PROCUREMENT PROCESS
Procurement has been a vital, transactional part of conducting business for almost as long as commerce has existed. Although the days of
scribes tracking purchases on papyrus scrolls are long past, the process of carefully selecting and purchasing the goods and services
needed for day-to-day business operations remains as important as ever. By enabling the company to reliably get the supplies it needs at
the lowest cost, procurement can directly impact the bottom line.
Procurement is a technique and structured method used to streamline an organization’s procurement process and achieve desired results
while saving cost, reducing time, and building win-win supplier relationships. Procurement types can be direct, indirect, reactive, or proactive
in nature.
The procurement process includes the preparation and processing of a demand and the end receipt and approval of payment.
Comprehensively, this can involve purchase planning, standards, specifications determination, supplier research, selection, financing,
price negotiation, and inventory control.
1. Process

Process comprises the steps that must be followed while reviewing, ordering, obtaining, and paying for goods/services.
2. People

These are stakeholders, and their specific responsibility in the procurement cycle is to initiate or authorize every stage of the process. The

number of stakeholders involved is directly proportional to the risk and value of the purchase.

3. Paper

This is the paperwork and documentation involved in every stage of the procurement process – all of which are collected and stored for

reference and auditing reason3

Vividh packaging industries purchases raw materials like paper rolls, ink, fesicol gum for hand pasting, rubber printer, stitching machines and

different sizable die cutting machines, pasting glue, rotary machines, slot machines and corrugation machines.

CLASSIFICATION OF RAW MATERIALS

CONSTRUCTION PAPER TYPES:

There are numerous varieties of construction paper, all of which can be tailored to your company's needs.

Natural Kraft Abecedarian Paper

The most uplifting paper in the world is natural virgin kraft paper. It's the best option for heavy activities that require a high level of gash
resistance because of its pure and durable fibre content and affordable price. Additionally, it is ideal for printing, making name placement,
folding, rustic connections, carrier wastes, and hole a natural part of packing.
Kraft coloured papers
There is coloured kraft paper in almost every colour in the spectrum. Due to its lively tones, it is ideal for all kinds of art systems and
provides pleasing assistance for billboards, typical academy inventories, scrapbooking, and other such applications. However, if your
target request includes seminaries and kindergartens.

White or bleached kraft papers

White or unbreakable paper has a genuinely strong impact when going for a clean, clean look, much like the abecedarian's naturally
sturdy and continuous construction. As an example, many cuffs favour using white kraft paper as an attractive and practical substitute for
linen tablecloths. Additionally useful for wrapping, it can withstand little wear and tear. In the pack, you can get
Water based ink
Due to their short list of chemicals, which includes: water; colour; deformers; a range of agents that aid in adhesion and
drying; and the fact that they are the safest inks to store, water-based ink is regarded as being environmentally friendly.

The highest frequency of all the inks, flexo inks are produced from water, making them ideal for heavy-duty printing on corrugated metal
packaging and other materials.
They work well with all varieties of elastomer sleeves.

Oil based ink

Inks made with oil contain:

hydrocarbons, and fat (often soybean oil, occasionally mineral oil)
The kinds of solvents that are used to mix oil-based ink are particularly delicate. Oil-based ink should be handled carefully as a result.
provides managed environmental safety and security guidelines for cleaning, maintenance, and administration.
C. PASTING GUM POWDER

Paste and Corrugation Glue greasepaint are used in the manufacture of Corrugated Box Manufacturing. The process and the immature
constituents used in making Pasting Gum Powder and Corrugation Gum are the same as stated in Dextrin.
FINDINGS & WHAT WE LEARNT
METHODS OF COLLECTING DATA
We used interactions especially with MR. K.P. Singh, observation method, interview method and experiment method as primary source of
data collection and for the secondary data collection we used the website.
We started our internship on 13th/ 06/2023 at vividh packaging industry for all the weeks we spent there we got to learn a lot of things
which we had no idea of. Since vividh is a packaging industry and they deal in the manufacturing of boxes we got to see and learn how
boxes are made from corrugation to the production part.
Manufacturing of boxes involves steps like corrugation, paper & sheet cutting, pasting, rotary, slot cutting for some boxes, painting, die
cutting, stitching, hand pasting then tying &packaging.
vividh since it is a small-scale industry, it has 1 corrugation machine, 3 die cutting machines, 3 stitching machines, 1 slot machine, 1 rotary
machine, 1 pasting machine, 1 painting machine, 1 paper cutting machine.
CORRUGATIN STITCHING ROTARY CUTTING
The employees start working at exactly 9: am and they end at 8: pm at night. The start by cleaning all the machines before they operate
them. The glue on the corrugation machine is changed in the morning before the machine starts to operate.
Since the industry is small it has also few employees and some are contractors as well. So, most times the workers multi task and they
have no specific machines that they work on except the corrugation machine operator he never changed he was always there on the
machine since his job is specialized for him.
The workers always work in a clean environment because there is someone who sweeps the place all the time the operation is going on.
The workers who work in the industry some are literate and some are illiterate people that’s why communication with them was one of
the most challenging parts for us because all of us were international students and we only knew English yet all workers understood Hindi
except for the director and one manager who understood English.

The workers take a break a lunch break at 1pm till 1:30 pm and a tea break at 4 :00pm till 4:10 pm.
Vividh packaging industry produces 3ply and 5 ply corrugated boxes. They produce hole trays and carton blisters and others. Each day
they produce two tracks of the finished goods ready for delivery. They produce customized products and their main suppliers are
Samsung, phoenix and Voltas.

During data collection the main objective was to Fing out the change over time of the machines, what was then wastage, quantity and
the name of the products. We had to know how much stock is in the store.
On 20th/ 06/2023, we started tracking the whole production process from corrugation to the packaging part. Under corrugation the
estimated papers to be produced was 1510 papers but however 1368 papers were cut and 9.5kg were wasted.
The process stared at 2:14 pm- 4:28 because there was tea break at 4pm till 4:10 pm. At 2:23-2:32 pm there was a break because of few
labours and one person had to pack the papers which were cut in one place in order to create more space.
They used 5kg of glue during the process. 0n 21st /06/2023 we found out that they had pasted some of the corrugated papers that were
cut so we were not able to tract it anymore because they pasted the papers at 8pm when he had left the industry. But how ever we tried
to look for the information and this is what we found out
Box name was H7 1X10 Twin NorAurto D
Quantity pasted was 810
Sheet size was 48x44
On 22nd /06/2023 we tracked another process, the box name was H7 Single 1x100 SI, the sheet size was 30x38. From the corrugation
1467 papers were cut and 1450 papers were pasted and 17 papers were wasted on the pasting part.

Half the papers were cut and the quantity produced of the finished products were 216 boxes. The setting machine of the die cutting 2
started at1:30 till 2:10pm the cutting started at 2:11 pm- 4: 40pm because of some rest and breaks, the whole process took 2hrs and 29
minutes and time wasted were 32 minutes.
And 0n 23rd the other half were produced and the quantity was 250 boxes and the total production were 466 boxes.

VIEWS AND SCOPES OF IMPROVEMENT
Since we did the internship 5 people, we all observed and have our own views and how we want the industry to improve on then its
productivity and to reduce the time wastage while carrying out the process. Some we may be repeated because we want to emphasize on
the points in order to come up with the solutions.
I myself want to start with my views and observations.
Ever since we started our internship everything went on well but what I noticed starting from the corrugation the operator takes so long
to start because he wastes a lot of time cleaning the machine and also when it comes to the change over time, he takes like an hour just
to finish setting up the machine in order for it to run. It takes much time to bring the rolls from outside to inside and also to untie the
metals where the roll is placed and it needs more helpers but even the people who come to help him, they are so lazy and they do the
things so slow.
I am suggesting if its possible before the workers leave the industry in the evening, they should know what they are going to produce
tomorrow and they should also bring the rolls that they will use tomorrow inside near the corrugation machine in order to avoid Wasting
time. And also, when they are carrying the roll, they should handle everything with care because when the rolls are damaged it leads to
taring off many papers in order to reach the good paper hence leading to wastage. Since ethe industry is small at least the rolls should be
packaged properly in water proof materials in order to avoid wastage.
And also, the place is so messy how about the placed is well arranged where they store the semi-finished products like this
Even though the place seems small but if its well arranged it can look at least like this it’s just a matter of putting more time and effort
because working in an organized environment also gives people more energy and motivation also when visitors come, they see
something good.
Lebling the unfinished roll is very important because it brings accuracy in the production because if they use unmeasured and unlabelled
unfinished rolls how will they measure the weight and know what the real quantity is? This photo was taken from Shree industry and if
you see it well, they labelled the unfinished rolls with the weight it had before and what it has after being used.
GUGULETU’S VIEWS
 Cool and dry storage unit needed as currently paper is left outside in the sun and is exposed to a large amount of moisture which
results in a lot of paper tearing.

 Storage unit area could provide more room around the production area and improve the rate of movement around the production
floor from one machine to the other increasing rate of production
 Gloves recommended for stitching machine operator

 Sanjay corrugation machine operator needs a number two someone with as much knowledge of the machine as him as his
absence could heavily impact production negatively.
 Improve hygiene of bathroom and glue mixing area as at times the production floor is attacked with a pungent smell.
 Some employees lack adequate training of the tasks carried out and have to be pushed or spoken to during production in order to
maintain consistency.

 More wooden stands needed to place paper right after corrugation this will also make movement easier on production floor.
 Suggestion, the sweeper should take advantage of the allocated break times even lunch time to sweep or clear out any trash
instead of cleaning during production as duct formulates and some posts are disserted for cleaning to happen which is slowing
down production.
 Paper is not stored properly after pasting and is damaged.
 Putting signs or labels in Hindi on the fire extinguishers for the employees to know and proper training to be provided to them.
Need visible fire assembly point sign together with first aid kit.
BARRY’S VIEWS

the working conditions of the employees are very difficult especially those who are in the production part, there is a heat that does not
say its name.
the rolls are not well stored they are usually kept in the open air, which in a way leads to their humidity and consequently they lose their
properties.
the rolls are not unloaded in the correct way from the trucks when they are delivered. they are more likely to tear and produce waste
when operators use them as they have to remove the wrong parts in order to access the good part.

it is also important to remember that the machine operators program the number of papers to be cut, sometimes they cut a little more
than they need, so they end up with a surplus that will become later waste.
correction:
at the level of the corrugation machine, I had to note a lot of things.
the operator is both the one who takes the rolls from the stock area mounts the rolls although sometimes he is assisted by some
employees who in turn leave their jobs to help the machine operator, therefore somewhere this causes a little delay in production or
even paralyzes production.
the employees who come to the aid take their time because they see it as an opportunity to relax a little.
the operator also sometimes tends to take too long before calling on others to help him.
he also struggles to find the appropriate rolls for the next production he has to do, which also wastes time.
pasting:
at the level of the pasting machine the employees are efficient and although they leave their posts but that does not happen often. the
amount of waste is very minimal at this level
rotary machine:
at the level of this machine, the machine is not used as often it is run by an operator who is at the stitching machine and the rotary. but it
should be remembered that the rotary machine produces waste during its programming
die cutting n 01:
this machine plays a very important role in the production of cartons but it is one of the machines that consumes too much time to
prepare for operation.
the operators take time to set and this necessarily has a negative impact on production
die cutting 2
there is not much to emphasize apart from the time taken for the preparation for the operation which is negative for the production
die cutting 3: this machine in turn is rarely used.
printing machine:
at this machine the operators take time to prepare for operation. the amount of waste is minimal just like in the stitching machines.
hand pasting:
generally only contract worker’s work.
management:
there is a lack of organization within the company, especially at the production level, the work is not well coordinated.
the place is full of cut paper and unfinished rolls so there is less space, and this leads to a considerable loss of time because they have to
move to make room for the next production.
when the owner is present all employees work very well and waste time.
on the other hand, they are not afraid of the supervisor because he considers him as one of them
OBSERVATIONS MADE FROM SHREE BALAJI PACKAGING INDUSTRY
0n 27th/06/23 we visited Shree Balaji printing and packaging private Ltd and we observed that they have advanced technology/ machines
and they are of the second generation which are automatically operated.
From the corrugation to the pasting part there is one set of machines doing the operation, The process is set up from the corrugation to
the pasting and also drying. They use 3 heaters to moisture the papers and also steam the papers during the process for easy softening of
the papers. We also noticed that they don’t waste time on the changeover because the machines have double sides where the rolls are
put and when one is almost done the other is already on the machine, so they just connect it to the running machine. They just reduce
the speed of the machines and they add a new paper to the old one
So, there is a maximum of 3-5 minutes while changing over the rolls. The products produced are of high quality and they produce 5 ply
boxes, they pack a full tack of outputs in only 2 hrs for delivery, the quantity of the tracks is around 5-6 per day
From the pasting, they have automatic machines which does the cutting and also labelling at the same time and instead of hand pasting,
they also have machines which does the pasting part, let’s say the entire production process is done automatically This reduces wastage
of time, it makes increases production daily, it also reduces tiresomeness, reduces costs and also reduces wastage of raw materials.
INVENTORY MANAGEMENT IN SHREE BALAJI
The raw materials are kept inside in the warehouse and the rolls are well packaged to in order to reduce the damages on the paper rolls
while offloading, semi and finished goods are well arranged and stored in the right order and the unfinished used rolls are tied up
properly, well labelled and stored, the put the used quantity and the remaining quantity to be used.
The semi-finished products are also arranged and set aside for further cutting and packaging, they pack the finished products in the upper
part of the warehouse waiting to supply them to the customers. The industry ha s a carrier which is used to carry big rolls to the
corrugation machines during the production. It is also used to carry heavy rolls while arranging the production room.
CONCLUSION
All industries and companies how ever small they are, there main aim is to produce high quality products and in the right quantity and at
the right price which is affordable for the customers. Maximization of profits and also minimizing costs those are the main objectives of
starting a business. But however, companies and industries end up making losses instead of profits due to many reasons and
uncertainties.
Vividh packaging industries, its main aim is to maximize profits but we discovered that there are some reasons why the its not reaching its
main goals
Due to wastage especially in the corrugation part because the papers are always damaged but if the company and the employees handle
the rolls with care this will reduce the wastage and also the change overtime is too much how ever much the industry has semi-automatic
technology workers can try not to waste time especially when they are bringing the rolls from outside to the machine it takes over 40min-
1 hour just to change the roll hence reducing the production.
And also, when the estimated papers to be cut are less or more it doesn’t make sense because the supervisors just write what he is being
told since he can’t stand on one machine but its important for him to collect the right number of papers being cut and he should be keen
because some times the estimated number is different from the number of papers being cut and yet he notes down the original number.
Also making the ware house more organized it’s a very crucial point because it helps to improve on the image of the industry because the
more the place is organized, the more space is created hence storing the finished and semi-finished products well.
When we were at the industry, the day the boss came out and supervised the workers there was much production and the workers
efficiency increased so in a week the boss takes three days to supervise the workers, the production will increase and also, we advise the
boss to give full authority to the supervisors and managers so that they can monitor the work more, this will motivate workers and
productivity will increase and the time wastage will reduce.
