Chapter I
INTRODUCTION
Lucban Academy is an academic institution that contains school departments,
clubs, and organizations that manage student needs, faculty works, and the school’s
missions altogether. School departments are faculty-led with roles in managing academic
programs, administration, and school maintenance. School clubs are subject-related and
student-led groups that hold themed related events and contests, including activities for
training and learning specific skills. And school organizations are led by formal student
leaders that cover school-wide missions and programs in student welfare, school
community engagement, and leadership training. All mentioned groups need an organized
and well-tracked guide to effectively and efficiently complete needed works, programs,
and events.
The monitoring of activities, programs, and events conducted by various clubs,
organizations, and departments is currently performed manually. This manual process
makes it difficult for the Principal to efficiently oversee whether all activities are aligned
with the school’s goals, mission, and vision. Without a systematic and centralized
monitoring approach, the administration challenges to ensure that every department’s
initiatives contribute meaningfully to the institution’s overall objectives. This lack of
structured oversight can lead to inefficiencies in implementing the school’s strategic
direction (Mukthashree et al., 2022).

The current monitoring and coordination system within Lucban Academy reveals
several gaps that affect its overall efficiency. At Lucban Academy, departments, clubs,
and organizations still rely heavily on manual tracking and paper-based documentation,
which often leads to issues such as disorganized records, missed deadlines, and delayed
communication among members. This manual system creates difficulties in monitoring
progress and ensuring accountability, especially when multiple activities and programs
are handled simultaneously. Since the tracking of activities, programs, and events is done
manually, there is a lack of uniform documentation and proper record management.
Important details such as progress updates, and activity outcomes are often scattered or
incomplete, making it difficult to assess performance and ensure accountability.
Furthermore, GoSchooler (2024) notes that digitized school systems allow accurate data
collection and report generation, enabling administrators to make better decisions.
Given this situation, Lucban Academy faces similar challenges due to the lack of
a unified digital platform for managing its various institutional activities. Without an
integrated platform, communication between teachers and student leaders becomes
inefficient, resulting in delays, confusion, and unreliable reports. This often results in
delays, incomplete reports, and overlapping schedules. In some cases, activities are not
properly documented or monitored, making it hard to determine whether they meet the
school’s goals and standards. These gaps show how unorganized tracking and
communication can affect the smooth flow of work and coordination within the school.

Background of the Study
In schools, departments, clubs, and organizations often have a hard time
managing and keeping track of their tasks. Most of them still use paper lists, group chats,
or verbal reminders, which can easily lead to forgotten or unfinished tasks. Because of
this, miscommunication and delays usually happen. With today’s technology, using a
web-based system can make things more organized and easier to manage. That’s why this
study aims to develop a web-based task management and monitoring system for Lucban
Academy’s departments, clubs, and organizations to help them assign, track, and finish
their tasks on time while improving communication and teamwork.
At Lucban Academy, departments, clubs, and organizations still struggle to
properly monitor their reports and financial records. Many of them continue to use
manual methods such as writing reports on paper or sending them through group chats,
which often leads to confusion, missing files, and difficulty in tracking updates. This
makes it hard for officers and advisers to check progress and manage finances accurately.
Because of this situation, there is a need for a system that can help organize reports, track
financial records, and make monitoring tasks easier and more efficient for everyone
involved.
Many departments, clubs, and organizations still have trouble keeping track of
reports and finances using manual methods like paper records, chats, or spreadsheets,

and monitoring system for Lucban Academy can help solve these issues by making
reports and financial monitoring more efficient, organized, and accessible to everyone
involved.
The researchers have observed that many club advisers and officers of the
departments, clubs, and organizations at Lucban Academy Senior High School encounter
difficulties in monitoring and managing their tasks efficiently. Most of these groups still
rely on manual methods such as paper records, chat messages, or verbal communication
to track their activities and responsibilities. This often results in confusion, forgotten
tasks, and delays in accomplishing objectives. As organizations grow and their activities
become more complex, it becomes harder for leaders and members to keep track of their
duties and progress. One of the researchers has been an active member of an organization
for almost four years and has personally experienced the challenges of managing tasks
and monitoring updates without a proper system. This experience inspired the researchers
to develop a web-based task management and monitoring system that will help make
organizing tasks easier, improve communication among members, and ensure that every
responsibility is tracked and completed efficiently.
With the aforementioned challenges, the researchers therefore propose the
development of a web-based task management and monitoring system designed to
improve coordination and productivity among the departments, clubs, and organizations
of Lucban Academy. This system will allow users to assign tasks, set deadlines, and track
progress in real time, making it easier to manage multiple activities simultaneously. By

providing a centralized platform for communication and updates, it aims to reduce delays
and promote efficient collaboration within the institution. Ultimately, the system seeks to
enhance overall organization and ensure that projects and events run smoothly, benefiting
all members involved.
By creating a simple website that helps school organizations assign and track
tasks more efficiently, the system will make task management easier and more organized.
This system will allow teachers and officers to make task lists, set deadlines, and monitor
progress in one place instead of using paper or chat groups. It will also include a shared
calendar, a file section for reports, and reminders for upcoming activities. The system will
be easy to use, work on both phones and computers, and keep information safe. By using
this platform, Lucban Academy’s departments and clubs can stay more organized, avoid
missed tasks, and improve communication between members.
Objectives of the Study
The general objective is to develop a web-based task monitoring and management
system for Lucban Academy departments, clubs, and organizations. Specifically, it seeks
to achieve the following:

Significance of the Study
This study will be beneficial to all individuals involved by developing a web-

oversight, and support better collaboration across various groups within the academy.
Furthermore, the study’s findings will benefit the following.
This study will greatly help the Principal by providing a more systematic and
efficient way to monitor the progress and performance of various departments, clubs, and
organizations through the web-based task management and monitoring system. This will
make it easier to ensure that all school activities are well-coordinated and properly
managed.
The Club Advisers will benefit from this study as it allows them to assign, track,
and manage tasks easily. This helps them make sure that all projects and activities are

Club Officers will find this system helpful in managing their responsibilities
more effectively. It will help them communicate better with their members, monitor their

based task management and monitoring, which may help them with their future
aspirations.
Because of this research, Future Researchers who wish to explore topics related
to web-based task management and monitoring may find valuable insights that can aid in
their research. It can serve as a useful reference, providing relevant information and ideas
that can guide their studies.
Scope and Delimitations
This research focuses on the development of a web-based task monitoring and
management system specifically designed for Lucban Academy Senior High School
departments, clubs, and organizations. The system aims to streamline the process of
tracking and managing tasks within various school organizations to promote transparency
and accountability. It seeks to provide a convenient way for members and officers to
monitor ongoing and completed activities, assign responsibilities, and ensure the timely
accomplishment of tasks. The study also covers the integration of the departments, clubs,
and organizations into a connected system that allows collaboration and coordination in

one accessible platform. The development of the system will utilize HTML, PHP, CSS,
JavaScript, and Sublime Text as the main tools for creating the web-based platform.
The study is limited to the Senior High School Department of Lucban Academy
and does not include the Junior High School or other levels. The developed system will
focus only on task management and monitoring functions, excluding other organizational
management aspects such as financial tracking, attendance management, and
communication tools. Furthermore, the system’s testing and evaluation will involve a
pilot test with selected representatives from various departments, clubs, and organizations
to assess its usability and performance. The evaluation will be based on the ISO/IEC
25010 software quality standards, particularly in terms of functionality, accuracy and
accessibility. Additionally, the study will not cover mobile application development; the
system will only be accessible through a web-based platform intended for use within the
school’s network and by authorized users.
Definition of Terms
The following terms are hereby defined conceptually and operationally based on
their usage in the study:
Administrators refers to the school staff like the principal or teachers, who will use the
system to check and monitor the tasks and progress of departments, clubs, and
organizations. They are responsible for making sure that all activities are properly

according to the progress of the work task. By using a task management software tool, we
can track the team members’ tasks. It can help the team organize well, and the task will
be managed by using the features in the software. For example, task creation, time
schedule, tracking, communication between group members, notification, and reporting
on team projects and the required tasks.
According to Prohance (n.d.), task monitoring is the systematic observation,
tracking, and analysis of tasks within a project or process to ensure they are progressing
as planned. It involves continuously checking the status of each task, identifying any
delays or issues early, and making adjustments too keep the project on track. Effective
task monitoring provides real-time insights that help the heads allocate resources
efficiently, avoid bottlenecks, and maintain high-quality standards. It also promotes

ISO 25010 is an international standard that provides a framework for assessing
and managing software quality through eight key concepts. According to Qmii (2024), it

accurately and completely, and reliability, which focuses on stability and consistency
under various conditions. Usability measures how easy and satisfying the software is to
use. Security safeguards information through confidentiality and authentication, and
maintainability ensures the software can be easily updated or repaired. Portability
examines how well the system adapts to different platforms, and compatibility assesses
its ability to work with other systems.
As stated by Certifications (2025), Functionality in ISO/IEC 25010, or Functional
Suitability, refers to the ability of a software product or system to provide functions that
satisfy both stated and implied user needs. This characteristic includes functional
completeness, which ensures all required tasks and objectives are fully covered.
Functional correctness guarantees the software delivers accurate and precise results.
Functional appropriateness measures how well the functions help users accomplish their

The study’s objectives are to develop a web-based task monitoring management
system for Lucban Academy’s departments, clubs, and organizations, and learning the
related literature will feed knowledge and understanding to fulfill the objectives. Task
management refers to assigning and organizing tasks to complete required outputs
flawlessly. Monitoring refers to the constant observation and analysis of tasks to ensure
the flow of progress. Educational clubs and organizations promote academic and personal
development and success to students by enhancing activities and programs held.
Development tools are programming languages, libraries, frameworks, test tools, and
IDEs that support the creation of a software, case specifically a web-based monitoring
system. And lastly, the ISO/IEC 25010 is defined as a software quality standard that
ensures the functionality, reliability, usability, and security of the created software, the
monitoring system. The increasing complexity of academic and extracurricular activities
within educational institutions necessitates a more efficient approach to managing and
monitoring tasks. Traditional paper-based systems often result in miscommunication,
delays, and a lack of accountability.
A web-based task management and monitoring system can serve as a centralized
platform to address these inefficiencies by allowing real-time updates, automated
notifications, and seamless collaboration among stakeholders (Laudon & Laudon, 2020).
Through this system, Lucban Academy can streamline its operations across departments,

clubs, and organizations, enhancing coordination and promoting productivity. School
clubs and organizations also play an important role in developing students' leadership and
teamwork. According to Torubeli et al. (2024), these organizations help improve students’
communication and organizational skills through active participation and responsibility.
However, without proper tools, many groups may struggle to manage their activities
effectively. With the use of a digital system, coordination between club advisers and
officers can be improved, promoting accountability and better performance in school-
related tasks.
Web-based monitoring systems are designed to collect protect, and analyze data in
real time, improving efficiency (Jankowski, 2025), here are the features included: The
systems support remote accessibility through web applications for flexible and timely
access (Ramanathan & Ramanathan, 2023; Swingwood, 2024). Automated Notifaction
mechanism provides instant updates and warnings through many connections or
channels, minimizing human effort and error ( Vashistha and Singh, 2021). Adding
interactive reports promote fast reports and clear communication between members
(Sanlien Technology, 2025). Lastly, Security and Access control led by authority that
secure authentication, communication, and information as well as anomaly detection for
regulatory compliance and quick incident response.
The development tools boost the efficiency and accuracy of software development
by providing built frameworks, organized libraries, and comprehensible UI to ease and
guide researchers in creating software. To ensure the quality and effectiveness of the
system, the study uses appropriate web development tools and follows the ISO/IEC

phase consists of all essential elements required for the creation of the web-based
monitoring system. This includes understanding the process and features of the system to

development tools, HTML, PHP, CSS, Sublime Text, and JavaScript, serve as the
technological foundation for designing and coding the platform. Additionally, data
gathered from questionnaires and the active participation of respondents provide valuable
insights that help identify user requirements and preferences. These inputs collectively
serve as the groundwork for building a functional, user-centered web-based system
tailored to organizational task management.
The Process stage involves a series of steps that transform the gathered inputs into
a functional web-based application. Web design focuses on creating an attractive and
intuitive interface that enhances user experience. Programming and GUI (Graphical User
Interface) development ensure that the system’s functionalities operate smoothly and that
users can interact easily with the platform. Surveys are conducted to collect data on user
feedback, preferences, and experiences with the system. Data analysis then interprets this
information to evaluate system performance, identify potential issues, and determine
areas for improvement. Together, these activities ensure the system’s design,
functionality, and user satisfaction are effectively addressed.

METHODOLOGY
This chapter includes the research locale, research design, participants,
instrumentation, and data gathering procedure that will be used by the researchers in
conducting the study, and to strengthen the study’s validity and reliability.
Research Locale
The study will be conducted at Lucban Academy Senior High School Annex
Building. The location was chosen because the researchers know that this school already
has several active departments, clubs, and organizations that handle various activities and
projects throughout the school year.
Research Design
This study is developmental in nature and employs quantitative research methods
to achieve the researchers’ objective of developing a web-based task management and
monitoring system for Lucban Academy’s departments, clubs, and organizations. The
quantitative approach specifically focuses on evaluating the acceptability and
effectiveness of the web-based task management system.

Respondents
The respondents of the study will be composed of the club advisers and club
officers of each department, clubs and organization in Lucban Academy Senior High
School. They were chosen because they are directly involved in managing, assigning, and
monitoring tasks within their groups. Their experiences and insights are essential in
assessing the functionality, accuracy, and accessibility of the proposed web-based task
management and monitoring system. The researchers will use purposive sampling as well
as systematic sampling in selecting the target respondents.
Instrumentation
The researchers will use a survey questionnaire to collect the gathered data from
respondents and more detailed information on the topic of interest. The survey
questionnaire is based on the ISO 25010 to collect their thoughts for the web-based task
management and monitoring. The questions will also be a self-made question made by
the researchers. This will ensure that the items in the instrument are relevant and
appreciated by the readers.
Procedure in Creating the Website
The study procedure describes the systematic steps necessary to set up a web-
based task management and monitoring system. This entails a methodical approach to
formulating research objectives, identifying target users, describing data collection,
system design, and user interaction techniques. Each phase, from planning to
development, testing, and evaluation, is carefully organized to ensure functionality,

accuracy, user accessibility, data security, and reliability. By following this systematic
method, the study hopes to create a dependable, efficient, and user-centered system that
improves medical record administration and monitoring capabilities.
Step 1: The researchers drafted an outline on how the system would function and
the features of a web-based task management and monitoring system as well as
identifying the primary focus of the website.
Step 2: The researchers listed essential system features, including profiles for each
department, clubs and organizations.
Step 3: The researchers started encoding and designing the database structure.
Step 4: After that, the researchers developed user interfaces for a user-friendly
system that ensures smooth navigation and accessibility.
Step 5: The researchers created tables for each department, clubs and
organization, ensuring data relationships are correctly established.
Step 6: The researchers built an application programming interface (API) and
backend logic to handle user authentication, task management, data retrieval, and secure
storage for departments, clubs, and organizations.
Step 7: The researchers developed user interfaces for task creation, progress
monitoring, and user profiles to ensure that all departments, clubs, and organizations can
efficiently manage and track their activities.
Step 8: The researchers hosted the website on a secure server, ensuring database
backups and proper access controls.
Step 9: Then the researchers performed pilot testing, integration testing, and
security testing to ensure functionality, accuracy, and accessibility.

Data Gathering Procedures
A letter of permission and consent form were prepared, outlining the purpose of
the study and its ethical considerations. After receiving approval, the researchers
constructed and prepared two self-made questionnaires. The first questionnaire was
designed for the officers of various departments, clubs, and organizations of Lucban
Academy, as well as their advisers, while the second questionnaire was intended for IT
experts. Both instruments were validated by professionals to ensure clarity, relevance,
and reliability.
Researchers also allowed the respondents to use and explore the developed web-based
task management and monitoring system. This provided them with the opportunity to
familiarize themselves with its features, navigation, and functions before answering the
questionnaire. Respondents evaluated the system based on its functionality, accuracy, and
its accessibility in managing and monitoring tasks. The identity of the respondents will
remain anonymous, and all information gathered will be treated with the utmost
confidentiality. Once the quantitative data was collected, the researchers analyzed and

the research study.
