Advance Techniques Using
4 Microsoft Word

Productivity tools also known as productivity software are software


that people use to create and produce professional quality documents,
presentations, databases, charts, graphs, and more
([Link] productivity-tools/).It can
be a freeware or shareware. A Freeware is copyrighted, which can be used
for free and for an unlimited time while shareware is commercialized
software that is copyrighted which can be copied for trial but needs to be
purchased for continued used.
One of the most popular productivity tools develop by Microsoft is
the Microsoft Office.

This includes:
1. Microsoft Word – writing skills
2. Microsoft Excel – numeracy skills
3. Microsoft PowerPoint – presentation skills

What is It

Nowadays, demand to be well-presented and dynamic away from


the usual way of presenting information. A lot of presentation softwares
are available weather online or offline. Similarly, financial reports are
calculated and tabulated using electronic spreadsheets because of the
automatic formulas and functions available. These programs are also
made available to mobile devices which are also downloadable from the
web.

Word is one of the software of the Microsoft Office 2013 suite. It


offers a set of tools that is advanced compared to its previous version. Its
advance techniques including hyperlinks, macros and mail merge.
PowerPoint is a presentation program developed by Microsoft. It is
included in the standard Office suite along with Microsoft Word and Excel.
The software allows users to create anything from basic slide shows to
complex presentations. ([Link]

Excel is a spreadsheet application developed and published
by Microsoft. It is part of the Microsoft Office suite of productivity
software. Unlike a word processor, such as Microsoft Word, Excel
organizes data in columns and rows. Rows and columns intersect at a
space called a cell. Each cell can contain a single of data, such as text, a
numerical value, or a formula.

Advanced Techniques using Microsoft Word

Hyperlink: A hyperlink is a link that will direct you to another page


or part of the same document. It can be a word, a symbol or image, a file
or a script. Just simply click the links element usually underlined.
Hyperlinks are found in nearly all Web pages, allowing users to click their
way from page to page. Text hyperlinks are often blue and underlined, but
don't have to be. When you move the cursor over a hyperlink, whether it is
text or an image, the arrow should change to a small hand pointing at the
link. When you click it, a new page or place in the current page will open.
Mail Merge: A mail merge is a method of taking data from
a database, spreadsheet, or other form of structured data, and inserting it
into documents such as letters, mailing labels, and name tags. It usually
requires two files, one storing the variable data to be inserted, and the
other containing both the instructions for formatting the variable data and
the information that will be identical across each result of the mail merge.

Steps in creating a Hyperlink to an existing Document


1. Click your mouse on the location in the document where you want
to insert the hyperlink.
2. On the Insert Tab, click the hyperlink button on the links group.
3. On the Insert Hyperlink dialog box, Existing File or Web Page and
then select the File name where the source file is located and then
hyperlink will be created on your document.
4. Press CTRL + Click on the hyperlink to open the linked file.

Creating a Mail Merge

In creating a mail merge, you need a data source that contains the basic
information to be merged into your word document. A data source may
contain name, address, and other information you want to include. A data
source must be created first to be able to use mail merge.

Steps in creating a Mail Merge

1. Open the Word document that you want to apply Mail Merge.
2. On the Menu tab, click Mailings tab to go to the Start Mail Merge group
and click Start Mail merge and select Step by step Mail Merge Wizard.
3. The Task Pane will show the Mail Merge steps 1 to 6.

Labels or Directory.

List dialog box will open.

Integrating Illustrations in Word Document


An illustration in Microsoft Word is a visualization or drawing that is
in the form of pictures, clip art, shapes, SmartArt, charts, or screen
clippings. You can insert illustrations easily by using the illustrations
group of the Insert Tab.

Steps in Inserting Illustrations in MS Word


➢ Inserting Illustrations: Picture from a File
1. Click the area where you want to insert the picture in your
document.
2. Click Insert Tab and click Picture. Insert picture dialog box
will appear.
3. Choose the picture you want to insert and click insert.

➢ Inserting Shape
1. Click Insert Tab then look for Shape
and click.
2. Click the shape that you want and click
the mouse to the area in your document
where the shape will be placed.

➢ Inserting SmartArt
1. Click Insert Tab then click SmartArt.
a dialog box will appear.
Select from the list of SmartArt
that you want and click OK.

➢ Inserting Chart
1. in the document where you want the Chart to be placed.
2. Click Insert Tab then click Chart. A dialog box will
appear. Select the type of chart that you want and click
OK. MS Excel window will appear with the chart.
3. Edit the data in MS Excel window. You can close Excel
after editing the chart.

Formatting Pictures in Microsoft Word


A. Resizing pictures

1. Access formatting menu.
Right-click on the picture you want to resize. Position the mouse
cursor on the edge of a picture, hold and drag according to
desired size. You can also use the Size menu to resize the picture.

you want to fill the shape with color, change
the line width or style, or add effects to the
shape.

C. Formatting Chart
Select the chart that you want to format. Design, Layout, and Format
tabs of the Chart Tools will appear.
