INTRODUCTION
Background of the Study
In an era where technology continues to redefine accessibility
and efficiency, the need for digital transformation across academic
institutions has never been more exigent. Students today demand
quicker, paperless, and more efficient systems that align with the fast
pace of modern life. Traditional manual processes in university
administration—particularly in enrollment—are often time-consuming,
error-prone, and inconvenient for both students and staff. These
challenges underscore the urgency of automating and modernizing
enrollment systems to enhance institutional productivity and service
delivery.
The integration of digital systems in higher education has
revolutionized the way schools handle administrative operations. As
Holmes (2006) emphasizes, technological progress has improved
access to information and enhanced service provision, encouraging
universities globally to adopt online platforms for registration,
academic record management, and assessment tracking. Institutions
such as Western Mindanao State University (WMSU) and Far Eastern
University (FEU) have successfully implemented web-based enrollment
systems that allow students to register online, view class schedules,
and monitor academic progress (WMSU, 2020; FEU, 2021). These
initiatives demonstrate how automation minimizes paperwork, reduces
human error, and strengthens communication among students, faculty,
and administrative offices.
Despite these technological advancements, Sultan Kudarat
State University (SKSU) Isulan Campus continues to rely heavily
on manual enrollment procedures. The current process requires
physical submission of forms and documents, in-person verification,
and manual data entry, which often leads to delays, redundancy, and
unnecessary travel for students. Such inefficiencies highlight the
absence of a unified, web-based automated enrollment system tailored
to SKSU’s institutional structure and user needs.
To address this gap, the project proposes the development of the
SKSU Isulan Campus Online Enrollment System—a web-based
platform designed to automate and streamline the university’s
enrollment process. This system aims to accelerate transaction times,
reduce paperwork, enhance data accuracy, and improve the overall
enrollment experience for both students and administrative personnel.
Objectives of the Study
General Objective
The primary objective of the study is to design and develop a
web-based SKSU Isulan Campus Online Enrollment System that
automates and improves key enrollment processes, including student
registration, subject encoding, and academic record management. The
system aims to enhance efficiency, accuracy, and accessibility in
enrollment transactions, reduce human error, and promote SKSU Isulan
Campus vision of digital transformation.
Specific Objectives
Specifically, this project aims to:
1. Develop a web-based system that allows students to register,
select subjects, and submit enrollment requirements online.
2. Enable registrar personnel to verify, approve, and update
student enrollment records in real-time.
3. Provide a database management module for storing and
organizing student, subject, and course information securely.
4. Implement a notification system that updates students
regarding enrollment status, schedule changes, and document
requirements.
5. Generate automated reports such as enrollment lists, student
profiles, and academic summaries.
6. Create an administrative dashboard that monitors enrollment
statistics, user activity, and data trends for decision-making.
Significance of the Project
The proposed SKSU Isulan Campus Online Enrollment System will
offer valuable contributions to multiple stakeholders by promoting efficiency,
transparency, and accessibility within the university’s enrollment process.
To the Students
The system will provide a more convenient and paperless
method of enrollment, reducing the need to travel to the campus and
wait in long lines. Students will be able to access their academic
information, schedules, and enrollment status online anytime,
enhancing their overall learning experience.
To the Registrar’s Office
It will reduce the workload of administrative staff by automating
repetitive tasks such as record filing, form checking, and data
encoding. The system will also minimize errors and provide a
centralized database for more efficient record management.
To the Faculty Members
The system will provide faculty with accurate, real-time data on
enrolled students per course or section, enabling better preparation for
classes and academic advising.
To the University Administration
It will support SKSU’s digital transformation initiative by
improving operational efficiency, data security, and institutional
productivity. It will also serve as a model for other departments aiming
to automate their processes.
To Future Researchers
The study will serve as a reference for those developing similar
systems in other academic institutions. It may inspire further
enhancements such as integration with grading, payment, or
scheduling systems.
Scope and Limitation of the Study
Scope of the Study
The SKSU Isulan Campus Online Enrollment System is
designed to automate the major components of the university’s
enrollment process. The system will include modules for student
registration, subject selection, data verification, and academic record
management. It will feature user authentication for students and staff,
role-based access, a notification system, and automated report
generation. The platform will operate through a web-based interface
accessible via desktop and mobile devices with internet connectivity.
Limitations of the Study
While the system improves enrollment efficiency, it has certain
limitations. It will not include integration with online payment systems
or real-time class scheduling algorithms. The project focuses primarily
on the enrollment phase and does not cover other academic processes
such as grading, evaluation, or scholarship management. Furthermore,
its functionality is limited to the internal operations of SKSU and may
not be immediately adaptable for use by other universities without
modification.
Operational Definition of Terms
SKSU Isulan Campus Online Enrollment System – refers to the
proposed web-based platform designed to automate the enrollment
process at Sultan Kudarat State University.
Web-Based System – a software application accessible through a
web browser over the internet, allowing users to perform transactions
remotely.
Automation – the use of technology to perform tasks with minimal
human intervention, ensuring faster and more accurate results.
Enrollment Process – the administrative procedure by which
students officially register for subjects or courses in an academic
institution.
Database Management – refers to the organized storage, retrieval,
and updating of digital records such as student information, course
lists, and enrollment data.
User Account Management – a feature that allows administrators to
create, modify, and manage access permissions for users such as
students, registrar staff, and faculty.
Notification System – a system function that automatically sends
alerts or updates to users about enrollment status or important
announcements.
Dashboard – a visual interface that presents real-time data and
summaries related to enrollment statistics, user activity, and academic
records.
Report Generation – the automated creation of summarized
documents such as enrollment lists, student profiles, and transaction
reports for administrative use.
