What is a Project ?
◦ A temporary endeavor undertaken to create a unique
product, service, or result
◦ project is a unique entity
◦ In other words, the creation of a new application is
unique, whereas the maintenance and day-to-day
support of an existing application is not so unique.
Ghalib University: Masoud Bahrah
Project Attributes
◦ 1- change or improve environments.
◦ 2- get things done.
◦ 3- unique from other work.
◦ 4- defined start and end date.
◦ 5- require resources and time.
◦ 6- solve problems.
◦ 7- create opportunities.
◦ 8- They are sometimes challenging

Introduction to Subject
◦We divide software in two phases
◦1- software creating (coding , testing ,
maintenance …)
◦2- Software Management (Staffing , Planning ,
Scheduling , Estimation ….)

Software Project Management
“The best thing about software is its flexibility”
It can be programmed to do almost anything.
“The worst thing about software is also its flexibility”
The “almost anything ” characteristic has made it
difficult to plan, monitor, and control software
development

Software Project Management
◦ Software Project Management refers to the process of
planning, organizing, and managing the tasks and
resources required to develop and deliver a software-
based system, application, or product

Statistics Highlighting the Need for
Software Project Management
•Project Failure Rates:
•According to the Project Management Institute (PMI), about 14% of projects are successful in
delivering on time and within budget.
•Cost Overruns:
•A study by the Standish Group found that only 29% of software projects are completed on time
and within budget, while 52% experience cost overruns. This underscores the importance of
solid project management to control costs.
•Scope Creep:
•Approximately 50% of projects experience scope creep, where additional features or
requirements are added without proper adjustments to time and resources. Effective project
management helps mitigate this issue.
•Resource Allocation:
•PMI reports that organizations with mature project management practices save an average of
28% on project costs compared to those with less structured approaches. This highlights the
efficiency gained through proper resource allocation and planning.

Statistics Highlighting the Need for
Software Project Management
•Quality Issues:
•According to a study by McKinsey, software projects can experience up to 50% more defects
when proper project management is not utilized..
•Employee Morale:
•A survey by Wrike found that 86% of employees believe that poor project management
negatively impacts their morale.
•Market Demand for Project Management Skills:
•The Bureau of Labor Statistics projects that jobs in project management will grow by 11% from
2018 to 2028, indicating a strong demand for professionals skilled in this area.
•Return on Investment (ROI):
•Organizations that invest in project management training can see an ROI of up to 50%, as
reported by PMI. This demonstrates the financial benefits of effective project management.

Why SPM is Important?
1- Improved Project Success Rate:
•significantly increases the likelihood of projects being completed on time,
within budget, and to specifications, reducing overall failure rates.
2- Enhanced Planning and Organization:
•It provides a structured approach for planning, executing, and monitoring
projects, ensuring that all aspects are organized and managed effectively.
3- Cost Control:
•Helps in budgeting and managing costs, reducing the risk of cost overruns,
and ensuring that resources are allocated efficiently.
Ghalib University: Masoud Bahrah
Why SPM is Important?
4- Quality Assurance:
•Ensures that the final product meets defined quality standards.
5-Risk Management:
•Identifies potential risks early in the project and develops strategies to
mitigate them.
•6- Better Resource Management:
•Optimizes the use of human, technical, and financial resources, ensuring
that the right people are assigned to the right tasks at the right time.

Why SPM is Important?
7- Stakeholder Engagement:
•Facilitates effective communication with stakeholders, ensuring their needs
and expectations are understood
8- Team Collaboration:
•Promotes collaboration among team members and departments,
enhancing communication and fostering a sense of ownership and
accountability.
9Documentation and Knowledge Transfer:
•Ensures that all project phases are well-documented, facilitating knowledge
transfer and providing valuable insights for future projects.

Comparing Projects and Operations
◦ Purpose:
◦ Project: A project is a temporary endeavor undertaken to create a unique product,
◦ service, or result.
◦ Day-to-Day Activities: required to maintain the normal functioning of an organization or individual.
◦ Scope and Scale:
◦ Project: Projects typically have a defined scope, with specific objectives and a clear beginning and
end.
◦ Day-to-Day Activities: Day-to-day activities are usually smaller in scale, less defined, and more
repetitive in nature.
◦ Uniqueness:
◦ Project: Projects are unique and non-repetitive, with the goal of creating something new.
◦ Day-to-Day Activities: Day-to-day activities are often repetitive and part of the regular, ongoing
operations of an organization or individual.
Ghalib University: Masoud Bahrah
Comparing Projects and Operations
◦ Resource Allocation:
◦ Project: Projects typically require the allocation of dedicated resources (e.g., budget, personnel,
equipment) to achieve their objectives.
◦ Day-to-Day Activities: Day-to-day activities are often incorporated into an individual's or team's
regular work responsibilities and do not require the same level of dedicated resource allocation.
◦ Management Approach:
◦ Project: Projects are typically managed using project management methodologies, to ensure
effective planning, execution, and control.
◦ Day-to-Day Activities: managed through regular operational processes and procedures,
◦ Uncertainty and Risk:
◦ Project: Projects often involve a higher degree of uncertainty and risk due to their unique and
complex nature.
◦ Day-to-Day Activities: generally have a lower level of uncertainty and risk, as they are more routine
and familiar.

Making Sense of Project
Success (Or Failure)
◦ Most projects start with an optimistic attitude about creating a
deliverable, keeping the customer happy, and making this the
best software project ever.
◦ And then things (bad things) happen. The good projects end on
time and as planned. these projects have three things in
◦ common:
◦ 1- A leader who knows what he or she is doing
◦ 2- A tight change control system
◦ 3- Team members who understand what the project is supposed
to deliver and can therefore get results

Process Group
◦ collection of related processes that are grouped
together to achieve specific project objectives
Ghalib University: Masoud Bahrah
◦ 1. Initiating: That’s really where you are now. The project is in the
process of getting selected, sponsored, funded, and launched.
◦ Key activities include:
◦ Developing the project charter.
◦ Identifying stakeholders.
◦ 2. Planning: This group encompasses processes that establish the
scope, objectives, and actions necessary to achieve the project
goals.
◦ Key activities include:
◦ Defining project scope.
◦ Developing the project management plan.
◦ Creating schedules and budgets.
Ghalib University: Masoud Bahrah
◦ 3. Executing: involves processes that carry out the project
management plan to create the project deliverables. Key activities
include:
◦ Directing and managing project work.
◦ Coordinating resources.
◦ Communicating with stakeholders.
◦ Managing team performance.
◦ 4. Controlling: includes processes that track, review, and regulate
project performance and identify any areas where changes are
needed.
◦ Key activities include:
◦ Measuring project performance against the project management
plan.
Ghalib University: Masoud Bahrah
◦ 5. Closing: This group encompasses processes that finalize all
activities to formally close the project or a project phase. Key
activities include:
◦ Obtaining acceptance of project deliverables.
◦ Conducting project evaluations and lessons learned.
◦ Archiving project documents.
Ghalib University: Masoud Bahrah
Conclusion
◦ project is a unique entity which gets things done
◦ SPM is How grantee your software Project success (is not how
make software)
◦ SPM can help you manage many things like your budget ,
estimation , employees, coordination .
◦ All projects go through 5 process groups which are 1- Initiating 2-
Planning 3- Executing 4- Controlling 5- Closing .
Ghalib University: Masoud Bahrah
Expected Outcome
◦ Students know what is SPM and how can help us to improve our
project success chances .
Ghalib University: Masoud Bahrah
Class Activity
◦Let class students create groups and each group
can tell their experience about any large scale
projects they did or seen , or they can tell stories
about management they experienced in the
real life .
