Standard Operating Procedure (SOP)

Daily Factory Opening & Closing –

1. Purpose
To ensure safe, efficient, and compliant daily opening and closing of the factory, protecting people, property,
machinery, and materials.

2. Scope
Applies to:
 Security department
 Admin & HR
 Compliance team
 Floor in-charge / Line chiefs
 Utility & maintenance team
 Production management

3. Responsibilities
Security Department
 First open/last close the premises.
 Control all entry/exit.
 Maintain logbook and surveillance.
Admin/HR
 Clean total premises by Cleaner.
 The sweeper will clean all the toilets.
 Ensure worker attendance, PPE availability.
 Coordinate with compliance & production.
Maintenance & Utility
 Check electrical, boiler, generator, compressor, lighting, ventilation.
Compliance / Safety Officer
 Confirm safety conditions (fire exits, alarms, EHS checklist).
Production Team
 Prepare floor for work and ensure machines are safe to operate.

4. Daily Opening SOP (Start of Day)


4.1 Security Opening Procedures
1. Arrive 01 hours before shift.
2. Check perimeter for any overnight issues.
3. Open main gate and record time in logbook.
4. Check CCTV status and ensure all cameras are functional.
5. Allow entry only after verifying ID cards.
6. Check employee bags per factory policy (if applicable).

4.2 Facility & Safety Checks


Performed by Maintenance + Compliance before production floor opens.
Electrical & Utility
 Verify main power supply is stable.
 Switch on lights in corridors & floors.
 Check generators, compressors, boilers (as per SOP).
 Confirm no loose cables, exposed wires, or burning smells.
Fire & Safety
 Ensure all fire exit doors are unlocked.
 Check fire alarm panel status.
 Inspect firefighting equipment (extinguishers, hydrants).
 Conduct a quick walk-through for blocked aisles or materials.
 Check ventilation, exhaust fans, temperature & airflow.
Chemical Store (if applicable)
 Ensure proper ventilation.
 Log chemical inventory and safety condition.

4.3 Floor Preparation


Performed by Production In-charge.
 Inspect sewing machines, cutting machines, finishing tools.
 Ensure needle guard, eye guard, pulley guard, and PPE are in place.
 Confirm the layout is safe — no materials blocking walkways.
 Check that electrical isolation switches are accessible.
 Ensure material trolleys are organized.

4.4 Worker Entry & Attendance


 Workers enter after security clearance.
 Attendance recorded (manual or biometric).
 HR ensures late entry or absentee records are updated.
 PPE (masks, gloves, aprons) distributed if required.

4.5 Shift Start Announcement


 Admin/Compliance gives clearance for operations to begin.
 Production managers start lines.

5. Daily Closing SOP (End of Day)


5.1 Production Shutdown
 Machines switched off by operators under supervisor oversight.
 Disconnect power supply at machine level.
 Store needles, cutters, scissors in controlled tool storage.
 Count WIP and finished goods; update production reports.

5.2 Housekeeping
 Remove fabric scraps, threads, trims from floors.
 Collect waste in designated bins.
 Sweep and clean all work areas.
 No flammable waste left on production floors.

5.3 Utility & Safety Closing


Performed by Maintenance + Compliance.
Electrical
 Turn off unnecessary lights & fans.
 Switch off boilers, compressors, and generators as per protocol.
 Check electrical panels for overheating.
Fire & Safety
 Ensure all fire exit doors remain unlocked until all workers exit.
 Check all areas for possible fire hazards.
 Turn off gas supply (if used).

5.4 Final Security Closing


 Ensure all workers have exited.
 Check all floors, offices, warehouses, Toilets.
 Lock floors, offices, warehouses, and main gate.
 Update security logbook (closing time, incidents, visitors).
 Seal sensitive areas (sample room, fabric warehouse) as per protocol.

6. Record Keeping
The following logs must be maintained daily:
 Security opening/closing log
 Attendance records
 Machine safety checklist
 Fire safety checklist
 Utility checklist
 Production closing report
 Housekeeping register

7. Non-Compliance & Incident Reporting


Any irregularity (e.g., fire exit blocked, electrical fault, unauthorized entry) must be reported immediately to:
 HR & Admin Head
 Admin Manager
 HR/Admin
Incident must be logged in the Corrective Action Report (CAR) and resolved before next shift.

8. Emergency Rules
If fire alarm/evacuation is triggered during opening or closing:
 Stop all activities.
 Evacuate through nearest exit.
 Follow the emergency response plan.
