Respected Sir,
I hope this letter finds you in good health. I am writing this application to respectfully bring to your kind
notice my situation and to request permission to vacate the hostel for the 4th semester.
My name is Mohan Singh Bhadouria, Roll No. 2024MBA-29, and I am currently registering for the 4th
semester of my program. During my 3rd semester, I completed my registration on 27th July and paid the
full tuition fees, including Hostel and Mess fees. I was residing in Hostel BH-2, Room No. 237, and was
attending my classes regularly.
Unfortunately, on 21st August 2025, my father suddenly suffered a cardiac arrest and was admitted to J.A.
Group of Hospitals (Jayarogya Hospital), Heart Care Center, Gwalior. I immediately rushed to the
hospital. He was discharged on 25th August, but again suffered a second cardiac arrest on 27th August
and was readmitted. On the same day, I informed the HoD of my department through email.
Tragically, on 28th August 2025, my father passed away. I informed Mr. Manoj Das Sir and Prof. Gaurav
Agrawal Sir about this unfortunate event via email and personal call, especially as my summer evaluation
viva was scheduled on 29th August 2025, which coincided with my father’s funeral that I had to perform.
Subsequently, on 3rd September, I informed my faculty members through email that I would not be able to
attend classes until 13th September. I returned to the institute on 13th September and made my hostel
entry. However, on 14th September, my health deteriorated severely, and I had to vacate the hostel the same
day and return home. I duly filled out the hostel leave form and made an entry in the BH-2 leave register.
After this, I continued attending my classes from home In October, I discussed my situation with Prof.
Joydip Dhar Sir, explaining my health condition and family circumstances. Considering my situation, Prof.
Joydip Dhar Sir allowed me to vacate the hostel for the 4th semester and advised me to submit an
application along with relevant medical documents, as well as the application form for conversion from
Hosteler to Day Scholar.
Accordingly, on 1st December, I submitted an application for hostel vacation for the 4th semester, which
was duly signed by the concerned authorities, including Purnendu Sir and my Supervisor and I submitted
it to Prof. Joydip Dhar Sir.
Sir, I humbly request you to kindly allow me to vacate the hostel for the 4th semester, as I have not been
residing in the hostel since August. My financial condition is also not good, as my late father was a farmer
by profession, and the family is currently facing financial hardship.
I have attached relevant documents in support of my request, including medical prescriptions and proof
indicating that I am not residing in the hostel.
I sincerely request your kind consideration and support in this difficult phase of my life. I shall be extremely
grateful to you for your understanding and help.
