Unit I – Introduction to Management

🌟 Meaning and Importance:

This unit gives the foundation of management — what it is, why it exists, and how it works in
every business or organization.

• Concept, Nature, Scope, and Importance of Management:


Management means getting work done through others efficiently and effectively. It
involves planning, organizing, directing, and controlling.
o Nature: universal, goal-oriented, continuous, group activity.
o Scope: applies in all areas — business, education, hospital, etc.
o Importance: helps in achieving goals, better coordination, and efficient use
of resources.
• Evolution of Management Thought:
How management ideas developed over time:
1. Classical Approach – Focused on efficiency and structure (Fayol, Taylor).
2. Neo-Classical Approach – Focused on human relations (Mayo, Hawthorne
Studies).
3. Modern Approach – Includes systems and contingency theories
(management as a system interacting with environment).
• Functions of Management:
Planning → Organizing → Staffing → Directing → Controlling. (Called the “P-O-S-D-
C” cycle)
• Roles and Skills of a Manager (Mintzberg’s Roles):
Mintzberg identified 10 roles grouped as:
o Interpersonal (figurehead, leader, liaison)
o Informational (monitor, disseminator, spokesperson)
o Decisional (entrepreneur, disturbance handler, resource allocator,
negotiator)
• Social Responsibility and Business Ethics:
Managers should act ethically and be socially responsible toward employees, customers,
and the community.
• Management Leadership Rooted in Seva (Selfless Service):
Indian concept — leadership is about serving others with sincerity and compassion, not
just power.
Unit II – Planning and Decision Making
🗓️ Planning:

• Nature & Significance:


Planning means deciding in advance what to do, when, and how. It provides
direction and reduces uncertainty.
• Types of Planning:
o Strategic (long-term, top management)
o Tactical (medium-term, middle management)
o Operational (short-term, day-to-day work)
• Steps in Planning:
1. Setting objectives
2. Developing premises
3. Identifying alternatives
4. Evaluating alternatives
5. Selecting a plan
6. Implementing the plan
7. Reviewing the plan
• Barriers to Effective Planning:
Poor forecasting, lack of commitment, inflexibility, lack of communication, etc.
• Management by Objectives (MBO):
A system where managers and employees set goals together and measure progress.
• Forecasting in Management:
Predicting future trends to prepare plans.

🧠 Decision Making:

• Meaning: Selecting the best alternative from various options.


• Process:
Identify problem → Analyze → Develop alternatives → Evaluate → Choose →
Implement → Review.
• Types: Programmed (routine) and Non-programmed (unique).
• Techniques: Cost-benefit analysis, SWOT analysis, decision trees, etc.
Unit III – Organising and Staffing
🏢 Organising:

• Meaning: Arranging resources and activities to achieve goals.


• Principles of Organisation: Unity of command, span of control, delegation,
authority-responsibility balance, etc.
• Types of Organisation Structure:
1. Line – simple, direct authority.
2. Functional – divided by functions (marketing, HR, finance).
3. Matrix – combination of line and project structure.
4. Project – temporary teams for specific goals.
5. Hybrid – mix of various types.
• Departmentation: Grouping activities into departments (by function, product,
territory, etc.)
• Delegation of Authority: Assigning responsibility with authority to subordinates.
• Centralization vs Decentralization:
o Centralization – decisions at top level.
o Decentralization – decisions distributed among levels.

👥 Staffing:

• Meaning: Placing the right person at the right job.


• Importance: Builds efficient workforce and boosts productivity.
• Process: Manpower planning → Recruitment → Selection → Training → Development
→ Appraisal → Promotion/Transfer.
Unit IV – Directing and Leadership
🎯 Directing:

• Nature, Principles, and Importance:


Directing means guiding, motivating, and supervising employees to achieve goals.
It involves communication, leadership, and motivation.

💪 Motivation:

• Concepts and Theories:


1. Maslow’s Hierarchy of Needs – physiological → safety → social → esteem →
self-actualization.
2. Herzberg’s Two-Factor Theory – hygiene factors & motivators.
3. McGregor’s Theory X and Y – X: people dislike work; Y: people like
responsibility.
4. Vroom’s Expectancy Theory – motivation depends on expected results.

🧭 Leadership:

• Meaning: Influencing people to work willingly toward goals.


• Styles: Autocratic, Democratic, Laissez-faire.
• Theories:
o Trait Theory – leaders are born with certain qualities.
o Behavioural Theory – leadership is learned by behavior.
o Situational Theory – depends on situation.
o Transformational Theory – inspires followers toward higher goals.
Unit V – Coordination and Controlling
🔗 Coordination:

• Meaning: Harmonizing activities of different departments and people.


• Principles: Early start, direct contact, reciprocal relations, continuity.
• Techniques: Meetings, committees, clear communication, goals alignment.

⚙️ Controlling:

• Nature, Process, and Importance:


Controlling ensures actual performance matches plans.
Process:
1. Set standards
2. Measure performance
3. Compare with standards
4. Take corrective action
• Types of Control:
o Feedforward: Before activity
o Concurrent: During activity
o Feedback: After activity
• Techniques:
o Budgetary and Non-Budgetary controls
o MIS (Management Information System)
o Benchmarking (comparing best practices)
o Balanced Scorecard (financial + non-financial performance)
