1. Creating a New Presentation


Steps to Create a New Presentation
1. Open PowerPoint

 Click Start → Microsoft PowerPoint (or search for PowerPoint).


 When it opens, you’ll see the Home screen.

2. Choose How to Start

 Blank Presentation → Start from scratch (white slide).


 Template/Theme → Pre-designed style (colors, layouts, fonts).

�For beginners, select Blank Presentation.

3. Insert Title Slide

 The first slide is usually a Title Slide.


 Click Click to add title → Type your presentation title.
 Click Click to add subtitle → Add your name, subject, or date.

4. Add More Slides

 Go to Home → New Slide (or press Ctrl + M).


 Choose a Layout (Title & Content, Two Content, Comparison, etc.).

5. Insert Content

 Click inside a placeholder to add:


o Text
o Pictures (Insert → Pictures)
o Charts (Insert → Chart)
o SmartArt (Insert → SmartArt for diagrams)

6. Apply a Design Theme

 Go to Design Tab → Themes → pick a style.


 You can also change background colors.

7. Save Your Work

 Click File → Save As.


 Choose a location (Desktop, Documents, USB).
 File name: e.g., My Presentation.
 Save type: .pptx (PowerPoint) or .pdf (for sharing).

8. Present

 Press F5 → Start slideshow from the beginning.


 Use arrow keys or space bar to move through slides.
 Press Esc to exit slideshow.

� Quick Keyboard Shortcuts:

 Ctrl + M → New Slide


 Ctrl + S → Save
 F5 → Start slideshow
 Shift + F5 → Start slideshow from current slide

2. Using Design Templates and Slide Layouts


🎨Using Design Templates
A Design Template (or Theme) controls the colors, fonts, and background of your slides so
your presentation looks professional and consistent.

Steps:

1. Open PowerPoint.
2. Go to the Design Tab (top menu).
3. In the Themes group, you’ll see several pre-made designs.
o Hover your mouse → it shows a preview.
o Click → applies the theme to all slides.
4. To change colors, fonts, or effects:
o In Design Tab → Variants (right side).
o You can adjust color scheme, font style, or background style.

�Example: If you choose a blue theme, all slides get matching fonts and colors automatically.

Using Slide Layouts


A Slide Layout decides how content (text, images, charts, etc.) is arranged on a slide.

Steps:

1. Go to the Home Tab.


2. Click Layout (in the Slides group).
3. Choose from options like:
o Title Slide → For the first slide (big title + subtitle).
o Title and Content → For text, bullets, or one picture.
o Two Content → Compare two items side by side.
o Comparison → Like Two Content but with separate titles.
o Blank → No placeholders (you design freely).
o Picture with Caption → Good for posters or image-heavy slides.

�You can apply a different layout to each slide.

Quick Tips:
� Useone theme for consistency.
� Keeptext short (bullet points, not paragraphs).

Formatting Text

Use the Home Tab (Font group):

 Font Style & Size → Choose readable fonts (e.g., Calibri, Arial).
 Bold, Italic, Underline → Highlight important points.
 Font Color → Use dark text on light background (or vice versa).
 Bullets & Numbering → Keep information short and clear.
 Alignment → Left, Center, Right, or Justify.

 Ctrl + B → Bold

Adding & Formatting Images


Adding Images

1. Go to Insert → Pictures.
o This Device → Upload from your computer.
o Online Pictures → Search on the web (if available).
2. Select image → click Insert.

Formatting Images

When you click the image, a Picture Format Tab appears:

 Resize → Drag corners (not sides, to keep proportion).


 Crop → Remove unwanted parts (Picture Format → Crop).
 Picture Styles → Add borders, shadows, frames.
 Corrections → Adjust brightness/contrast.
 Remove Background → Keep only main object.

�Quick Tips:
� Usehigh-quality images (not blurry).
� Avoid too many images → keep slides clean.
� Use icons/diagrams for better visual impact.

Best Practice Example


 Title Slide → Text only (title + subtitle).
 Content Slide → Text (bullet points) + 1 Image on the right.
 Comparison Slide → Two images side by side with captions.

4. Applying Transitions and Animations

Transitions
�Transitions are effects that happen when moving from one slide to another.

How to Apply:

1. Select the slide you want.


2. Go to the Transitions Tab (top menu).
3. Choose an effect (e.g., Fade, Push, Wipe, Morph).
4. In the Timing group, you can:
o Set Duration (speed of transition).
o Choose On Click or After [time].
5. Click Apply To All (if you want the same transition on every slide).

�Best Practice:
� Usesimple transitions (Fade, Wipe, Push).
� Avoid overusing flashy ones (Bounce, Glitter).

Animations
�Animations control how text, images, or objects appear, move, or disappear within a slide.

How to Apply:

1. Select the text or object.


2. Go to the Animations Tab.
3. Choose an effect (Entrance, Emphasis, Exit, or Motion Path).

Examples:

o Entrance → Appear, Fade, Fly In.


o Emphasis → Spin, Grow/Shrink.
o Exit → Fade Out, Disappear, Fly Out.
o Motion Paths → Custom movement (line, curve, shape).
4. Use the Animation Pane (Animations → Advanced Animation → Animation Pane) to
control order, timing, and multiple effects.
5. Set Start Options:
o On Click (when you click).
o With Previous (together with another effect).
o After Previous (automatically after another effect).

1. Choose a Clear Topic

�Pick one clear message per poster.

2. Decide Poster Size

 A3 (11 × 17 in) → Common for classrooms/hospitals

3. Layout & Structure

A health poster should be easy to read at a glance. Common structure:

1. Title / Heading (Big, bold, eye-catching)

6. Running a Slide Show


Starting the Slide Show

1. Open your presentation.


2. Go to the Slide Show Tab (top menu).

o From Beginning → Starts at slide 1.
o From Current Slide → Starts at the slide you’re on.
o Or simply press:
 F5 → From beginning
 Shift + F5 → From current slide

Navigating During the Slide Show

 Arrow Keys / Spacebar → Move to next slide


 Backspace / Left Arrow → Go to previous slide
 Esc → Exit slide show
 Right-click → Access navigation menu (jump to slides, pointer options)

Useful Tools While Presenting

 Laser Pointer / Pen


o Press Ctrl + Left Click (mouse) = Laser pointer
o Or right-click → Pointer Options → choose Pen/Highlighter
 Slide Navigator
o Right-click → “See All Slides” to jump quickly
 Presenter View (if using projector)
o Shows notes and upcoming slides on your screen, but only current slide on
audience screen.

Setting Up Slide Show

 Go to Slide Show Tab → Set Up Slide Show


 Choose:
o Presented by a speaker (full screen)
o Browsed by an individual (windowed)
o Loop continuously until Esc (good for kiosk displays)

Quick Tips

� Always rehearse once before presenting.


� Keep animations/transitions simple for smooth flow.
� UsePresenter View if you need notes.
� Have a backup copy (USB or PDF).
