1.3 Scope and Motivation

1.1 A MOTIVATING FORCE: SIMPLIFYING CAR RENTALS FOR USERS AND BUSINESSES

The car rental industry, while offering a valuable service, can sometimes be plagued by
inefficiencies and frustrations for both renters and rental companies. This car rental system is
driven by the desire to address these issues and create a more motivating experience for
everyone involved. Here's how it aims to achieve that:

Revolutionizing Convenience for Renters:

Imagine a scenario where you need a car for an upcoming trip. Traditionally, this might involve
visiting a rental office, sifting through brochures or limited car displays, and potentially facing
unclear pricing structures. This car rental system eliminates such inconveniences. Users can
browse a comprehensive online catalogue of vehicles, complete with detailed specifications,
high-quality images, and real-time availability. This empowers them to make informed
decisions based on their specific needs and preferences, all from the comfort of their homes or
offices.

The motivation for users extends beyond simple browsing. The system allows them to
seamlessly reserve their chosen car for a specific date and duration. This eliminates the anxiety
of last-minute availability checks and ensures they secure the desired vehicle for their trip.
Transparency is another key motivator. The system clearly displays rental fees based on car
selection and rental duration, providing users with upfront cost information. No more hidden
charges or surprise fees at the counter – just clear pricing that empowers informed decision-
making.

Streamlining the Rental Process:

Gone are the days of tedious paperwork and potential errors during data entry. This system
automates much of the rental process, further motivating users with its efficiency. Once a car is
selected and reserved, users can input their information electronically, eliminating the need for
handwritten forms or potential data discrepancies. The system then generates a clear and
concise invoice, summarizing the rental details and total cost. This transparency and ease of
access to rental information further enhance the user experience. The system doesn't stop at
convenience – it also aims to expedite the rental process. By eliminating the need for lengthy
paperwork at the counter, the system allows for faster car selection and reservation
confirmation. This translates to less waiting time for users, a crucial factor in today's fast-paced
world. Imagine arriving at the rental office with a confirmed reservation, simply needing to
pick up the keys and hit the road – a truly motivating experience for time-conscious users.

Motivating the Rental Company: Efficiency and Growth

The benefits of this car rental system extend far beyond user convenience. The automation of
online reservations and streamlined processes significantly reduces administrative tasks for
rental companies. This frees up staff time, allowing them to focus on providing exceptional
customer service, addressing specific user needs, and potentially upselling additional services.
Increased staff availability for customer interaction contributes to a more positive rental
experience for all, further motivating users and fostering a loyal customer base.

Beyond improved customer service, the system provides a significant advantage in data
management. Electronic records of reservations, rental details, and customer information offer
rental companies easier access to data for better decision-making. They can analyse car usage
patterns, identify popular models, and optimize their fleet management strategies. This data can
also be used to personalize future marketing campaigns and target specific customer segments
with relevant offers, potentially increasing rentals and revenue.

Another impactful motivator for rental companies is the potential for cost reduction. Automated
processes and reduced paperwork associated with online reservations significantly minimize
operational expenses. This translates to improved profitability for the company, allowing them
to invest in better car models, enhanced customer amenities, or even lower rental charges,
creating a more competitive edge within the market.
A Win-Win for All: A More Motivated Future

In conclusion, this car rental system is more than just software – it's a force for motivation. For
users, it offers convenience, transparency, and a streamlined rental process. For rental
companies, it translates to increased efficiency, improved customer service, and cost reduction.
This win-win situation fosters a symbiotic relationship between renters and rental companies,
ultimately creating a smoother, more motivating car rental experience for everyone involved.

PROJECT DESCRIPTION
2.1 EXISTING SYSTEM
Traditionally, car rental companies have relied on two main systems: manual and basic
computerized. The manual system, prevalent in smaller agencies, involves a lot of
paperwork. Customers fill out paper forms with their details and desired rentals. Staff
manually check car availability and calculate fees based on pre-defined structures.
Invoices are then printed and presented for customer signatures. Data management is also
manual, with customer and car information stored on paper forms or handwritten ledgers.
Car availability might be tracked on a whiteboard or a schedule board. Basic
computerized systems offer some improvement. Customers interact with a program,
entering information and selecting car options. The program might display basic car
details or link to external websites. Rental fees are automatically calculated based on pre-
programmed pricing structures, and invoices might be printed or displayed electronically.
However, customer and car information are stored in a basic database within the
program, and car availability is tracked electronically within the program's interface.
Both manual and basic computerized systems have limitations compared to the Online
Car Rental System. They are less user-friendly and more time-consuming due to lack of a
streamlined interface. Existing systems might offer limited car information or lack
transparency in pricing structures. Manual systems are also prone to errors in data entry
and calculations. The Online Car Rental System showcases a potential future where car
rentals are more user-friendly, efficient, and transparent. It emphasizes automation,
detailed car information access, and clear invoice presentation, addressing limitations of
existing systems.

Use case diagrams

A use case diagram is a set of use cases for a system, the actors of these use cases, the relations
between the actors and these use cases, and the relations among the use cases. The UML (unified
modeling language) notation for a use case diagram is containing different shapes and each shape
has its own meaning.
 A use case diagram at its simplest is a representation of a user's interaction with the
system and depicting the specifications of a use case.
 Informally speaking, a use case is a story or a case of using a system by some users to
vehicular out a process. A bit more precisely speaking, a use case describes the sequence
of events of some types of users, called Actors, using some part of the system
functionality to complete a process.
 An oval represents a use case,
 A man like figure represents an actor,
 A line between an actor and a use case represents that the actor initiates and/or
participates in the process

Use-Case Description
1. Use-case Login

The Login use case enables registered users both Customers and Administrators
to securely authenticate into the Online Car Rental System. Users begin by
navigating to the login page and entering their credentials (username/email and
password). Upon submission, the system validates the information against the
user database, verifies the account status and role, and if successful creates a
secure session and redirects the user to the appropriate dashboard. If credentials
are incorrect, the system displays an error and allows re-entry; forgotten
passwords can be recovered through a secure reset flow. The process is designed
with security in mind, employing HTTPS, encrypted password storage, and
session timeouts to protect user data and ensure reliable access in alignment with
the system’s functional and non-functional requirements.
2. Use-case Reserve Car

The Car Reservation use case enables a registered customer to search for available
vehicles by specifying rental dates, location, and car type, after which the system
displays real-time options with transparent pricing. The customer selects a
preferred car, reviews a summary of rental terms and total cost, and confirms the
booking. Upon confirmation, the system reserves the car, updates inventory, and
generates a booking confirmation while marking the car as reserved in the
database. This automated process supports the system’s objectives of reducing
processing time, improving transparency, and providing detailed car information,
while ensuring reliability and performance as outlined in the project requirements .
3. Use-case Confirm/Approve Reservation

The Confirm/Approve Reservation use case enables an administrator to review, validate,

and finalize customer reservations from the management dashboard. The administrator
can inspect reservation details such as rental dates, car information, and customer
credentials before approving the booking. Upon approval, the system updates the
reservation status to “Confirmed,” notifies the customer, and marks the vehicle as booked
in the inventory. If needed, the administrator may reject or modify the reservation based
on availability or policy compliance, ensuring accurate inventory management and
supporting the system’s transparency and efficiency objectives.

4. Use-case Cancel Reservation

The Cancel Reservation use case allows a customer or administrator to terminate an

existing booking. Once a cancellation is requested, the system verifies the reservation
status and applies any relevant cancellation policies or fees based on timing. The car is
then released back into available inventory, the reservation status is updated to
"Cancelled," and a confirmation notification is sent to the customer. This process
supports inventory management and system transparency while maintaining consistent
policy enforcement.

5. Use-case Search Car

The Search Car use case enables users to find available vehicles by entering search
criteria such as rental dates, location, vehicle type, and price range. The system queries
the real-time inventory database and returns a list of matching cars with detailed
information, including images, specifications, pricing, and availability status. Users can
filter and sort results to refine their selection, supporting an efficient and transparent
vehicle discovery process that aligns with the system’s objectives of providing detailed
vehicle information and improving rental accessibility.

6. Use-case Create Contract

The Create Contract use case is initiated once a reservation is confirmed, automatically
generating a formal rental agreement that outlines all terms, conditions, rental dates,
pricing breakdowns, fees, and customer and vehicle details. The system populates the
contract with the relevant reservation data, applies any necessary business rules or legal
clauses, and allows for digital signing by both the customer and administrator. Upon
completion, the finalized contract is stored securely in the system, emailed to the
customer, and linked to the reservation record, ensuring transparency, legal compliance,
and a clear agreement for both parties throughout the rental period.

7. Use-Case Register Rental Payment

The Register Rental Payment use case processes and records a customer's
payment for a confirmed car rental. After the customer selects a payment
method such as credit card or digital wallet the system securely processes
the transaction, validates its success, and updates the booking status to
"Paid." An electronic receipt is automatically generated and sent to the
customer, while the payment details are logged in the system for reporting
and financial tracking. This use case ensures secure, transparent, and
efficient handling of transactions in alignment with the system’s objectives
of automating the rental process and improving payment transparency.
8. Use-case Register New Car

The Register New Car use case enables an administrator to add a new car
to the rental inventory by entering essential details such as make, model,
year, license plate, car identification number (CIN), category, mileage, rental
rate, and availability status. The system validates the provided information,
stores it in the database, and updates the central inventory listing. Once
registered, the car becomes visible in search results and available for
customer reservations, supporting effective fleet management and ensuring
accurate, up-to-date car information within the system.
9. Use-case Generate Report

The Generate Report use case allows administrators to produce various

analytical and operational summaries from system data, such as rental
history, revenue, vehicle utilization, and customer activity. The
administrator selects the report type, defines filters like date range or car
category, and the system compiles the information into a structured format—
such as a PDF, spreadsheet, or dashboard view. Once generated, the report
can be viewed, saved, or exported, providing actionable insights to support
decision-making, performance tracking, and transparency as outlined in the
system’s scope and reporting objectives.
10. Use-case Logout

The Logout use case securely terminates an active user session within the Online Car
Rental System. When initiated by a Customer or Administrator, the system invalidates
the current session token, clears any cached user data from the browser, and redirects the
user to the login page or homepage. This process ensures that access to protected features
—such as booking, payment, or administrative functions—is properly revoked,
maintaining system security and protecting user information in accordance with non-
functional security and reliability requirements.

Class Diagram (UML)

A class diagram in the Unified Modeling Language (UML) is a type of static structure
diagram that describes the structure of a system by showing the system's classes, their
attributes, operations (or methods), and the relationships among objects. In the diagram,
classes are represented with boxes which contain three parts:
 The top part contains the name of the class
 The middle part contains the attributes of the class
• The bottom part gives the methods or operations the class can take or undertake In the
design of a system, a number of classes are identified and grouped together in a class
diagram which helps to determine the static relations between those objects.
