1. Tell me about yourself


Hi, I’m Harley. I’m from Vietnam. To begin with, I’m a detail-oriented
person who enjoys keeping things organized and helping teams
work efficiently. I studied and worked in Sydney, Australia for almost
two years, which helped me develop strong communication skills
and adaptability in an international environment. I’ve also had
remote work experience, where I managed administrative tasks
such as scheduling, organizing documents, and coordinating
communication. I’m excited to bring these skills to your team and
contribute to a smooth, productive workplace.

2. Why do you want to work as an office assistant?


I’d describe myself as an ENFJ-A, or the Protagonist type in the
MBTI framework. I naturally thrive in structured environments where
I can plan, stay organized, and help things run efficiently. I tend to
handle pressure well and see challenges as chances to learn and
grow. I also find real satisfaction in creating order and supporting
others — which is exactly what an office assistant does best. That’s
one of the main reasons this role really appeals to me.

3. What do you know about our company?


I did some research on Coalition Technologies, I saw that you
specialize in SEO, web design, digital marketing, etc. and I was
really impressed by how results-driven and data-focused your
company is, and that your team takes a very analytical approach —
focusing on measurable results instead of just trends.

I also really admire the company’s strong emphasis on quality and


continuous learning. I noticed that Coalition Technologies invests a
lot in training and only hires top performers, which shows how much
value you place on excellence and growth.

That kind of environment really resonates with me, because I also


enjoy structured, high-performing workplaces where I can keep
learning, stay organized, and contribute to helping the team run
smoothly and achieve its goals.

4. What office software are you familiar with?

I’m very comfortable with common office software. I use Google


Workspace tools like Docs, Sheets, Slides, and Drive on a daily
basis, not only for work but for personal use too. And I’m also
familiar with Microsoft Office, including Word, Excel, and Outlook.
I’ve used spreadsheets for organizing schedules, tracking expenses,
and managing data. I have experience with tools like Trello, Slack,
and Zoom for communication and project coordination.

Regarding CRM softwares, I used to work for a Travel Agency. And I


believe their CRM is quite complicated, but it took me only 1 day to
catch on and get used to the interface.

If there are any specific platforms or internal systems your team


uses, I’m confident I can learn them quickly — I usually pick up new
software really fast.

5. How do you stay organized when handling multiple tasks?

My pro tip when it comes to chaotic times, when I have to deal with
multiple tasks or projects at the same time is that I will prioritize by
urgency and importance. It worked really well for me. I usually
create a to-do list for the day and use tools like Google Calendar or
reminders to track deadlines. At the end of the day, I will always
make some time to check on what I have completed and what is still
in progress.

6. How do you handle confidential information?

I understand the importance of confidentiality and always make


sure sensitive files are stored securely and only shared with
authorized people.

7. How would you handle a difficult client or coworker?

There was a time when a client was upset because their event
booking didn’t include a specific setup they had requested. Even
though it wasn’t directly my mistake, I stayed calm and listened
carefully to their concerns. I apologized for the inconvenience
and assured them that I would do my best to fix it right away.

I immediately contacted the events and housekeeping teams to


arrange the setup according to the client’s needs, and I kept the
client updated throughout the process. In the end, everything was
sorted out quickly, and the client appreciated how responsive and
professional I was.

That experience taught me that dealing with difficult clients really


comes down to staying calm, listening carefully, and focusing on
solutions rather than the problem. A sincere and professional
attitude can completely change how a client feels about the
situation.
8. Tell me about a time you improved a process or made something
more efficient.

I used to work in a restaurant as a service agent. One of the


improvements I’m most proud of was creating a training sheet for
new staffs. As a senior employee, I was responsible for training new
team members, and I noticed that they often struggled to answer
common customer questions — both on the phone and in person.

Originally, we just explained the answers verbally when those


situations came up, but I realized that wasn’t very efficient or
consistent. So, I decided to create a training sheet that included all
the frequently asked questions and practical solutions for common
scenarios.

This made the training process much smoother, helped new staff
feel more confident, and saved everyone time. The manager even
decided to make it the official training document for all new
employees, and we kept updating it regularly as new questions
came up.

9. Describe a time when you had to meet a tight deadline. How did
you handle it?

There was a time when the sales team received a last-minute


request for a corporate banquet that was scheduled for the next
day. I had to help prepare all the event documents — including the
function sheet, name cards, and contracts — while coordinating with
different departments to make sure everything was ready on time.

To handle it, I first listed out all the urgent tasks and prioritized what
needed to be completed immediately. I double-checked the client’s
requirements, confirmed the setup details with the banquet and
kitchen teams, and made sure all documents were printed and
delivered before the event started.

Even though the deadline was really tight, I stayed calm and
organized. Everything was ready on time, and the event went
smoothly. It taught me how important teamwork and time
management are in a fast-paced environment.

10. What do you do if you make a mistake at work?

If I make a mistake at work, the first thing I do is take responsibility


and fix it as quickly as possible. I’d review what went wrong, correct
the issue, and let my manager know so they’re aware of the
situation.
For example, if I sent the wrong version of a banquet event order or
made a small error in a report, I’d immediately resend the corrected
file and inform the departments involved to avoid any confusion.

Afterward, I’d make a note of what caused the mistake — maybe it


was rushing or missing a detail — so I can improve my process next
time. I believe everyone can make mistakes, but what really matters
is how you handle them and make sure they don’t happen again.

11. How do you handle stress or pressure?

When I’m under pressure, I try to stay calm and focus on what
needs to be done first. I usually make a quick to-do list and prioritize
the most urgent tasks — that helps me stay organized and not feel
overwhelmed.

In the background of hospitality, things can get stressful, especially


when there are last-minute event changes or urgent client requests.
During those times, I remind myself to stay positive and
communicate clearly with my team. Working together usually helps
solve things faster.

I’ve learned that staying organized and keeping a clear mindset


really helps me handle stress effectively and still deliver quality
work, even when it’s busy.

12. What are your strengths and weaknesses?

I’d say one of my key strengths is being highly organized and


reliable. I always make sure tasks are completed accurately and on
time — whether it’s preparing event documents, updating sales
reports, or coordinating with different departments. I’m also very
attentive to detail, which helps prevent mistakes and keeps things
running smoothly, especially when deadlines are tight.

As for my weakness, I used to focus too much on making everything


perfect, which sometimes slowed me down. But over time, I’ve
learned to prioritize better — to recognize when something is good
enough to move forward while still maintaining quality. It’s helped
me become more efficient without losing my attention to detail.

13. Where do you see yourself in 2–3 years?

In the next two to three years, I see myself growing in this role and
taking on more responsibilities as I become more experienced. I
really enjoy administrative work and supporting a team, so I’d love
to develop my skills further — especially in organization,
communication, and office coordination.
Eventually, I hope to move into a more senior administrative or
coordinator role where I can contribute more to the team and help
improve office processes. I see this position as a great opportunity
to learn, grow, and build a strong foundation for my career.
