Practical 8: Compiling and
Managing Long Documents
1. Compile a Bibliography Using Citation Sources
Stored in the Document
Step-by-Step:
1. Insert Citations:
o Go to the References tab on the Ribbon.
o In the Citations & Bibliography group, click
Insert Citation.
o Select Add New Source to add a new citation.
o In the Create Source dialog box:
Choose the Type of Source (e.g., Book,
Journal Article, Website, etc.).
Fill in the necessary fields (Author, Title,
Year, etc.).
Click OK to insert the citation into your
document.
2. Insert Additional Citations:
o For every reference you need, repeat the steps
above to insert citations.
o As you insert citations, Word automatically
tracks and stores them.
3. Generate the Bibliography:
o Once you've added all the citations, go to the
References tab again.
o In the Citations & Bibliography group, click
Bibliography.
o Choose a style (e.g., APA, MLA, Chicago).
o Word will automatically generate a
bibliography at the cursor position, listing all
the sources you've cited in the document.
4. Update the Bibliography:
o If you add or remove citations after generating
the bibliography, right-click on the
bibliography and select Update Field to
refresh the list.
2. Use Advanced Document Review Features:
Comments and Track Changes
Using Track Changes:
1. Turn On Track Changes:
o Go to the Review tab on the Ribbon.
o In the Tracking group, click Track Changes. The
button will turn orange, indicating that track
changes are active.
o Any edits made to the document (such as
additions, deletions, formatting changes) will
be marked with visible indicators like
underlines, strikethroughs, and color-coded
revisions.
2. Customize Track Changes Settings (Optional):
o Click on the Tracking group’s drop-down arrow
(next to Track Changes).
o Choose Balloons to customize how comments
and formatting changes appear in the margin.
o Under Track Changes Options, select how you
want insertions, deletions, and formatting
changes to be displayed.
3. Review Changes:
o When you’re editing a document, Word
highlights additions and deletions made to the
text. You can use the Accept or Reject buttons
in the Changes group to finalize or remove
changes.
o To accept or reject a single change, select it
and click Accept or Reject.
o To accept or reject all changes, click Accept All
Changes or Reject All Changes.
4. Finalizing the Document:
o Once all changes are reviewed, you can either
finalize them by accepting them or discard
them by rejecting all changes.
o Once finalized, turn off Track Changes by
clicking the Track Changes button again.
Using Comments:
1. Insert a Comment:
o Select the text or section of the document
where you want to insert a comment.
o Go to the Review tab and click New Comment
in the Comments group.
o A comment balloon will appear in the margin
where you can type your feedback or note.
2. Reply to a Comment:
o Click on the comment balloon in the margin
and select Reply to add a response or
additional note.
3. Delete a Comment:
o Right-click on the comment balloon in the
margin and select Delete Comment to remove
it.
o To delete all comments, go to the Review tab
and click Delete in the Comments group, then
select Delete All Comments in Document.
4. Navigate Through Comments:
o Use the Next and Previous buttons in the
Comments group to move through the
comments in the document.
5. Print the Document with Comments (Optional):
o If you want to print the document with
comments, go to File > Print.
o Under Settings, select Print Markup to include
comments, track changes, and other markup
in the printout.
Final Tips for Compiling and Managing Long
Documents:
Use Styles: For large documents, apply consistent
Heading Styles to create a well-organized
structure. This makes it easier to generate a Table
of Contents and track changes in specific sections.
Navigation Pane: Open the Navigation Pane (View
tab > Navigation Pane) to easily navigate through
large documents by headings.
Document Protection: If you are sharing the
document and want others to review or edit it
without altering the main content, consider
protecting the document by setting restrictions
under File > Info > Protect Document.
