We have received your application to study but it could not be processed as our records show that we
have not received your full administration fee. As soon as the full administration fee is received our
system will release your application to be processed and available to the institutions to which you have
applied. At that point you will receive an Acknowledgement Letter informing you that your application
has been processed and requesting you to check that all the information you provided is correct and
complete.
If you have already paid the full administration fee and still receive this letter, it could be that:
(a) Your payment has not as yet been made available to us by the bank OR
(b) The amount you have paid is not the full amount and that a difference is still owing.
Please check the balance outstanding indicated on the top right hand corner of this letter or refer to the
Administration Fee table accompanying this letter. If payment is received after 31 May 2025 (for July
2025 intake) or after 31 October 2025 (for January 2026 intake), you will be liable to pay the late
administration fee as indicated in the accompanying table. If, after checking the Administration Fee
table you are unsure, you may call us on 031 268 4444. From outside South Africa call +27 31 268

If you are Under 18, your application information will only be provided to your parent/guardian who
signed the CAO Declaration and Informed Consent Form.
If you are 18 or older, your application information will only be shared with you. If you wish to give
permission to any other person to enquire on your behalf, you are required to submit a completed
'Power of Attorney' Form, which will allow us to release your information to whomever you state on the
‘Power of Attorney’ Form.
Go to our website [Link], click on the 'Important Notices and News' icon to download the
'Power of Attorney' Form.
Once completed and signed, you must upload the form onto your CAO application profile. To upload go
to [Link], click on the 'Upload My Documents' icon and select 'Power of Attorney' Form. Once
uploaded this document will be available after one hour to CAO, its administrative departments, staff or
any affiliated persons at the institutions to which you have applied.
The official received date of your application will be the date on which we receive your application and
full administration fee, whichever is received last (as stated in clause 10 of the Terms and Conditions).
Your application is then flagged as valid. Institutions have different closing dates for their programmes.
If your payment is received after any of the programme closing dates, your application for these
programmes will be marked as late, but may still be considered and still qualifies for the on-time
payment. Applications received after the programme closing date are dealt with differently by each
institution. If your application and/or administration fee is/are received after 31 May 2025 (for July 2025
intake) or after 31 October 2025 (for January 2026 intake), the late administration fee will apply as
indicated in the accompanying table. Check the ‘Important Notices and News’ on our website
[Link] for more information regarding (i) late applications and (ii) late payments.
While the above applies to most programmes, it does not apply to programmes that have closed and for
which the institution/s will not consider late applications, e.g. B Medicine & B Surgery, B Ed, etc (see
details in the notes column of the programme list in the latest CAO handbook or on our website).
NB. Health Science programmes at UKZN do not consider applications received after the
closing date.
Administration fees are NOT REFUNDABLE.
If you have already paid the full administration fee using the above CAO number, you must upload your
proof of payment online at [Link]. Click on the ’Upload My Documents’ icon and follow the
onscreen prompts. If you have made payment using a different CAO Number, please
email paymentscao@[Link] to request a Transfer of Funds Form. See next page for ways of
paying the CAO Administration fee.
