Microsoft Project for Project Management

This document describes how to use the Microsoft Project program to manage a project. It explains how to set up the work calendar, plan activities, generate links between tasks, build Gantt charts, assign resources, track progress, and other basic functions. The goal is to understand the working logic of Project through practical cases to learn by doing. The use of the program depends on daily practice, and there are different ways to achieve the same results. Microsoft Project allows creating plans.

ABSTRACT

This document shows a reference oriented to the use of Microsoft

Project program, similarly oriented to the administration of a project from the initial.

configuration of local configuration, work calendars, activity planning, link

generation, construction of Gantt diagrams, Gantt tracking, route identification,

resource allocation, tracking and other basic aspects.

The structure of the document is aimed at understanding the Project

work logic using practical cases with the learning by doing methodology.

It should be noted that the use of this program depends on its daily use.

and that there are different procedures that lead to the same result, which is

why what is referred to in the document and in-person explanation is not the

only way to achieve the proposed objectives. With Microsoft Project, you can do

the following

Create project plans.

Form project teams and assign resources.

See different views of tasks and resources.

Measure progress.

• Manage budgets (Microsoft office, 2017).

SUMMARY

This document provides a reference oriented towards the use of

Microsoft Project program, focused on the management of a
project from the initial setup of local configuration, calendars of
work, planning of activities, generation of links, construction of
Gantt charts, tracking Gantt, path identification, assignment
of resources, monitoring and other fundamental aspects.

The structure of the document is aimed at understanding the

work logic of Project using practical cases with the methodology
to learn by doing.

It should be noted that the use of this program will depend on its usage

everyday life and that there are different procedures that lead to it

Measure progress.

Manage budgets (Microsoft Office, 2017).

INTRODUCTION
Microsoft Project is a support tool for the Initiation process,

planning, execution, monitoring and closure, established by management

Projects during the different phases of its life cycle, with the aim of

achieve effective and timely control regarding deviations in scope, the

cost, time, and quality of a project, which allows and facilitates decision making

assertive decisions for the success of the project.

In this tutorial, you will find an easy way to get to know and learn the

operation of the Microsoft Project tool, through the execution of

a practical exercise consisting of the application of some surveys that

guidelines on the processes that should be followed for the development of a project

taking as a model that of the example.

It is project management software designed, developed and

marketed by Microsoft to assist project managers in the

development of plans, allocation of resources to tasks, follow-up on

progress, manage budget, and analyze workload.

OBJECTIVES

GENERAL OBJECTIVES

The main objective of this report is to have a

broader knowledge of earned value using the tool

Microsoft Project, while solving the exercise presented in class.

The objective of this workshop is to understand the functions of the program.

PROJECT, its utilities and how it can help us

students in the construction of our knowledge.

SPECIFIC OBJECTIVES

Know the different phases that make up a project.

Create a project plan.
Define tasks.
Linking of tasks.
Recognize and differentiate the different types of resources involved
in a project.
Assign resources to each of the tasks.
Analyze the costs of each of the resources.
Optimize planning.
Carry out project monitoring and analyze the variations that occur.
produced with the initial planning.
Control the scheduling (time) and finances (costs) of a
project, knowing the deviations from the planning
initially developed.
Report on the progress or advancement of an ongoing project.
Use of MS Project according to what was requested in the exercise.

THEORETICAL FRAMEWORK

EARNED VALUE METHOD.

Earned Value Management is a methodology

explained in this module that serves to determine the performance of the

costs and project scheduling. This analysis is one of the

tools for measuring performance and more effective feedback

to manage projects, which also takes into account the risk in the project.

This tool, although new to me, seems to be an excellent analysis of

project control that I hope to master and be able to use in

large projects. To do this, I would like to first understand, in a way

general, the results obtained and the limitations that this method entails.

Regarding the first point, it has already been explained that it provides an objective measure.

how much work has been completed on the project, through

comparisons between the work that has been planned to be completed to date and

the one that has really been carried out. In this way, it is determined whether the

cost, deadline, and the work done are in accordance with the plan.

On the other hand, it is necessary to know the limitations that this method involves.

to look for others that implement it or replace it for the determination of

certain aspects necessary for planning.

For example, the variation of the programming, in terms of time,

it presents complications in the earned value analysis to calculate the delay

or advance in units of time, which could confuse the Manager of the

Work. For this, the Earned Programming Technique (PG) will be used,

simple and more precise.

The Earned Programming (EP) consists of the amount of time units,

what has really been achieved regarding the total scheduled time for the work,

with the work done by the cutoff date. With this, it can be estimated

Actually, how behind or ahead we are in relation to the deadline of

contract, encompassing the total magnitude of the project's items.

For a more detailed analysis of these time variations would be more

a study of the Baseline with a Gantt Chart is convenient for each

scheduled counteractivity or task.

The differences between the delay measured in a follow-up to the Gantt chart and

the delay measured in a follow-up with Earned Value is the

following:

a) The verifiable delays in the Gantt Chart can be traced at the level of

tasks; in the Earned Programming, the delay corresponds to the total that remains for

to do and is out of sync with the valued work schedule.

b) The delay in time in the Gantt chart cannot tell us how much of

Additional time we need in order to be on schedule (deadline

global additional).

c) It is possible to assess the amount that represents the delay of the entire project (and

therefore, calculate the loss and even including the date by which one has to

proceed to assess extensions of time or penalties for delays.

It should be clarified that Earned Value and Planned Value techniques measure

all the progress of the work, they do not go into specific details about it, and how

such, it is in that area of action where it shows all its potential as

tool for a Project and Construction Manager.

PHASES OF A PROJECT
RESOURCES AND COSTS

The staff and equipment are the resources with which it works

project. With Microsoft Project, you can assign resources to tasks and

after using the tools and presentations in Microsoft Project

to manage these resources and the entire project more effectively

efficient.

The cost is an important aspect of programming and control.

project. For example, cost considerations determine the

speed at which tasks are carried out and how they are employed

resources. In some cases, the success of the project is measured by the

deviation between the project's final costs and the projected costs.
