Unit 1 - Digital Documentation (Advanced)
Create and apply styles
1. Creating a Style
To create a new customized style:

1. Select the text that already has the formatting you want to save.
(Example: Font 14, bold, blue, spacing 1.5)
2. Go to the Styles Pane (e.g.,
Home → Styles in MS Word).
3. Choose Create a Style or
New Style.
4. Enter a style name (e.g., “My
Heading”).
5. Modify additional settings:
o Font
o Paragraph spacing
o Borders
o Indents
o Line spacing
6. Save the style.

Once saved, the style becomes


reusable anywhere in the document.

2. Applying a Style
Applying styles is straightforward:

1. Select the text or paragraph


you want to format.
2. Open the Styles panel.
3. Click on the style name (e.g., Heading 1, Subtitle, Quote).
4. The selected text instantly updates with the stored formatting.
Working with Images

1. Inserting Images
In LibreOffice Writer, images can
be inserted through Insert →
Image, by dragging and dropping
from a folder, or by copy–paste.
After inserting, the image appears
as an object that can be moved and
formatted.

2. Resizing and
Cropping
Select the image and drag the green
handles to resize.
To crop: Right-click the image → Crop, adjust the black handles, and press
Enter.

3. Text Wrapping
Text wrapping controls how text
flows around the image. Options
include: None, Parallel,
Optimal, Through, Before Text,
After Text.
Apply by Right-click → Wrap.

4. Anchoring
Anchoring decides how an image
attaches to the text. Options: To
Paragraph, To Character, As
Character, To Page.

5. Formatting Images
Through the Image Toolbar or Image Properties, you can adjust:
Create and use templates

1. Creating a Template
1. Open a new document in Writer.
2. Apply your formatting: page style, headings, fonts, spacing, and layout.
3. Go to File →
Templates →
Save As
Template.
4. Give it a name
and choose a
category.
5. Click Save.

Your template is now


stored in the
LibreOffice template library.

2. Using a Template
To create a new document from a saved template:

 Go to File → New → Templates


 Select the desired template
 Click Open
A new document will be created with the same predefined formatting.

3. Setting a Template as Default


If you want all new documents to follow one template:

 Go to File → Templates → Manage Templates


 Right-click your template → Set as Default

2. Preparing the Document


Before creating a TOC, apply Heading
Styles:

 Select your chapter or section title


 Choose Heading 1, Heading 2,
Heading 3, etc., from the Styles menu

Writer uses these heading styles to build the


TOC.

3. Creating the Table of Contents


1. Place the cursor where you want the TOC (usually at the beginning).
2. Go to Insert → Table of Contents and Index → Table of Contents,
Index or Bibliography.
3. Click OK.
Writer inserts a TOC based on your headings.

4. Updating the TOC


If you add or change headings:

 Right-click on the TOC → Update Index.

The TOC refreshes automatically.


Customize table of contents

1. Opening TOC Settings


To customize an existing TOC:
Right-click on the Table of Contents → Edit Index.
This opens all formatting and layout options.

2. Customizing Levels
You can choose how many heading levels to include:

 In Type tab → Evaluate up to level


 Example: Level 1 only (for chapters) or Levels 1–3 (for chapters +
subtopics)

3. Changing TOC Styles


Each TOC level (e.g., Contents 1, Contents 2, Contents 3) has its own style.
To modify:

 Go to Styles → Manage Styles


 Edit Contents 1, Contents 2, etc.
You can change: Font, Size, Color, Indentation, Spacing
 This gives full control over TOC appearance.

4. Changing Layout (Tab, Dots, Page Number)


In the Entries tab, you can customize the layout of each level:

 Add or remove E# (entry number)


 Add or remove # (page number)
 Change tab stops
 Add dot leaders (…..) or dashes
 Rearrange elements using the buttons
5. Formatting Links and Page Numbers
In the Entries tab:

 Enable or disable hyperlinks


 Change the style of page numbers
 Adjust spacing between text and page number

6. Changing Background
You can set a background for the TOC:

 In Background tab
 Choose Color, Gradient, or Image
Unit 2 - Electronic Spreadsheet (Advanced)

Consolidating data

1. Steps to Consolidate Data in LibreOffice Calc


 Open a new sheet where you want the consolidated data to appear.
 Go to Data → Consolidate.
 In the dialog box, choose the Function (Sum, Average, Count, Max, Min,
etc.).
 Select the Source Ranges:
 Click Add after selecting each sheet’s range.
 Choose options if needed:
 Row labels / Column labels (if your data has headings)
 Copy results to (the destination range)
 Click OK to generate the consolidated summary.
Subtotals

3. Steps to Apply Subtotal


 Make sure your data is sorted based on the column you want to group.
 Go to Data → Subtotals.
 Choose the Group By field (e.g., Item Name).
 Select the Function you want (Sum, Average, Count, etc.).
 Select the column(s) to calculate the subtotal for (e.g., Quantity, Sales).
 Click OK.
 Calc inserts subtotal rows and a grand total automatically.
Creating cell referencing in Spreadsheet

1. How to Create
 Select the cell where you want the formula.
 Type = followed by the cell reference, e.g., =A1+B1.
 Press Enter.
 Copy the formula to other cells (relative, absolute, or mixed references
apply automatically).
 Tip: Use F4 key in LibreOffice Calc to toggle between relative, absolute,
and mixed references while entering a formula.
Hyperlink in Spreadsheet

How to Create a Hyperlink:


 Select the cell where you want the hyperlink.
 Go to Insert → Hyperlink (or press Ctrl + K).
 Choose the type of link:
 Internet: Link to a web page (enter URL).
 Mail: Link to an email address.
 Document: Link to another file or sheet.
 Enter the target address and optional text.
 Click Apply and then Close.
 Tip: Clicking the linked cell will open the linked webpage, document, or
email client.

Goal seek
How to Use Goal Seek:
 Go to Tools → Goal Seek.
 In the dialog box:
 Set cell: Select the cell containing the formula whose result you want to
achieve.
 Target value: Enter the desired result.
 By changing cell: Select the cell whose value Calc can adjust to reach the
target.
 Click OK.
 LibreOffice Calc will adjust the input cell to meet the target value.
 Example:
If C1 = A1 + B1 and you want C1 = 100 by changing A1, Goal Seek will
calculate the required value of A1.

Unit 3 - Database Management System


Create and edit tables using wizard
1. Steps to Create a Table Using Wizard
 Open LibreOffice Base and go to Tables section.
 Click Use Wizard to Create Table.
 Choose a Category (Business or Personal).
 Select a Sample Table (e.g., Customers, Employees).
 Choose the fields you want and move them to the right panel using >>.
 Click Next to set:
 Field Types (Text, Number, Date, Currency)
 Field Properties (Length, Format, Required field)
 Click Next to choose a Primary Key (automatic or manual).
 Enter the Table Name and click Finish.
Your new
table is
created.

2. Editing a
Table
To modify
the table after
creation:

 Right-click the table → Edit.


 You can change: Field names, Data types, Field length, format, Primary
key selection
 Save the table after editing.

Review data using query

1. Steps to Create a Query (Using Wizard)


 Go to the Queries section in LibreOffice Base.
 Click Use Wizard to Create Query.
 Select the table you want to review.
 Choose the fields to display.
 Add conditions (e.g., Salary > 30000).
 Select a sort order (ascending/descending).
 Give the query a name and click Finish.
Your query result opens showing filtered data.

2. Running and Reviewing Data


 Double-click the query to open it anytime.
 The displayed result is based on current table data, so any edits in the
table update automatically in the query.

Query using
criterion and
sorting

1. Adding Criteria in a Query


 Go to Queries → Create Query in Design View (or use Wizard).
 Add the required table.
 In the grid, under the Criterion row, enter the condition.
 Run the query to view filtered results.
 Example:
To show students with marks greater than 70:
Criterion → >70

1. Sorting in a Query
 Sorting arranges query
results in a particular
order.
 Types of sorting:
 Ascending: Small to large
(A–Z, 1–100)
 Descending: Large to
small (Z–A, 100–1)
 Steps to apply sorting:
 In the Query Design grid,
go to the Sort row.
 Choose Ascending or
Descending for the
required field.
 Run the query.

3. Using Both Criteria and Sorting Together


 You can apply both filtering and sorting in a single query.
 Example:
Show employees with salary > 40000 and sort them by name (ascending).
 Criterion (Salary field): >40000
 Sort (Name field): Ascending

Creating forms in LibreOffice Base


1. Creating a Form Using Wizard
 LibreOffice Base provides a Form Wizard for quick form creation.
 Steps:
 Go to the Forms section.
 Click Use Wizard to Create Form.
 Select the table or query on which the form will be based.
 Choose the fields you want to include in the form.
 Select the layout (Columnar, Block, Table, etc.).
 Choose data entry options, such as:
 Display all data
 Enter new data only
 Give the form a name and click
Finish.
Your form opens automatically.

2. Editing a Form
 To modify the form:
 Right-click the form name →
Edit.
 Use Form Controls toolbar to add or change:
 Text boxes
 Labels
 Combo boxes
 Buttons
 Format size, font, alignment, and properties using Control Properties.

Creating reports in LibreOffice Base

1. Creating a Report Using Report Wizard


 LibreOffice Base provides a Report Wizard to design reports easily.
 Steps:
 Go to the Reports section in LibreOffice Base.
 Click Use Wizard to Create Report.
 Select the table or query you want to report on.
 Choose the fields to include in the report.
 Set grouping options if needed (e.g., group by Category, Department).
 Choose sorting order (Ascending/Descending).
 Select a layout and report style.
 Enter a report name and click Finish.
Your report will be generated automatically.

2. Editing a Report
 To modify the design:
 Right-click the report → Edit.
 Use the Report Builder tools
to change:
 Fonts, colors, and alignment
 Headers and footers
 Field positions
 Grouping and formatting
 Save the edited report.
