Notice: Student Attendance Policy Orientation

In line with the school’s commitment to providing quality education and


ensuring students’ academic success, the Administration will conduct a
Student Attendance Policy Orientation. Recent observations show a decline in
student attendance during face-to-face classes, which directly affects
learning outcomes and discipline.
We respectfully request the cooperation of parents and guardians in
reinforcing the importance of regular attendance. This orientation aims to
clarify attendance expectations, valid excused absences, monitoring
procedures, and the corresponding rewards and sanctions.

1. Attendance of Students
Attendance in Face-to-Face Classes
• Students are required to attend all scheduled face-to-face classes.
• Attendance is a major responsibility of every student and is essential for
learning and assessment.
Allowed Absences
• For classes scheduled two (2) days per week:
o Students are allowed two (2) absences per month.
• For classes scheduled once a week (Saturday classes):
o Students are allowed one (1) absence per month.
Policy Reminder
• Exceeding the allowed number of absences or failure to comply with the
attendance policy will result in corresponding sanctions
2. Valid Excused Absences
An excused absence is a legally recognized absence from school and
must be verified by a parent or guardian through a written excuse
submitted to the class adviser or attendance secretary. The following are
considered valid reasons for an excused absence:
• Student illness
• Serious illness or death in the student’s family
• Medical, dental, orthodontic, or mental health treatment
• Court appearances
• Observance of recognized religious holidays or instruction (up to 3
hours per
week)
• Family emergencies or calamities (fortuitous events, force majeure)
• Approved school-related events (e.g., sports tournaments)
• Suspension days (to be treated as excused)

• Other special cases as approved by the Administration


Valid Excused Absences
If excused, students:
1. May ask their advisers and subject teachers for activities they have and
negotiate the deadline of submission.
2. Students with unexcused absences are not eligible for make-up
activities.
3. Rules to Prevent Excused Absences Abuse
While valid reasons are honored, the school recognizes an increasing
pattern of excuse letter abuse. Therefore:
• Maximum of two (2) excused absences per month allowed without
review.
• More than two (2) excused absences will be evaluated by the Guidance
Designate and may require additional action.
• Excuse letters must be submitted immediately upon return; late
submission will mark the absence as unexcused with no make-up work
allowed.
• Abuse of excuse letters (vague, repeated, or unverifiable) will be flagged
and may result in disciplinary action.
4. Parent Advisory and Communication
Guidance and Monitoring
• Parents and guardians are strongly encouraged to guide and monitor
their children’s school attendance to avoid attendance-related issues.
Parent–Teacher Communication
• A Group Chat will be created for parents and class advisers to ensure
efficient communication regarding student attendance and concerns.
• Class advisers will respond to inquiries and concerns Monday to
Saturday, 8:00 AM – 5:00 PM only.
5. Student Attendance Monitoring
a. Class Advisers shall submit a Narrative Report on Habitual
Absentees, which will include:
Number of days absent
Stated reasons for absences
Actions and interventions taken by the adviser
b. Each student must provide a contact person (parent/guardian)
for easier monitoring and feedback.
c. A written notice will be issued to students with attendance
concerns.
A receiving copy will be signed and kept for documentation.

6. Student Rewards and Sanctions


Rewards
Students with Perfect Attendance will receive:
Additional five (5) points added to their Exam and Performance Task
score as an incentive.
Sanctions for Habitual Absences
All offenses will be forwarded to the Guidance office for referral.
First Offense
a. Verbal reminder or private conference with the adviser/teacher
b. Parent/guardian notification
Second Offense
a. Written reprimand
b. Reflection task or Community Service for 30 minutes
Third Offense
a. 2 Hours Community Service
b. Counseling session
c. Parent–teacher conference
Fourth Offense
a. 4 hours Community Service
b. Parent-Teacher Conference
Fifth Offense
a.8 hours of Community Service
