Teachers are getting in trouble of finding the books they


give children because they keep manual records which are
sometimes lost and is labour intensive

Statement of intent

To reduce labour of teachers and book losses by using


Microsoft Access
Using databases and queries and reports to keep record of
their details and books they take
The output must be like the one shown below

Idea 1

Use of a library management system

This problem was once faced at Presbeterain High School


They successfully overcame the problem with the use of a
library management system

Advantage

 It has robust features for managing library collections

Disadvantage

 Expensive because it needs licensing fees

Idea 2

USE OF MICROSOFT EXCELL

 At Bonda Girls High School the similar problem was


faced
 They successfully solved the problem with the use of a
spreadsheet

 Advantage

 .Easy and flexible to use

 Disadvantage
 Spreadsheets can be difficult to track changes,making
it hard to maintain version control

 Idea 3

USE OF DATABASE SYSTEM

 The same problem was faced at MK Group of schools


 The problem was successfully solved using database
system

 Advantage

 Databases can handle growing amounts of data

 Disadvantage

 .Databases are vulnerable to unauthorized access

USE OF A CLOUD BASED SYSTEM

 At first choice the problem was also faced


 It was successfully solved using Cloud-based database
platform using Air table

 Advantage

 .Accessible from anywhere with internet connectivity


Disadvantage

 .Potential costs for premium features or large datasets

Ways to solve the problem include

Solution 1:Using a Spreadsheet

Creating a digital spreadsheet to store book records

 .It is collaborative
 .It is easy to understand

 Limitation

 .May become cumbersome with large data set,limited


data validation and reporting capabilities

 .Spreadsheets are vulnerable to data breaches

 .They can be prone to data duplication


 Solution 2:Using a Library Management system

 This method is used at Presbyterian school


 It involve use of library dedicated software which is
called library-world

 Benefit

 .Robust features for managing library collections


 .automated reporting and streamlined workflows
 .It can be used through The internet

 Limitation

 .May require subscription fee or licensing fees

 .Requires training and technical support

 .Is quite expensive

Limitation

.Complexity:Designing and implementing requires


technical expertise ,which can be time consuming and
challenging

threats such as data breaches and unauthorized access
if not properly secured

completeness can be challenging especially in large
databases

JUSTIFICATION

I have chose this one because of the following reasons


 They provide a structured way to store and manage
large volumes of data,making it easier to retrieve and
update information

 It is easy to teach those who cannot use it

 It has features such as queries and reports to specify


certain information

 It can handle a lot of information and can be updated


 It is cheap and easily accessible

The database solution was implemented


Records are now digitized and easy to locate a student
who has not yet returned his book

Certain information on books is now quickly accessed

The school has reduced costs on buying books and


teachers can now save their work once and neatly
reducing time and paperwork

CHALLENGES

 Not every teacher had Microsoft Access

HOW THE CHALLENGES WERE SOLVED

 A flash containing Microsoft access was given to every


teacher

Reccomendations

 Addition of security
Strong passwords were added to reduce unauthorized
access
 Updates
Auto updates were applied such as software update

 Monitor performance
Regularly monitor database performance to identify
bottlenecks and areas for improvement

 Optimize queries
Optimize queries to reduce execution time and improve
performance

 Reguralry audit data


Perform regular audits to identify and correct data
inconsistencies

 Design for scalability
