[0:00 - 2:00] Chairperson
Opening C:
Good morning, everyone. Thank you for being here today. As you know, we're just two weeks
away from launching our new skincare line - DermaGlow Serum. This is one of our key products
this year, and it's critical that we all align on the final steps.
In this meeting, we'll go through updates from each department and identify any remaining
issues or support needed before the launch. Let's keep each segment focused so we can stay
within our 20-minute schedule.
Let's begin with Product Development.
[2:00 - 5:00] Product Development
Update C:
D1, can you share where we stand on the product readiness?
D1:
Of course. I'm pleased to report that DermaGlow Serum is fully ready for production. We've
completed all lab testing and passed both stability and safety assessments. The serum's
formulation includes 12% Vitamin C and 2% hyaluronic acid - optimized for brightening and
hydration without irritation.
Packaging has been finalized as well. We're using recyclable glass bottles with airless pumps to
minimize product oxidation. Labeling has been approved by regulatory, and production is set to
begin next Monday.
We've also prepared product documentation and safety sheets, which will be forwarded to the
Customer Relations and Marketing teams for reference. No major concerns from our side - we're
ready for launch.
C:
Great. Thank you, D1. Very reassuring to hear. Let's move to Marketing.
[5:00 - 8:30] Marketing Strategy &
Promotion Plan C:
D2, could you walk us through the marketing rollout?
D2:
Absolutely. Our campaign is titled "Glow Starts Here", and it's divided into three stages:
1. Teaser Campaign (June 3-7): We'll release short videos and countdown posts on social
media to build curiosity.
2. Reveal & Influencer Push (June 8-14): We've partnered with ten mid-level beauty
influencers. They'll unbox and review the product with hashtag #GlowWithDerma.
3. Launch Event (June 15): A hybrid event with press, influencers, and a live Q&A on Instagram.
We're targeting women aged 18-35 in urban areas, especially those interested in clean beauty.
All digital materials are ready, and press kits are being printed today. We'll begin sending them
out on the 5th.
We also collaborated with the design team on a microsite for the product. It features before-
after results, testimonials, and science-backed claims - ready to go live on launch day.
C:
Excellent. Great to hear the alignment with influencers and digital rollout. Let's move on to
Sales.
[8:30 - 11:30] Sales & Distribution
Strategy C:
D3, how's our distribution and target looking?
D3:
Thank you. Our sales target for Q2 is 15,000 units, with a primary focus on e-commerce and key
retail partners.
We've onboarded two additional e-commerce platforms for better reach. Inventory will be
stocked by June 10 at all distribution centers. Retail partners like Sociolla and Watsons will
receive promotional displays.
Retail staff training is ongoing - we've created product guides and selling points so they can
educate customers effectively. We're also running a buy one, get mini size free promo for
the first two weeks post-launch.
I'd also like to request a quick alignment with Marketing to sync launch visuals with our store
displays.
C:
Noted. Let's make sure that happens by this week. Thank you, D3. Over to Finance.
[11:30 - 14:30] Financial Summary & ROI
Projection C:
D4, can you update us on the budget status?
D4:
Of course. The total budget allocated for this launch is IDR 750 million. So far, about IDR 450
million has been utilized - mostly for production, influencer partnerships, and digital ads.
We're forecasting a 140% ROI by the end of Q3, assuming we meet the sales targets. We've
also set aside a contingency budget of 75 million rupiah in case of any unforeseen operational
issues or last-minute marketing needs.
In terms of cash flow, everything looks healthy. However, I do recommend we monitor
marketing ROI closely in the first two weeks so we can adjust spend accordingly.
C:
Thank you for the insight. Appreciate the financial control. Now, on to Customer Relations.
[14:30 - 17:30] Customer Service
Readiness C:
D5, what's the customer support setup for launch?
D5:
We're preparing for a high volume of inquiries, especially in the first few days. Our support
team has been trained on product specs, usage tips, and common skin concerns.
We've updated our FAQ section and chatbot flow to include questions specific to DermaGlow
Serum. There
will also be a live chat feature activated on launch day for real-time help.
In addition, we're introducing a customer feedback form on product pages to capture
reviews, and we'll monitor social media daily to respond to feedback or complaints.
One suggestion - could Marketing send us the influencer video previews beforehand so we
can anticipate possible FAQs?
D2:
Yes, absolutely. I'll make sure the team shares that with you by next Wednesday.
C:
Great teamwork. Thank you, D5. That wraps up the departmental updates.
[17:30 - 20:00] Closing & Action
Points C:
Thanks again, everyone, for your updates and collaboration. Here are our key action items:
- D2 to share influencer content previews with Customer Relations
- D3 and D2 to coordinate visuals and messaging for retail displays
- Final production begins Monday (D1), and distribution by June 10
- Final alignment meeting: June 12, 10:00 AM
We're on track, and I'm confident in this team's ability to deliver a successful launch. If
anything comes up before then, please email me directly.
Let's make DermaGlow a glowing success. Meeting adjourned.
