Formal Report- My First Job

Imagine you are Dad from Passage A. The owner of the company wants to
introduce holiday work experience for more young people. You have been
asked to present a report to the owner of the company following your son’s
experience.

Write the report.

In your report you should comment on:
• the challenges faced by Andrew and what you hoped he would gain from his
six weeks at the factory
• how different staff members treated Andrew
• what you have learned about the thoughts and feelings of the people who work
at the company.

Base your report on what you have read in Passage A, but be careful to use your
own words.
Address each of the three bullet points.
Begin your report, ‘Summer work experience for young people … ’

Write about 250 to 350 words.

Report:

To : EXL Electrical
From : Andrew’s Father
Date: 18th March, 2024
Subject: Evaluating Andrew’s experience at the electrical factory

Introduction + Purpose:
Summer work experience for young people can prove
to be very enriching and elucidating. This report will examine the different
aspects of introducing more young people into the company for internship
during the holiday season. This report has been collated based on Andrew (Surname)'s
experience of working at our esteemed establishment.

Job Expectations:
Taking up internship at a company can help young people to create a schedule
for themselves which otherwise is missing during the holidays and countless
hours are spent in front of the television, which is what most teenagers Andrew's age indulge in all
through the summer. His first day on the job needed monitoring of his behaviour and interactions
with others so that he became familiar with a work ethic of respect especially since he lacks

experience in working in a professional environment. Andrew was told that he would be working
under the apprentices and that his job profile would also have him fetch coffee for other
employees in the anticipation that he understood hierarchy and valued any job or responsibility
assigned to him, orchestrating an attitude where he values hard work.

Concerns:
Andrew was not mindful during the first few days and treated the internship like school, where he
would be taken care of and someone else would be responsible for him. Though his punctuality
was not commendable in the first week, he eventually learned the value of arriving at work on
time. He was also met with disappointment when he asked for exotic food at the company
canteen, a habit all teenagers must break out of. He was made aware of the fact that as an intern,
his privileges were limited, which was a humbling experience.

Andrew’s first few days were marked by the indifference of existing employees, which is an
experience that can be a learning process for teenagers. The apprentices initially ignored him and
would only start talking when he was away getting their coffees. The resentment the other
employees felt was tangible and far from discreet as their relatives were refused an opportunity to
work at the company. According to what has transpired the senior, seasoned
staff was more welcoming to his queries and helpful in circumstances. The canteen staff was
slightly condescending and this may have disheartened Andrew slightly. Andrew was also
reprimanded for not clocking in on time or not going to the accounts department at the precise
moment of his arrival at work.

Recommendation:
There are a few recommendations that would prove beneficial for the company and its employees.
The staff could try to be more cordial towards and accepting of any young person walking through
the doors as an intern. The invigorating shot of coffee has seen better days and the
flavor, taste and texture could be re-worked on so that employees look forward
to their coffee breaks. Another place which an employee looks forward to going to, to unwind- the
canteen could get refurbished, become more spacious and well-lit, which could potentially uplift
the mood of the employees a great deal. Ordinary and mundane fare consisting of baked beans
could be replaced with more appetizing and more palatable options.

Interaction with the accounts department can seem to be intimidating, which radically alters the
experience interns have at the company. Lastly, there should be no special concessions for
employees whose children work in the same company and canvassing too needs to be
discouraged, no matter how higher up on the ladder of hierarchy the employee is placed at. The
company should throw open channels of communication for everyone in the organization to

showcase their grievances which need to be addressed from time to time. This will
definitely bring down the attrition rate and the company will be able to retain the best of
employees.

Andrew faced multiple challenges during his internship. Initially, he was not mindful and treated the internship like school, expecting to be taken care of and lacking punctuality. There was also a sense of neglect from other employees, as apprentices ignored him, and he realized the limited privileges of an intern . Despite these challenges, the internship aimed to instill a work ethic of respect, punctuality, and the value of hard work and responsibility, as well as to break teenage habits like demanding exotic foods .

Punctuality and understanding of hierarchy played crucial roles in shaping Andrew's work experience by teaching him the value of time management and respect for established workplace structures. Initially, his lack of punctuality highlighted a need for discipline, which he gradually developed, reinforcing the significance of reliability in professional settings . Understanding hierarchy was crucial for Andrew to appreciate the assignment of duties and foster respect for all roles, which are foundational skills for professional development and workplace harmony .

To implement effective communication channels for addressing grievances and reducing attrition, the company can establish regular feedback sessions and open forums where employees can voice concerns without fear of repercussion. Introducing anonymous surveys and suggestion boxes can further encourage candid expressions. Another strategy is to train managers in conflict resolution and active listening to handle issues promptly and empathetically. By integrating these methods, the company builds a culture of transparency and trust, leading to higher employee satisfaction and lower attrition rates .

From Andrew's experiences, it was evident that some employees felt resentment towards interns like Andrew due to perceived inequalities in work opportunities for their relatives, pointing to underlying dissatisfaction with company policies . Additionally, disparity in interactions where apprentices showed indifference and senior staff provided support suggests a divide in workplace culture and potential communication gaps. These interactions reveal feelings of both alienation and support within the company, indicating the need for a more unified approach towards junior staff and interns .

If the recommendations are not implemented, the company risks facing high employee turnover due to dissatisfaction, which could affect morale and productivity negatively. Persistent staff resentment and indifference towards interns might perpetuate a toxic work environment, discouraging future job seekers. Without addressing food quality and workspace aesthetic improvements, employee wellness and satisfaction might suffer, leading to decreased engagement and efficiency over time . Moreover, failure to open communication channels could exacerbate misunderstandings and grievances, further increasing attrition rates and harming the company’s reputation .

The disparity in treatment reflects broader issues of inconsistency and potential bias within company culture, where newcomers might feel isolated or undervalued. This inconsistency can lead to dissatisfaction and disengagement among interns . Strategies to address these issues include standardizing the intern induction process to ensure equal opportunities and support, promoting inclusivity training for staff to mitigate biases, and creating mentorship programs to foster supportive relationships across various hierarchy levels . By implementing these strategies, the company can work towards a more cohesive and inclusive environment .

Senior, seasoned staff members were more welcoming to Andrew, possibly due to their experience and understanding of the importance of mentoring and integrating new personnel. This could reflect their recognition of the benefits of nurturing young talent for the long-term health of the company, contrasting with the indifference or resentment shown by newer or intermediate staff who may feel threatened or burdened by newcomers . This difference highlights the need for a more unified approach in fostering workplace culture and the value seasoned employees place on professional growth and knowledge sharing .

Several recommendations were made to enhance both the internship and employee experience. These included urging staff to be more accepting of interns, improving the quality of the workplace coffee, refurbishing the canteen to create a more pleasant environment, and offering a wider variety of palatable food options . Addressing intimidation from departments like accounts and preventing employee bias based on familial ties were also advised to foster equity and open communication, which could lower attrition rates and improve retention of quality employees .

The treatment of Andrew by staff varied significantly. The apprentices initially ignored him, showing indifference, except when he was fetching coffee. This indifference could be due to resentment, as employees’ relatives were refused similar opportunities . However, the senior staff was more welcoming and helpful with his queries, indicating a division in attitude by rank or experience level. This mixed approach may suggest to future interns a need for resilience and adaptability to hierarchical workplace dynamics, highlighting the importance of creating a more inclusive and consistent treatment by all levels of staff .

Addressing the suggestions from the report could significantly benefit the company by creating a more inviting and supportive environment for both employees and interns. Enhancing inter-staff relations and the physical work environment, like the coffee quality and canteen ambiance, may improve overall employee morale and productivity . By ensuring equitable treatment regardless of familial connections and aiding clear communication channels, the company can reduce feelings of resentment and discontent, which are crucial for lowering turnover rates and enhancing company reputation as an inclusive and fair employer .
