traditional methods for monitoring student entry and exit."
While this method is familiar, it is often slow, prone to errors, and unreliable—especially during
emergencies when timely and accurate information is needed.
As students, we believe that education should not only focus on academics but also prioritize
student safety and reassure parents that their children are in good hands.
Good day, esteemed panelists. My name is Ronhiel Palabay, and with me are my fellow group
members: Cj Macuha, Cj Pathrick Miciano, Johnmel Padilla, and Joshua Carlo Saez,
To address this concern, we are proud to present our capstone project proposal: “Guardientry: A
Mobile-Based Real-Time Parental Alert and Notification System for PMFTCI Student Entry
and Exit Monitoring.”
This mobile-based system offers a modern solution by utilizing QR code technology to monitor
student entry and exit in real time. Each student is assigned a unique QR code, which is scanned
upon arrival or departure—instantly notifying parents through a dedicated mobile application.
Compared to RFID, QR codes are much cheaper, easier to implement, and well-suited for our
school. Studies show that a strong relationship between schools and families helps reduce
absences and build trust.
In essence, Guardientry improves safety, reduces human error, and strengthens communication
between school and home through a smarter and more reliable monitoring approach.

and they can’t give real-time data needed for quick action and clear communication.

Unfortunately, that’s still the reality in many schools—including ours at PMFTCI. Traditional
logbooks may look simple, but they’re slow, error-prone, and worst of all—they fail when you need
real-time information the most. In emergencies, these systems don’t help. For parents, that means
uncertainty, worry, and a lack of trust.

real-time updates. They don’t solve the core issue—safety and communication.

Throughout our planning and research, we didn’t just focus on building a system—we focused on
building the right system. And that meant asking the tough, practical questions early on.

unstable connections? Guardientry must remain dependable, especially in areas with limited
connectivity."
Next, we considered how Guardientry could improve traditional methods. Can it enhance accuracy,
efficiency, and data security? We needed to determine if it offers clear advantages over manual
processes.
We also looked into system resilience. What steps can prevent QR code misuse and reduce
scanning errors? The system must be secure from tampering and consistently accurate.
Since Guardientry handles personal data, we asked: what privacy and compliance standards must
it follow? This raised important concerns about data protection and legal responsibilities.
Communication was another key area. How can the system keep parents informed in real time and
strengthen trust in the school’s safety measures? Timely updates are essential to reassure
families.
We also focused on user adoption. What strategies can help overcome resistance, especially
among those less familiar with technology? The system must be simple and accessible to all
users.
Finally, can Guardientry grow and adapt to schools’ changing needs? A sustainable solution must
be flexible and scalable to stay relevant over time.
By answering these questions, we aimed to create a solution that is not only practical and
affordable but also meaningful to the school community. Guardientry was designed to meet real
needs—not just technical goals.

The primary focus of this project is the design and development of Guardientry, a mobile-based
QR code system created to monitor student entry and exit in real time.
Core features include instant notifications sent to parents through a mobile app, unique QR codes
assigned to each student, and secure digital recordkeeping to replace traditional manual logbooks.
The system aims to enhance student safety, improve communication between parents and
schools, minimize manual errors, and boost administrative efficiency.
Designed specifically for PMFTCI students, parents or guardians, teachers, and school
administrators, Guardientry is being developed as an Android-only application, suitable for
testing and pilot deployment.
The approach follows a cost-effective and user-centered design, ideal for resource-limited
educational institutions. Technologies such as RFID, biometrics, and GPS tracking were
intentionally excluded due to their higher cost, complexity, and infrastructure requirements.
The system is not integrated with grading systems, scheduling tools, or other school platforms, and
does not include an iOS version due to time and resource constraints. Testing is limited to selected
pilot schools and does not cover national-level implementation.
Furthermore, this project does not evaluate long-term effects on attendance, punctuality, or
academic performance, nor does it consider demographic factors such as culture, location, or
socioeconomic background.

attendance data is stored locally and automatically syncs with the server once the connection is
restored.
7. How do you prevent QR code misuse or duplication?
Answer:
Each QR code is uniquely encrypted and bound to a student's identity. The system also validates

times or devices will be flagged.
