Standard Operating Procedure (SOP)

R&D Development Process Post Project Receipt

**SOP No.:** R&D/DEV/001

**Version:** 1.0

**Effective Date:** [Insert Date]

**Department:** Research & Development

**Prepared by:** [Name]

**Approved by:** [HOD Name]

1. Objective
To define a standard procedure to initiate and manage the R&D development process after
receiving a new project, ensuring timely preparation and availability of all necessary
resources for successful product trials.

2. Scope
This SOP is applicable to all new product development projects handled by the R&D
Department in coordination with PPC, Production, and Stores.

3. Responsibilities
Role Responsibility

R&D Team Trial planning, coordination, and execution

PPC Team Provide machine availability and

production window

Stores Ensure availability of raw materials and

consumables

R&D & QA/QC Quality parameters validation during trial

4. Procedure
 Step 1: Project Receipt

Upon receiving the new project (internal or customer-driven), record all details in the R&D
Project Tracker. Note the target completion date and assign a responsible person from the
R&D team.
 Step 2: Review & Technical Feasibility

Review customer specifications, application requirements, and feasibility. Define required

formulations, process approach, and equipment to be used.

 Step 3: PPC Coordination for Machine Availability

Share tentative trial date with PPC. Get confirmation on machine availability (Coating,
Embossing, etc.). Block machine slots in advance to avoid production conflicts.

 Step 4: Check Availability of Key Trial Inputs

Before trial scheduling, ensure the following are available:

Checklist:

Grain Paper R&D ✅/❌
Grain Roll (Embossing R&D ✅/❌
Roller)
Base Fabric R&D Along with Store ✅/❌
Primary Raw Materials R&D Along with Store ✅/❌
Special Additives R&D Along with Store ✅/❌
Color Masterbatch / R&D ✅/❌

Trial Tools / Dies R&D Along with Production ✅/❌

 Step 5: Trial Planning

Finalize trial formulation and method. Prepare Trial Sheet with objectives, machine settings,
and process details.

 Step 6: Pre-Trial Meeting

Conduct a short meeting with Production, QA, PPC, and Stores teams to align expectations.

 Step 7: Execution of Trial

Conduct trial as per schedule. R&D must monitor and record all process parameters. Collect
samples for evaluation.

 Step 8: Post-Trial Evaluation

Review physical and visual properties. Share trial output with QA for testing. Schedule
further iterations if needed.

5. Documentation
- R&D Trial Sheet
- Material Requisition Slip
- Project Tracker Update
- PPC Machine Booking Log
- Trial Sample Log & Evaluation Sheet

6. References
- PPC Monthly Plan
- Customer Specification Sheets
- Raw Material Inventory Report

7. Review & Approval

This SOP must be reviewed every 12 months or when a major process change occurs.

Common questions

The pre-trial meeting is critical in the R&D development process as it serves to align the expectations of all involved departments including Production, QA, PPC, and Stores. The intended outcomes of this meeting are to ensure that every department is informed about their roles and responsibilities, to clarify the objectives and methodologies for the trial, and to preemptively address any potential issues. This alignment is essential for trial efficiency, reducing errors and miscommunication .

Post-trial evaluation is significant as it involves reviewing physical and visual outcomes of the trial and obtaining quality assurance through QA testing. This step impacts future project iterations by identifying what worked and what didn't, providing critical feedback for adjustments and optimizations in subsequent trials. Effective evaluation helps in refining processes, thus enhancing the probability of success in future iterations and ensuring product standards are met .

Inadequate planning and coordination in machine slot booking can lead to significant project delays, increased costs due to reallocation of resources, and potential conflicts with production schedules. Without confirmed slots, trials may have to be rescheduled at the last minute, causing disarray in project timelines and affecting the availability of personnel and materials. Furthermore, it could impact the credibility and efficiency of the R&D department in managing projects effectively .

The documentation process, including updating the R&D Trial Sheet and Project Tracker, contributes significantly to project management and continuity by maintaining an accurate and comprehensive record of all trial details, decisions, and outcomes. This enables transparency, facilitates knowledge sharing, and ensures that all team members are informed about project progress. It also acts as a reference point for future projects or audits, ensuring that prior learning and data are effectively utilized .

The role of the Stores team is critical because they ensure the availability of raw materials and consumables necessary for the R&D trials. By coordinating closely with the R&D team to confirm that all materials are in stock and accessible before a trial, they prevent delays and interruptions that could arise from material shortages. Their role is essential in streamlining the preparation phase of the R&D process .

Coordination with the PPC team is crucial as it ensures that machine availability is confirmed and production windows are allocated to avoid any conflicts with other production activities. Early sharing of the tentative trial date with the PPC allows for machine slots to be blocked in advance. This coordination facilitates the seamless execution of trials by aligning the R&D schedule with production capacity, thus preventing delays .

Quality parameters validation by the R&D and QA/QC teams is crucial as it ensures that during the trial, the product meets the predefined standards and requirements. This validation process involves assessing the trial outputs against quality benchmarks, thus ensuring any deviations are identified and corrected promptly. It influences the trial's successful completion by safeguarding the integrity and quality of the final product, which is essential for customer satisfaction and compliance .

Strategies to improve efficiency in the trial execution phase could include leveraging advanced planning tools to optimize scheduling and resource allocation, implementing real-time data tracking and analysis to swiftly identify and address any deviations, and fostering cross-departmental communication to streamline processes and reduce misunderstandings. Additionally, continuous training of personnel on best practices and technological advancements can also enhance execution efficiency .

The checklist for key trial inputs plays a fundamental role in ensuring that all necessary materials and tools are available for the trial, minimizing disruptions and ensuring smooth execution. Verifying these inputs before scheduling is critical as it prevents unnecessary delays and resource shortages. It ensures the trial can proceed as planned without interruptions, which is essential for maintaining the trial schedule and quality standards .

The review and technical feasibility step is pivotal as it determines whether the project is viable given the customer specifications and application requirements. This step involves defining the necessary formulations, identifying the suitable process approach, and selecting the equipment to be used. It directly influences the overall project success by ensuring that the project is on a solid technical foundation before significant time and resources are committed. Misjudgments at this stage could lead to increased costs and project delays .
