Introduction
Hostel facilities are an essential part of student life in educational
institutions, providing accommodation and a supportive living
environment. However, managing hostel-related issues such as electrical
faults, water leakage, damaged furniture, and cleanliness problems can
be challenging when handled manually. Traditional complaint reporting
methods, including verbal communication and handwritten applications,
often result in delayed responses, poor record keeping, and lack of
transparency.
The Hostel Room & Complaint Management System is an ICT-based
solution designed to digitize the process of reporting, tracking, and
resolving hostel complaints. This system improves communication
between students and hostel administration while ensuring proper
documentation and efficient complaint handling through modern digital
tools.
Why We Chose This Project
This project was chosen to address a real and commonly faced
problem by hostel residents. Many students experience delays in
complaint resolution due to the absence of a structured and centralized
system. Manual processes make it difficult for administration to track
complaints, monitor progress, and analyse recurring issues.
By developing a digital complaint management system, this project
demonstrates how ICT tools can be effectively used to improve efficiency,
transparency, and accountability in hostel management. Additionally, the
project aligns well with the objectives of the Fundamentals of ICT Lab
course by integrating multiple software tools such as MS Word, MS
PowerPoint, HTML, CSS, MS Excel, and MS Access
Objectives
The main objectives of the Hostel Room & Complaint Management System
are:
To provide a digital platform for hostel students to submit room-
related complaints easily
To maintain structured and organized records of all complaints
To allow tracking of complaint status such as pending, in progress,
and resolved
To reduce response time by improving communication between
students and administration
To analyze complaint data for identifying common issues and
improving hostel facilities
To demonstrate practical implementation of ICT tools learned during
the course
Scope
The scope of this project is limited to hostel room and facility-
related complaint management within an educational institution.
The system focuses on handling common issues such as electrical
problems, water leakage, furniture damage, cleanliness concerns,
and other maintenance-related complaints.
The project includes:
A static website for system overview and complaint submission
Documentation and reporting using MS Word
Presentation slides prepared in MS PowerPoint
Basic data organization and analysis using ICT tools
Advanced features such as real-time databases, mobile applications,
or automated notifications are outside the scope of this project due
to time and academic constraints. However, the system provides a
strong foundation for future enhancements.
Real-Life Implementation
In real-life implementation, this system can be deployed in
university hostels to streamline complaint management. Students
can submit complaints online without visiting hostel offices, saving
time and effort. Hostel administrators can access structured
records, monitor complaint status, and prioritize urgent issues.
The collected data can be analyzed to identify frequently occurring
problems, helping management improve infrastructure and
maintenance planning. This system enhances transparency, reduces
misunderstandings, and increases student satisfaction by ensuring
timely resolution of issues.
Overall, the Hostel Room & Complaint Management System serves
as a practical, cost-effective, and scalable solution for improving
hostel operations using ICT tools.
