Requirements Specification
1. Introduc on

Purpose

The purpose of this document is to define the func onal and non-func onal requirements for a Student
Management System (SMS) aimed at automa ng and streamlining the process of managing student-
related data. This system will enhance administra ve efficiency by providing a centralized pla orm for
handling student informa on, a endance, grades, and genera ng reports. It will simplify workflows for
administrators, teachers, and support staff while ensuring data accuracy and security.

Scope

The Student Management System will provide an end-to-end solu on for managing student lifecycle
processes, including registra on, a endance, grade management, and repor ng. The system will be
scalable, allowing for future growth and expansion in terms of both data and user volume. It will be
accessible to mul ple types of users including administrators, teachers, students, and parents, with
varying levels of access control.

The system will focus on four main modules:

 Student Informa on Management: Register and manage personal and academic details of
students.

 A endance Management: Automate the recording, tracking, and repor ng of student


a endance.

 Grade Management: Record and analyze student performance, providing real- me grade data
and GPA calcula ons.

 Repor ng and Analy cs: Provide customizable reports for performance tracking, a endance,
and other cri cal student-related data.

2. Func onal Requirements

2.1 Student Informa on Management

The system will manage comprehensive student profiles with func onality for easy registra on and
updates. Key features include:

 Student Registra on and Profile Management: Create and manage student profiles including
personal, academic, and extracurricular data.

 Personal and Contact Informa on Management: Store and update student informa on such as
name, date of birth, address, and emergency contact details.
 Photo and Document Management: Upload, store, and manage student-related documents
(e.g., ID proof, cer ficates) and photos for iden fica on purposes.

 Student Status Tracking: Track the academic status (enrolled, graduated, dropped out) of
students.

 Parent/Guardian Informa on Management: Maintain contact details of parents/guardians for


emergency no fica ons and updates.

2.2 A endance Management

The a endance module will streamline the process of a endance tracking and repor ng:

 A endance Tracking and Recording: Automate a endance capture with op ons for manual
entry or biometric integra on (e.g., fingerprint, facial recogni on).

 Automated A endance Repor ng: Generate daily, weekly, or monthly a endance reports for
individual students or en re classes.

 Leave and Absence Management: Allow students or parents to submit leave requests online,
which can be approved or rejected by teachers or administrators. Track and report on student
absences.

 A endance No fica ons: No fy parents or guardians via SMS or email in case of prolonged or
unapproved student absences.

2.3 Grade Management

This module will allow for efficient tracking and analysis of student grades:

 Grade Tracking and Recording: Enable teachers to record grades for various subjects and
assessments (e.g., quizzes, midterms, finals).

 Automated Grade Repor ng: Generate grade reports for individual students or en re classes
with analysis of performance trends over me.

 GPA and Transcript Management: Automa cally calculate GPA based on grades and provide
tools for genera ng transcripts for individual students.

 Grading Scale Customiza on: Support customizable grading scales (e.g., le er grades,
percentages) depending on ins tu onal standards.

 Exam Scheduling and Grade Input: Allow administrators to schedule exams and assessments,
and facilitate easy grade input once evalua ons are complete.

2.4 Repor ng and Analy cs

or record-keeping.

 Fast and Responsive Interface: Ensure that the system’s user interface is quick and responsive
across various devices and screen sizes.

 Efficient Data Processing: Op mize for efficient data retrieval and processing even with large
volumes of student records and interac ons.

 Low Latency: Ensure minimal delays in performing opera ons such as retrieving reports or
upda ng student informa on.

 Scalability: Design the system to support a growing number of users, schools, and data entries
without performance degrada on.
