Cost Control & Inventory Control in retailing

13-10-2025 23
Management of Retail Stores
Cost Control & Inventory Control in retailing
• Cost control in retailing involves managing expenses by optimizing
inventory, reducing operational costs, and negotiating favorable
supplier terms.
• Inventory control focuses on maintaining optimal stock levels to
meet customer demand, minimize waste, and avoid stockouts
through techniques like demand forecasting, ABC analysis, and JIT
stocking.
• Effective inventory control is fundamental to cost control, as it
minimizes costs related to excess inventory, spoilage, and shrinkage,
ultimately improving cash flow and profitability.
13-10-2025 24
Management of Retail Stores
Cost Control in Inventory Management in retailing
The core goal is to balance the total cost of
inventory, which includes:
1. Item Cost: The cost of the products themselves,
including discounts for bulk purchases.
2. Order Cost: Fixed costs associated with placing
an order, such as administrative expenses,
transportation, and receiving.
3. Holding/Carrying Cost: Expenses for keeping
inventory in storage, including rent, insurance,
spoilage, security, and capital tied up in stock.
4. Shortage Cost: The cost of running out of stock,
including lost sales, customer dissatisfaction,
and backorder costs.

Cost Control in retailing

13-10-2025 26
Management of Retail Stores
1. Anticipating Future Expenses:
• Businesses predictions for upcoming costs based on historical data,
market trends, and other relevant factors helps in cost control. This
proactive approach allows retail stores to plan for and mitigate
potential financial challenges, ensuring that they are well-prepared
to handle future expenditures.
2. Budgeting Precision:
• When businesses have a clear understanding of future costs, they can
develop budgets that reflect the true financial requirements of the
stores. Precision in budgeting is essential for effective cost control,
preventing overspending and fostering financial discipline.
13-10-2025 27
Management of Retail Stores
3. Identifying Cost Drivers:
• By understanding what factors contribute to expenses, retail stores
can implement targeted cost control measures. This might include
renegotiating contracts, optimizing processes or exploring alternative
suppliers to address specific cost drivers.
4. Scenario Planning:
• Businesses operate in dynamic environments where external factors
can influence costs. Scenario planning on different situations can help
to assess the potential impact on costs. This foresight helps in
developing contingency plans and adjusting strategies accordingly
13-10-2025 28
Management of Retail Stores
5. Performance Measurement:
• Regularly comparing actual expenses to budgeted expenses provides
a basis for performance measurement. This allows stores to evaluate
the effectiveness of their cost control strategies and make
adjustments as needed. It also facilitates a continuous improvement
mindset within the organization.
6. Cash Flow Management:
• By predicting when expenses will occur and aligning them with
revenue expectations, stores can ensure they have sufficient liquidity
to cover costs. This is especially important for avoiding financial
constraints and potential disruptions in operations.
13-10-2025 29
Management of Retail Stores
7. Strategic Decision-Making:
• Strategic decisions can help align businesses with their financial objectives.
Whether it involves investments, expansions, or cost-cutting initiatives,
Strategic Decision provides the necessary insights to make decisions that
contribute to the long-term success of the organization.
8. Resource Allocation:
• Cost control planning aids in optimal resource allocation. By knowing
where and when resources will be needed, businesses can allocate funds,
manpower, and other resources efficiently. This prevents underutilization
or overcommitment of resources, contributing to overall profitable growth
of the organization.
13-10-2025 30
Management of Retail Stores
Key Inventory Management Techniques
1. Demand Forecasting:
• Analyzing sales data and patterns to predict future demand
accurately, helping to avoid both overstocking and stockouts.
2. ABC Analysis:
• Categorizing inventory based on its value or importance (e.g., "A"
items are high-value) to prioritize control efforts and resources.
3. Just-in-Time (JIT):
• A system where goods are received only as they are needed for
production or sale, minimizing holding costs.

13-10-2025 31
Management of Retail Stores
Key Inventory Management Techniques
4. Economic Order Quantity (EOQ):
• A formula and model used to determine the optimal order size that
minimizes the combined costs of ordering and holding inventory.
5. Supplier Relationship Management:
• Negotiating favorable terms with suppliers to secure better pricing
and discounts, which lowers procurement costs.
6. Inventory Auditing:
• Regularly counting and verifying physical inventory to ensure accuracy
and identify discrepancies, reducing losses due to theft or spoilage

Key Inventory Management Techniques
The Kraljic Matrix divides procurement categories into four main groups:
• Strategic Items: For these products, we develop
partnership relationships with suppliers, enter into long-
term contracts, and regularly evaluate and measure their
performance to mitigate risks. SRM systems, such as
Ivalua, can assist in this process.
• Leverage Items: In this case, we use our procurement
capabilities to achieve the best negotiation outcomes.
• Bottleneck Items: We focus on ensuring supply continuity
for these products. These items usually have a low value
but are crucial for the company’s operations. Therefore,
we concentrate on securing supplies rather than
negotiating prices.
• Non-Critical Items: In this category, we focus on process
automation (P2P). The process of reporting, approving,
and fulfilling orders is often more expensive than the Dr Peter Kraljic Matrix
purchases themselves, so automating these processes is
beneficial.

Inventory Control in retailing
1. Plan
• Retail inventory management begins with planning the type and
variety of products to buy (and their respective quantities). Inventory
plans should be based on sales forecasts, market trends, and
customer preferences.
• This requires an analysis of your sales data, seasonality, market
demand, and customer feedback for different products.
• By doing this, you can optimize the inventory levels in your retail
operations to avoid overstocking or understocking and increase the
profitability of your business.
13-10-2025 34
Management of Retail Stores
2. Order
• When the strategy and the inventory plan is in place, we need to order
products from suppliers or manufacturers. Placing orders with suppliers
should be based on your forecasted demand, current inventory levels,
and supplier lead time.
Using tools like purchase orders, invoices, and receipts will help to keep track of:
✓Orders made to suppliers
✓Orders received from customers
✓Payments made to suppliers
✓Goods delivered to their customers

13-10-2025 35
Management of Retail Stores
3. Receive
• Once the products arrive at the warehouse or retail store, they need
to be checked and verified. This means inspecting the quality,
quantity, and condition of the goods.
• Check the accuracy of the receipted order by matching it with
the purchase orders (before recording it in your inventory system and
storing the goods in the warehouse or store).
• Using inventory tools such as barcodes, scanners, and labels will help
to ensure accuracy and accountability when receiving inventory.

13-10-2025 36
Management of Retail Stores
4. Storage
• Different types of products have different storage requirements.
• Dry storage is used for items that do not need refrigeration but may require ventilation,
certain lighting, or humidity control and must be correctly stored and labelled.
• Cool storage is used for goods that need to be kept at low temperatures or in temperature-
controlled environments, such as food and beverage, produce, and pharmaceutical items.
Some common methods of arranging inventory in both dry and cool storage areas
include:
✓Stacking: Placing items on top of each other, usually in their original packaging or
containers.
✓Shelving: Placing inventory on shelves or racks, labelled with the product name
and relevant SKU data.
✓Bins: Great for storing loose or bulk items. Bins should have tight-fitting lids and
labels to prevent contamination and spoilage of perishable products.
13-10-2025 37
Management of Retail Stores
5. Sell
• Retailers can sell products to customers through a variety of
channels, such as in-store or via e-commerce, social media, and
marketplace platforms.
• By using tools like POS systems – and offering a choice of payment
methods, and shipping options – the customers can shop when,
where, and how they like. That means online and in-store, with tools
to make their transactions easy and convenient and delivery options
to suit their needs

13-10-2025 38
Management of Retail Stores
6. Report
• Retail inventory management software (Zoho inventory or
NetSuite)enables to monitor and analyze inventory using metrics such
as sales, turnover, margins, and shrinkage.
• With software tools and dashboards, we can generate reports and
visuals to show sales volume, turnover rate, profit margins and even
the shrinkage rate of different products.
• Accurate inventory reports not only help to identify inventory
patterns and trends – they can also simplify end-of-year financial
reporting obligations.

13-10-2025 39
Management of Retail Stores
7. Restock
• It’s important to get restocking and reordering right to avoid
overstocking or understocking of retail inventory.
• To replenish stock and safeguard against running out of inventory,
implement measures such as re-order levels . These notify us when
the stock reaches a predetermined minimum, helping to avoid
running out of products when levels are low or when there is a spike
in demand.

13-10-2025 40
Management of Retail Stores
Benefits of Effective Inventory Cost Control
1. Improved Cash Flow: By avoiding excess stock, businesses free up
capital for other uses.
2. Increased Operational Efficiency: Streamlined inventory processes
reduce waste and improve overall supply chain efficiency.
3. Higher Customer Satisfaction: Having the right products available
when customers need them enhances service levels and loyalty.
4. Reduced Waste: Effective management minimizes spoilage,
damage, and obsolescence of goods.
