Corrections suggested included increasing QR validity to one minute, adding a dark mode for visual ease, and incorporating a confirmation beep for better feedback .
Future developments include AI-based auto attendance using cameras, a cloud analytics dashboard for data insights, and integration with the college transport system to extend functionality and improve performance .
The prototype included features such as a student mobile app for login, scanning QR codes, and receiving confirmation, alongside a teacher dashboard for generating QR codes and viewing attendance reports. GPS locking for security was also integrated. These features contribute to streamlined attendance processes, preventing proxy attendance, and enhancing security .
The Smart Digital Attendance System addresses proxy attendance by implementing QR code verification combined with GPS verification. This system ensures that attendance can only be marked when the student is physically present in the classroom location, thereby reducing opportunities for proxy entries .

It reduces the learning curve, minimizes errors during initial adoption, and increases overall user engagement and satisfaction, enhancing the system’s efficiency and effectiveness from the onset .
During the ideation process, several solutions were considered, including QR Code Mobile App, Biometric System, Face Recognition Camera, and Smart ID Tap Card. The selected solution, a QR Code + Mobile App + GPS Verification, was chosen for its low cost, ease of implementation, and speed, which met the project’s objectives of a secure, accurate, and quick system .
Identified limitations include the need for smartphones and internet access, variable GPS accuracy indoors, and ongoing system maintenance. These could impact deployment by limiting the system’s effectiveness in areas with poor connectivity and requiring significant resource allocation for maintenance tasks .
User interviews revealed key insights: attendance takes 5–10 minutes per class, proxy attendance is common, and sometimes sheets are lost, leading to a loss of valuable teaching time. These insights shaped the problem statement by highlighting the need for a system that is not only efficient and error-free but also secure against proxy attendance .
