Instructions to Schools

The information contained in this document is to enable the Principal of the school and the Teacher in
charge of Computer Studies (451) to make adequate preparation for this year’s Computer Studies
practical examination paper (451/2).

These instructions consist of 3 printed pages.

(1) Each school offering Computer Studies (451) should ensure that:
(a) There is one computer connected to the Internet and that it shall be available for
uploading the candidates’ work to the KNEC portal at the end of the examination. This
computer should not be in the examination room.
(b) Each candidate is provided with a desktop computer with the following application
software installed:
(i) A Desktop Publisher e.g., Microsoft Publisher.
(ii) A Word Processor e.g., Microsoft Word.
(iii) A Spreadsheet e.g., Microsoft Excel.
(iv) A Relational Database e.g., Microsoft Access.
(c) The standards, formats and language in the candidates’ computers are set to United
Kingdom and English (UK) and that the system date and time is set to the current date
and time.
(d) There are enough virus-free computers and printers to enable all the candidates to take the
examination in not more than two sessions.
(e) Any form of computer network (physical or wireless) in the computer examination
room/laboratory is disabled.
(f) All data files in the computers to be used by the candidates are deleted before
commencement of the examination.
(g) All files related to the examination, including those in the recycle bin, are deleted from
the computers before the start of each examination session.
(h) The school has at least one standard quality and reliable USB 3.0 flash disk (examples of
reliable brands are Kingston, SanDisk, Samsung etc.) with a minimum of 16 GB storage
space.
(i) The school provides an unmarked envelope for packing the flash disk(s) at the end of the
examination.
(2) Printing the candidates’ work.
(a) Each candidate shall ensure that their work is saved in a folder that is named with the
candidate’s 11-digit random number, e.g. 452512450001.
(b) The supervisor shall create a folder on the flash disk provided and name the folder with
the school’s 8-digit random number, e.g. 45251245.
(c) The supervisor shall transfer each candidate’s folder onto the school’s folder created
on the flash disk.
(d) Each candidate’s work shall be printed from their folder as saved on the flash disk.
(e) Candidates shall present their printed work, and the work saved on the flash disk.

(3) Uploading the candidates’ work.
(a) After all the candidates have printed their work, the supervisor shall compress/zip the
school folder containing all the candidates’ folders.
(b) The Centre Manager shall provide the computer with Internet connectivity and login to
the KNEC marks upload portal, i.e. [Link]/project using the school’s
credentials.
(c) The supervisor shall insert the USB flash disk into one of the USB ports on the computer
and click the Upload 451/2 button.
(d) The supervisor shall locate the zipped folder on the flash disk and when the folder is
successfully identified the supervisor shall click Ok to upload and wait for the system
confirmation message File uploaded successfully.
Note: If the school’s zip folder exceeds the allowed size to upload by certain browsers,
then, divide your candidates work between two or more zip folders, adding
'_1’,'_2' to the end of each zip folder name as appropriate.

(4) Packing of the printed work and the flash disk.
The flash disk shall be placed in the unmarked envelope provided by the Centre and packed
together with the candidates’ printed work in the return envelope.
(5) Assistance from Computer Studies teacher and/or laboratory technician(s).
(a) The Computer Studies teacher and/or the computer laboratory technician(s) may provide
supervised assistance in the event of technical difficulties with the examination
computers, printers, and/or other devices.
(b) The assistance provided shall be recorded by the supervisor in their report on the conduct
and administration of the examination and shall include the following:
(i) the random number of the affected candidates, and
(ii) the nature of the assistance provided.

After the examination, each candidate's work must be saved in a folder named with their random number. The supervisor then transfers each candidate's folder onto a flash disk and ensures the work is printed from this disk. The school folder must then be compressed and uploaded to the KNEC portal .

Schools must ensure that each candidate has access to a desktop computer with specified application software like Microsoft Publisher, Microsoft Word, and others installed, all data files are deleted before the exam, and a reliable USB flash disk with at least 16GB is available. Furthermore, a computer with internet is needed for uploading work, but it should not be in the examination room .

The Centre Manager is responsible for ensuring the computer is connected to the internet and logging into the KNEC marks upload portal using the school's credentials. This enables the supervisor to upload the zipped folder containing the candidates' work .

If the zipped school folder exceeds the allowed browser size for upload, the work should be divided across multiple zip folders. Each folder should be numbered sequentially with _1, _2, etc., to indicate the segments of the upload .

The USB flash disk containing candidates’ work should be placed in an unmarked envelope and packed with the printed work in the return envelope. This ensures that the work remains confidential and secure until it is reviewed .

The unmarked envelope for the USB flash disk ensures that there is no branding or marking that might compromise confidentiality. Packing this with the printed work in a return envelope further ensures that the data is secure and makes the chain of custody clear and verifiable, thus maintaining the examination's integrity .
