REPORT WRITING
❑ A written report is a formal document
that provides an account of an event
which is witnessed, studied, examined
or investigated.
❑ Unlike written reports, verbal reports
are usually informal and not well
organized.
❑ In this course, our attention is on the
written report

TYPES OF WRITTEN REPORTS
❑ Written Reports will be discussed under
two main broad categories. These are
1. Factual or informative Reports
2. Investigative Reports

FACTUAL/INFORMATIVE REPORT
❑ A factual report provides an account of an
event which is witnessed, studied or
examined.
❑ As the name suggests, it gathers,
evaluates and presents information to an
audience.
❑ Factual reports may include reports on
meetings, training programmes, lectures,
conferences, industrial attachment,
committee report etc.

STRUCTURE OF THE
FACTUAL/INFORMATIVE REPORT
➢ The factual report has four parts just like
the essay.
1. Heading
2. Introduction
3. Body
4. Conclusion
NB: Unlike the essay, the body of the factual report
has headings and sub-headings indicating what is
contained in each section. 6
HEADING
❑ The heading must capture the general
purpose of the report. E.g.
THE ANNUAL REPORT ON THE OPERATION OF
MINING COMPANIES IN KOFORIDUA
REPORT ON THE ROAD ACCIDENTS IN THE
EASTERN REGION OF GHANA
ANNUAL REPORT ON THE ACTIVITIES OF THE
DEPARTMENT OF CIVIL ENGINEERING AT KTU
NB: The heading must be concise.

INTRODUCTION
❑ The introduction of the factual report
gives background information. In the case
industrial attachment, it may include
✓ Name of the person or institution requesting the
report (Industrial Liaison Officer).
✓ The name of the organization or city where the
attachment was done.
✓ The purpose of the attachment.
✓ A clear statement of the purpose of the report.
✓ The duration of the attachment.
NB: The introduction should be clear, brief and
agree with the rest of the report.

BODY
❑ The body of the factual report contains
the major points.
❑ The body can be divided into numbered
sections with section headings which
are determined by the events under
discussion. E.g.

CONCLUSION
❑ The concluding part of the factual
report summarizes the major ideas in
the report.
❑ It also includes the writer’s impressions
about the event (its benefits,
weaknesses and recommendations)
