Writing effective paragraphs for reports:

Paragraphs are the basic units for writing a report. They link the report
through logical relationships. A paragraph should reveal one central idea.
Some guidelines to write an effective paragraph are:
1. Start with a topic sentence:
A topic sentence introduces and summarises the whole paragraph. It
should be general and specific enough to cover the entire content. It
should be understood in the first reading itself.
2. Provide support:
By giving examples and explanations, the topic sentence can be
supported.
1. Ensure unity:
All the sentences in the paragraph should be based on the main idea, if
not, the reader will be puzzled.
2. Give it a logical flow:
The points should be in logical order. The most important point
should occur first, then the other points in the order of their
importance.
3. Use transitions:
When one supporting idea ends, and the next begins, there is a
transition. We use first, second, third, also, moreover, however, etc.
for bulleted points, we don’t want transitions.

What is the importance of making notes? (S.Q)

Making notes while reading a book helps one understand and remember

what has been read. Notes can be taken while listening to a presentation, a panel

discussion or in a group discussion. It helps to concentrate, understand and

maintain a record for future. So, note-making is an important skill.

What are the guidelines for note-making? (S.Q.)

Notes should always be brief and to the point. They should present

only relevant information. Examples, references and digressions are often


ignored. Only the essential information are written. Do not write everything that

is said. An effective layout should be prepared. To save time while taking notes

short phrases, abbreviations and symbols are used.

Methods of Note-making:

(1)Write about the Sentence method note-making.

There are 3 methods of note-making. The first one is the Sentence method.

In this method, every new piece of information is written on a separate line. They

are numbered as one progresses. This is an easy and convenient way of recording

information. Sometimes it is difficult to distinguish between major and minor

points. This method is used when a lot of information is provided at a fast pace.

e.g.1. The importance of Library – History of Libraries – Types of Libraries –

Academic- Corporate- Private- Public – School

(2)Write about the Outlining method.

In this method the notes are made in an Outline form. This method appears

to be a well-organised system of making notes. The outline method records content

as well as relationships. The major points are placed farthest to the left. Each of the

more specific group of facts appears indented to the right. It is difficult to use this

system if the information is being received too fast. This method can be used when

there is enough time to think.

(3)Write about the Mapping method: (S.Q.)

Mapping method requires good comprehension and concentration.

Mapping is a graphic representation of the available information. It requires

active participation. This method provides immediate knowledge. It

emphasizes critical thinking. It helps one to track the information visually.

One has to practice it few times before using it. It is used when the

information is dense but well organized.
