Overview
On January 1st 2022, Navarro College will be changing to a new HR & Payroll System.
This system is called Oracle Human Capital Management (HCM). it is part of the
“Oracle Applications Cloud”, or “Oracle Cloud” for short. Therefore, you may hear
it referred to as Oracle Cloud HCM.
It takes the form of a website, not a desktop program.
It can be accessed on or off campus, without a VPN.
It can be accessed by a company computer, personal computer, or cell phone.
It will not be brought down by a campus-wide power outage.
As of January 1, 2022, all hourly and non-exempt
employees will be required to log their time worked using
Oracle HCM. Employees will be required to submit their
time cards weekly. All supervisors will be required to
approve those submitted time cards weekly.
Accessing Oracle HCM
Oracle HCM will be accessed through MyNC. Go to
[Link] and sign in using the same username and
password you would use to log into a work computer. Once you are signed into
MyNC, you will see a collection of icons. Click the one with the three silhouettes.
Please note that the name “HCM – UAT” may be changed to “Oracle Cloud”, or
“Oracle Applications Cloud” but the icon should stay the same.
Once you have logged in using MyNC and clicked the Oracle button, you may see
the following additional log-in screen. DO NOT attempt to log-in again! Simply
click the black button that says “Company Single Sign-On”
Using the Web Clock
Every day, remember to clock in when you begin the day and clock out when you
end the day. Also remember to clock out and in for lunch, or any other time you
will not be on-duty.
To use the web clock, start at the home page. Click on the “Web Clock” icon to
open the web clock.
Once you click the web clock icon, you will see a clock, and below the clock will be
two buttons: One for clock in, and one for clock out.
Once you click the “Clock In” button, you will be asked for which position you are
clocking in. Select your position from the drop-down list and click “Submit”

Changing Times on the Web Clock
When you are looking at your web clock, there will be a log at the bottom of the
screen that shows the times you have clocked in and out today.
If you click “Actions” on the left, it will show you the option “Request Change”.
Click that option and you will be taken to the “Request Change” screen.
On the “Request Change” screen, there will be a section at the bottom called
“Time Events”. It can be seen below:
To change or remove a particular entry, click the pencil symbol on the far-right
side of it.
After you have clicked the pencil icon, you will be able to change the specific time.
The time will turn into an editable box, and a delete button will appear.
To CHANGE that time entry: Either type the correct time directly into the “Clock
Time” field or use the small calendar icon to open a time-picker and select the
time. When you are done, don’t forget to select the “OK” button on the right side
of the “Time Events”.
To DELETE that time entry: Click the “Delete” Button on the right side.
IMPORTANT: After making your change, whether you changed the time or deleted
a time entry, you must click “Submit” at the top-right of the page for it to be sent
for approval!
Viewing and Changing your Time Card
Time cards are generated automatically each day. If you are salary non-exempt,
you will need to submit your time card each week in order for your supervisor to
approve it.
To view your time cards, use the Time and Absences module. Start from the home
page, then click “Time and Absences”.
To view your current time card, click “Current Time Card”
After clicking the “Current Time Card” button, you will see a section on the page
named “Entries”. This is your time card for the week.
If you forgot to clock in on a certain day and need to add a new entry, click the
“Add” button. You will be able to add a new entry.
If you need to change or delete any entry, click the pencil icon on the right side of
the entry. After you click the pencil icon, the entry should change to look
somewhat like the below image. Click “Delete” to delete the entry or make the
necessary changes and click “OK”.
Submitting your Time Card
Time cards must be submitted and approved weekly. Time cards run on a
Monday-through-Sunday weekly schedule. To ensure your pay is processed timely
and accurately, please make sure that you, as an employee, verify the accuracy of
your time card and click the “Submit” button by Monday. Time cards are required
to be correct, submitted, and approved by supervisors before noon on Mondays.
Do NOT submit your time card before you have finished working for the week and
will not be working again until Monday! If you do, you will need to contact your
supervisor and have them reject your time card so that you can finish it.
Requesting Absences
To request time off, use the time & absences module, which is the same module
that is used for working with time cards.
Inside of the Time and Absences module, you will find a button called “Add
Absence”
You will see a drop-down box “Type”. You must select a type of absence to
continue. For example: “Sick”, “Vacation”, etc.
Once you select an absence type, the rest of the form will appear. Select the Start
and End dates for your absence request. On the right side of the input box, there
is a calendar icon. You can use this to select the dates and times quickly.
Once you have selected the times that you would like to request off,
remember to click the “Submit” button on the top-right to submit it.
Note: the “Save and Close” button will NOT submit your absence
request!
