the list of all expense types that
are in the default template. See settings for information on the default template.
Tip: The icons on the springboard can be re-arranged. Tap and hold for a while to see the icons jiggle and re-arrange
the icons. Tap and hold to stop the jiggle.

4: Using the Camera to Create an Expense Line
In this practice, you take your team to lunch and take a picture of the receipt to create an expense line for lunch. You
create an expense line using OCR.
1. Tap the camera icon and take a picture of the receipt.
Note: You can use either the Scan option or the Attach option to create an expense line.
Scan Option: Tap the Scan button
OCR will create an expense line.
Mobile Expenses will populate the Date, Amount, and Merchant fields based on the results from the OCR software.
You may need to fill in any of the remaining fields, such as Location or Description.
Note: Ensure that the receipt being used will allow the OCR software to consistently give you a close approximation
of what is on the receipt. Try several different kinds of receipts until you find one that works best.

Attach Option: Tap the Attach button.


The receipt will be attached to the expense line and you can fill in the details manually.
2. Select Lunch for the expense type.
3. Tap on Attendees.
4. Tap Action (bottom of screen).

5. Select Add from Calendar.


Note: All the attendees are checked by default.
6. Tap Done.

7. Tap Save.

All the uploaded Expense Items will show in the browser, Login the application and click on the Expenses, Select the
items and Click on Add to Report

Select the policy and click on Submit

5: Submitting an Expense Report
Submit the expense report directly from your iPhone or iPad.
1. Enter the Expense and Save

2. Click Submit/Submit Report.


Note: A list of all expenses that can be submitted is displayed. All expenses are selected by default, expenses can be
deselected.

3. Select the expenses you just created.


Note: To add more lines to the report, select Action Menu and Add More. Action menu also provides an option to
save the report instead of submitting it. Expenses in saved reports are not available for selection in subsequent
reports. Deleting the saved report will make the expenses available for submission in subsequent reports.
4. Tap Create to create a new report.

5. Enter Purpose: Team Meeting.


6. Tap Submit.

Tap Agree (to acknowledge expense policies).

Analyzing and Reporting on Expenses


Reviewing expenses at the end of the quarter for the US1 Business Unit to compare the quarterly expense by expense
categories with the previous quarters.

Creating Ad Hoc Reports for Expenses


Create an ad hoc report that you can use going forward that compares an organization’s expense with previous
quarters.
1. Navigate to: Report and Analytics.

2. Click the Browse Catalog icon.

3. Click New.
4. Select the Analysis option from the menu on the top-left of the page.

5. Select the Expenses - Employee Expense Real Time subject area.
6. Expand the Time folder and double-click in the Year and Calendar Quarter Code.
7. Expand the Expense Information folder and double-click Expense Category.
8. Expand the Expense Amounts folder, and then expand the Employee Expense Amounts sub-folder.
9. Double-click Total Expense Amount and Ledger Currency.

10. Click the Results tab.


11. Click the New View icon.
12. Choose the Graph menu option > Bar sub-menu option > Stacked Vertical.

13. Scroll down the page to locate the Graph section.


14. Click the Edit View icon for the graph.

15. Drag-and-drop the columns as follows:


− Year in Sections (Display as Slider: Checked)
− Calendar Quarter Code under Bars Group by section
− Expense Category in Vary Color By section
16. Select 3D from the drop-down menu and click Done.

17. In the Compound Layout page, the order of the sections is Title, Table, and Graph.

Remove the table section by clicking the X icon in the table region.
18. The Total Expense Amount graph is displayed.

19. Click the Save As icon to save the report in My Folder.

20. Create a new folder called Expenses.


21. Name the report XX Quarterly Expense Trend Report.

To run the report go to folder and click on the Open

Select the parameter then report will display in graphs
