PURCHASE DEPARTMENT
What is purchase department?
Purchasing department is the division of a company
that's responsible for acquiring the goods and services
the business requires to operate.
There are three types of purchasing-
1. Direct materials purchasing
2. Indirect materials purchasing.
3. Services purchasing
Hemani Cheiorganic Pvt ltd Vapi follows Direct
material purchasing.
1. Purchase Procedure
1. Identifying Material Requirements: Coordinate with
the production team to determine raw material needs
based on the production plan.
2. Vendor Sourcing and Development: Identify and
develop relationships with both domestic and
international suppliers for raw materials and finished
goods.
3. Quotation and Price Negotiation: Obtain quotations
from suppliers and negotiate prices to ensure cost-
effectiveness.
4. Purchase Order Preparation: Issue purchase orders
to selected vendors, ensuring all terms and conditions
are clearly stated.
5. Logistics Coordination: Coordinate with transporters
for rate negotiations and material pickup, ensuring
timely delivery.
6. Import Documentation and Compliance: Manage all
bank documents related to imports, including Letters of
Credit (LC), Fixed Deposits (FD), Bank Guarantees, and
coordinate with Customs House Agents (CHA) for
customs duties and shipping line documentation.
7. Inventory and Cost Management: Maintain
databases of raw material prices, prepare stock
statements, cost sheets for import shipments, and
manage monthly cash flows.
8. Vendor Payment Processing: Process bills for both
local and import shipments, maintain creditor
statements for vendors, transporters, and CHAs.
9. Quality Assurance: Ensure that all procured items
meet the required quality standards and specifications.
10. Continuous Improvement: Develop alternative local
sources for raw materials to achieve cost savings and
reduce dependency on a single supplier.
2. Purchasing Lead Time
Purchasing lead starts when the goods and
services or ordered ends when that are
received.
1. Order Processing: For international
shipments, Hemani typically processes
orders within 2–3 working
days after receipt.
2. Vendor Coordination: The company
emphasizes timely delivery by following up
with vendors to ensure materials are
supplied as per the agreed schedule.
3. Backward Integration: Hemani is highly
backward integrated, producing most of its
raw materials in-house. This integration
likely reduces dependency on external
suppliers and may contribute to
shorter lead times.
3. Ordering Costs and Carrying Costs
Ordering cost is also known as acquiring cost. These
cost incurred every time when company place an
order to their supplier.
Ordering costs include:
∆ Vendor search and negotiation
∆ Purchase processing
∆ Quality inspection
∆ Import documentation
∆ Transport and customs handling
Carrying cost is also known as holding cost. These
cost arise on account of maintaining the stocks, they
vary directly with the size of the inventory as well as
the time that the inventory is held in stock.
Carrying costs include:
∆ Warehousing and storage
∆ Inventory insurance and handling
∆ Risk of obsolescence or spoilage
∆ Opportunity cost of capital tied in inventory
Hemani produces and stocks:
∆ Bulk chemical intermediates
∆ Specialty chemicals with seasonal demand
∆ Export-ready inventory
4. Raw Material Order
✨Hemani Chemiorganic's Pvt ltd Vapi, raw material
orders would primarily revolve around basic organic
chemicals (especially benzene and its chlorinated
derivatives), strong acids (nitric, sulfuric), reducing
agents (hydrogen, sodium hydrosulphide), and alkalis
(caustic soda, sodium carbonate), along with various
other specialized reagents and catalysts needed for
their specific chemical synthesis processes.
5. Numbers of Suppliers
Maximum: Depends on Company and Different
Location
But,
For the most fundamental and high-volume raw
materials like Monochlorobenzene, Nitric Acid,
Sulphuric Acid, Hydrogen Gas, and Caustic Soda, they
would likely have at least 2-3 primary suppliers for
each to ensure supply chain resilience, competitive
pricing, and quality assurance.
6. Re-ordering Time
What is Economic Order Quantity?
Economic Order Quantity (EOQ) is the formula-based
model to decide optimal order size to be ordered
within a fixed time interval which will minimize the
total annual inventory cost.
A recorder level is the point at which business orders
new stock from the supplier.
In case of Hemani Chemiorganic’s Pvt ltd Vapi,
✨Bulk, domestically sourced chemicals (like acids,
common solvents, and primary benzene derivatives)
would likely have re-order cycles that involve placing
orders 2-4 weeks in advance of expected need, given
typical lead times in the Indian chemical industry.
✨Specialty chemicals, catalysts, or any imported
materials would necessitate much longer re-ordering
windows, potentially ranging from 1-3 months to even
3-6 months to account for complex manufacturing,
specialized sourcing, and international
logistics/customs.

Dried and final-quality approved chemical
product is transferred from storage tanks
or final filter-dryer into the packing area
through SS chute or conveyer belt.
All movement is done under controlled,
dust-free conditions.
🔹 2. Weighing & Filling
Product is dispensed into industrial-grade
HDPE woven laminated bags or multi-layer
paper bags with liners.
Each bag is filled to a standard weight of
20.00 ± 0.1 kg using automated weighing
machines.
Tare weights of bags are pre-calibrated.
🔹 3. Bag Sealing
Bags are sealed using:
o Heat sealing (for inner liners)
o Stitching (for outer HDPE layers) with
thread and tamper-evidence tape
Bags are immediately coded with a seal
integrity label.
🔹 4. Labelling & Marking
Each sealed bag is labelled with:
Product name (chemical + trade name)
Batch number
Net and gross weight
Date of packing
Hazard symbols (as per GHS norms)
Company name, address, and emergency
contact
Shelf life and storage instructions
🔹 5. Quality Control (QC) Check
QC personnel verify:
Accurate weight (± tolerance)
Seal integrity
Correct labelling
Cross-check batch traceability with production
batch sheets
Non-conforming bags are removed immediately
for rework.

Finished pallets are moved to a designated
shipping warehouse with:
o Ventilation, temperature, and humidity
control
o Safety separation by chemical
compatibility
Pallets are loaded into FCL containers (e.g. 20
pallets ≈ 12 MT) for domestic or export
dispatch with Material Safety Data Sheet
(MSDS), Certificate of Analysis (COA), and
Batch Release Note

CONCLUSION
Over the course of one month, all six of us
had the opportunity to visit a reputable
company and gather extensive data by
interviewing the Heads of various
departments, including Finance, Production,
and Human Resources. These interviews
provided us with deep understanding into
the operations, challenges, and strategies of
each department, enhancing our
understanding of their crucial roles within
the company.
Through this project, we not only applied the
theoretical knowledge we gained in our
studies but also developed practical skills
such as effective communication, data
collection, and teamwork. Each department
head was free-handed with their time and
knowledge, allowing us to ask general
question.
We are immensely grateful for this
opportunity and for the support we received
from both the company and our academic
mentors. This summer internship project has
significantly enhanced our preparedness for
our future careers and has motivated us to
pursue further knowledge and skills in our
respective fields.
