Assignment 3 Checklist

DE. D3 Justify how own contribution has contributed to the successful outcome of the
event by the demonstration of outstanding management skills throughout the
arranging and staging of an event.
1. For the staging of the event you must
create/complete an individual diary or blog of the
event (from date to date), that shows the following
information below:
(a) how your plan for the event was put into
practice,
(b) details your active participation
(c) how you demonstrated effective and safe event
management and personal skills.
(d) It should include an identification of any issues
that arose and how these were dealt with,
(e) whether the contingency plan was implemented.

 (P7, M4 2. Your evidence will need to also include:


&  Witness statements/Observations records (provided
Photos) by Teacher)
 Photos of the event – Choose about 8 photos and
write a brief description on what you were doing in
the photo to make the event a success (to be taken
by you when appropriate). These photos should be
placed throughout the report.
 Attach emails between you and staff/business
partners/supplies etc. and your team.
 Samples of any materials used or created (e.g.,
flyers, questionnaires, feedback forms, meeting
agenda notes etc.)

 Review the aims and objectives of the event,
discussed in assignment 2. Did this event meet the
aims and objectives you set out to?

Attendee evaluation feedback:


 Create a questionnaire (Feedback form) to
distribute to different stakeholders at the event, e.g.,
students who attended the event, teachers etc.
These should allow you to gain feedback that
informs your analysis of the event, and will help you
to make recommendations for future improvement.

 This should be a brief questionnaire asking for


some general feedback on the event, e.g., pricing,
products on sale, location, time, anything that could
be improved if the event were happening again etc.

 Discuss the feedback received from the
questionnaire? Add some graphs and pie charts to
explain the results and explain the results?

 Was the event a success based on the feedback


received from the questionnaire?

 What is the importance of producing an evaluation


form?

Monitoring procedures to ensure tasks allocated have


been completed:
 Was the event well planned? Explain your answer,
e.g., what elements were well planned, why do you
think they were well planned? What impact did good
planning have on the event?
 Were there any last-minute changes that had to be

produced and used on the day to assess the

and controls in place?

e.g., nut free allergy products etc. And why is it

Financial Budget:
 Discuss your finances.
 Did you reach your target?
 Did you have enough donations to cover all your
costs?
 Did you overspend on anything?
 Were there any unexpected costs in general?

more donations? Choose different products based
on price?
 What is the importance of having a financial budget

Write A Report:
 Write and overview of your own role within the
context of the event.
 What responsibilities (minimum 3) did you
contribute to the staging and management of the
event?
 Which aims/objectives/targets did your
responsibilities specifically help to achieve?

Review your own performance in the event


 Were you present for all lessons?
 Were you involved in all decisions made?
 Did you come up with ideas? If so, what were they?
 What was your overall contribution to the event?
 Were you involved in all aspects of the event, e.g.
planning, organisation etc.
 E.g. preparation for event, promotion, finance,
clearing up after
 Did you have a specific role on the days the event
took place? If so, explain what it was. Evaluate your
performance in this role. (what you did well and
what you struggled with
Review the skills you used in the event, (The different
types of skills e.g. negotiation, interpersonal,
communication, time management, problem solving,
organisation and planning etc.)
 What skills were your strengths, explain
why. E.g. in which areas were you
particularly well prepared? Provide
examples to support your answer.
 What skills were your weaknesses, explain why.
 Did you have to use all the skills?
 In your opinion did you improve any of your skills as
a result of this event?
 What skills did you use? Do these skills relate to the
skills of an event organizer as spoken about in
Assignment 1?
 Do you feel you have improved any of the skills that
you rated yourself on at the beginning of the unit
and in Assignment 1 personal skills audit?
 Use the skills audit used in Assignment 1, add two
additional columns and rate yourself again after the

event, to see if you have improved and what action
for improvement.
 Use examples to explain how something you
personally did made a significant contribution
towards achieving those aims/objectives/targets.

Conclusion:  Produce a detailed justification on how well was the


event managed. And, if so? Explain why it was a
success?

You must include a bibliography table with each webpage you used. You must detail
what you used each page for. If you use any textbooks for research you must include
the name of the textbook and what you used it for.
