Registration Process
User Module
Step 1: System access
Visit ICPAR website [Link] and then click on Students/Members Portal
After clicking on the above button, the new diagram will come as below:

Step 2: Register or Sign in Process
✓ For the new student, the next step is to Register while,
✓ For the existing student, the next step is to sign in using the Username and Password
provided.

Any user shall register in the MIS system to become a new user by clicking on Register
button as below:

Student registration
After click on the above icon Register As student, you should enter your personal
information such as Nationality, ID/ Passport under document type, email, phone number and
username. Then click on “Submit” button to finish registration.

Note:
1. After filling your National ID, the system itself retrieves your data from National Identity
Agency (NIDA) like your Last Name, First Name, Gender, Date of Birth and address
directly. i.e., no need to fill them.
2. For those who having nationality rather than Rwanda, you have to fill your Passport Number
under document type and all the remaining data.
✓ After submitting, the system sends the credentials (Username and Password) on the email
provided to be using in sign in process.
Below is a Sign in process
The sign in button will direct the user to the login page where the user will have to enter
his/her credentials and login into account. The Username will be displayed on the screen, but
the password will be hidden. As the user is typing the password in the slot, no character can
be shown to the screen.

The sign in page/log in page is for the user who already has an account. Every account
successfully created as an E-learning account will be able to login into their account through
the sign in page. As shown in the diagram below.
If the password or username is forgotten, all system users can request to reset the password
for other security purposes. From the "login" page, select "Forgot password" or
“Username”. The system displays a form to enter your email, as shown in Figure: 2 and 3,
allowing the system user to enter a registered "Email address" and click "Submit".

If you opt to pay using BK Through Urubuto Pay, once you click on it, the follow diagram

✓ After making the payment, you will wait until the registrar reviewed your application and
approve it. After the approval you will get the notification email that informing you the
application status (Approved or Rejected)
✓ Once your application is approved, you are now admitted as student and the next step is to
request the exemption for those who have any prior years learning academics/ qualification
or request the exam for those who are not allowed the exemptions.
Functionality of side bar menus
Student Module
This module has five side bar menus, which are; My dashboard, E-learning, Examination,
Payment Communication, and Reports. A student is able to view his/her personal information
and uploaded document.
The system also allows students to edit their Profile and also view their qualifications as
shown below.

E-Learning
This module enables registered students to get free course materials and some of them will
have to be paid.
Examination
Exemption
Exempted modules are modules that a student has covered from his/her prior years learning,
it can be academic or professional qualification from any other Professional Accountancy
Organizations (PAOs)
Students are able to create papers to be exempted in the system as shown in the screenshot
below.

Exam
This section shows how students can apply for exams and choose their sponsorship types.
✓ After confirming your application, the system will request you to choose the examination
center as well and then submit.
✓ After submission, the system will also generate the invoice that you have to pay as per the
payment process detailed in step 3 in order to be able to get the personal timetable.
How to know my request status
Go to <Student dashboard> < My Applications> then select any application you want to
know its status.

For registration and exemption, the application that was done successful and responded, the
status should be “Approved” while for examination because there is no human intervention,
the status should be “Invoice paid” to be sure that the exams are successful requested. See
the screenshot below:
Personal timetable
To get personal timetable <go to student dashboard> <Exam Time Table> under choose
exam session box, scroll down and choose the current exam session
After choosing the exam session, you will get your timetable including Paper code, Course
(Paper Name), Date of examination, Time for examination and the Center name as well.
There is an option of downloading it as it is supposed to be presented at entrance during the
examination.

My Results
Students are allowed to view their results by choosing session and choosing the type of exam
they want to do as shown in the screenshot below.

Go to <Report> <Transcripts> and then look at the exam period and paper you sat for to see
the marks obtained.
Payment
A student pays for different services at ICPAR; for example, applications, Registration,
Transcripts, Exemption, Student identification card that all require an invoice.
Invoices
A student is able to view all invoices to be paid.

Receipts
A student is able to view all paid invoices through receipts. A student can pay his/her
invoices through Direct Payment Online (DPO) or BK (Bank of Kigali) through UrubutoPay
and after payment the system generate a receipt.
Account statement
A student is able to view his/her account statements. For example; if the student has an
unpaid balance or if he/she cleared.

The system also enables the student to print statements, save statements and he/she can

Communication
This section handles the exchange of messages between different users. The system allows
students to chat with each other's and verify who sent a message, the content, and the
notifications.

room.

8. In case you choose MTN, you have to fill your number and the agree to terms and
conditions and click on continue to pay. After clicking on continue to pay, you will
receive the prompt message to your phone to fill your passcode of MOMO. After
confirming the passcode, you will receive the message confirming your payment.

2. You have to fill the information regarding to service (ICPAR invoice fee), the
telecommunication company between MTN and Airtel or VISA card and fill the
telephone number or card number and other information required to proceed the
payment.
On above image, you have to agree to the terms and conditions before going to pay
now. After clicking on pay now, you will also receive the prompt message to fill your
MOMO passcode to complete the payment process.
