SOLVING PROBLEMS

1. Outline
a. Problems
- Tight deadlines
- Poor communication between managers and the team
- High workloads and lack of support
b. Solutions
- Extend the project timeline: around 2 weeks to 1 month
- Improve communication by holding weekly meetings between
managers and the team: discuss solutions and provide support
for issues that arise during the work process
- Assign more resources: hire extra staff, divide tasks evenly to
members/ other team, offer more equipment, paying for
overtime
- Set clearer project priorities to avoid confusion
c. Roles:
- CTO: Defend the tight deadlines but try to reduce team stress
→ Solutions: organize meeting to discuss, hire extra staff
- Lead Engineers: Ask for realistic timeline and more support
for the team
→ Solutions: divide tasks more efficiently, have short
meetings to follow progress
- HR Manager: Suggest ideas to improve working conditions
and reduce complaints
→ Solutions:paying for overtime work, divide task for other
teams, hire extra staff
- Executive: Mediate and find a solution that satisfies everyone
→ Solutions: have short meetings to follow progress,
increase overtime pay, organize small break-time with dessert
2. Script

Executive (Chairman) - D: Good morning, everyone. Thanks for

joining. As you know, we have been facing some serious issues in the AI
project. Today, I want to discuss this and find a workable solution.
Lead Engineer - B: To be honest, the team is under a lot of pressure. The
deadline is too tight, and without clear communication, we keep running
into the same problems. We really need more time and much better
support.
HR Manager - C: I have received several complaints too. Many
employees feel overwhelmed because of the workload and the lack of
resources. If we don’t adjust soon, morale will continue to drop.
CTO - A: I understand the concerns, but I don’t completely agree with
you, B. The deadline may be tight, but our clients expect us to deliver on
time. If we extend it too much, we risk losing their trust. I believe the team
can still manage—if we stay focused.
B: I get that, A, but the current pace isn’t sustainable. Without enough
time, the quality of work is already dropping. We need at least a small
extension, otherwise people will burn out.
A: I hear you. Maybe a small extension—two weeks, maximum one month
—could work. But we need to be careful not to slow down too much. Also,
we must improve communication. Weekly check-in meetings between
managers and the team could help us avoid repeated mistakes.
C: That would definitely help. And we truly need more resources. I can
start recruiting extra staff right away. We can also shift tasks to other
teams to balance the workload. Plus, overtime should be paid properly—
employees are staying late almost every day.
A: Good point. And to keep morale up, maybe we can organize small
break-time gatherings—just snacks or dessert—to help everyone relax and
keep the atmosphere less stressful.
D: I agree with that. So, to summarize: we’ll improve communication, add
more resources, compensate overtime fairly, and support the team’s well-
being. I’ll coordinate with HR on the hiring process and help set up the
weekly meetings.
B: With clearer priorities, better communication, and more support, the
team can definitely work more efficiently.
C: I’ll handle recruitment and adjust the overtime policy. I’ll also talk to
other teams about redistributing tasks.
D: Great. It sounds like we’re all aligned now. Let’s put this plan into
action and get the project back on track. Thank you, everyone.
