PROJECT SCOPE STATEMENT
PROJECT OBJECTIVE
To organize a 3 day Annual Sports Meet at Sault College Stadium
from March 12 to 15 at a cost not to exceed $37,000.
SCOPE
IN SCOPE
● Arrange refreshments for the audience & participants.
● Provide an entry pass for attendees.
● Purchase awards.
● Find sponsors and arrange award money.
● Find coaches for training participants.
● Arrange complimentary T-shirts for participants & students.
● Arrange local media.
● Design invitation cards.
● Invite local colleges.
● Arrange referees for the different sports events.
● Decorate the stage and arrange seats.
● lighting arrangements for the evening events.
● sound systems.
OUT OF SCOPE
● Getting permission from the government to conduct sports meets
● Accommodation arrangements by college.
● Daily meals arrangement by college.
● Security arrangements by college.
● Medical assistance arrangements & ambulance sponsored by
local hospital nearby college.
● College will be outsourcing local transportation to 7-1 travel
agencies.
● Stadium,dressing & locker facilities by college administration.
● Invite chief guest & all VIP’s.
DELIVERABLES
● Provide accommodation for the participants and guests.
● Provide three meals a day for the participants for three days of
the meet.
● Provide refreshments at the stadium for students.
● Provide entrance passes for attendees.
● Provide transportation from sault college to stadium.
● Provide youth sports awards for the winners.
● Provide experienced coaches for training participants.
● Provide complimentary T-shirts for participants & students.
● Provide dressing rooms with locker facilities.
● Provide medical assistance for the needed ones.
● Security check for all the attendees.
● Provide the sports equipment.
● Preparing welcome speech and giving momentum to the
winners.
● At last capturing the special moments of the volunteers with
their respective teams to make the day more splendid.
NOTE: There will be some ad-hoc deliverables on the event in case
we missed out in the above list.
REQUIREMENTS
● Arrange sponsors for acquiring maximum funds required.
● Arrange media for covering the entire sports meet for live
telecast.
● Invite Chief guest, College professors, Administrative staff, Sault
college students and Guest speakers.
● Invite more colleges in Brampton city to participate in the sports
meet.
● Arrange referees for the different sports events.
● Arrange awards & prize money.
● Arrange transportation from base point to stadium area.
● Arrange complementary T-shirts for participants & students.
● Decorate the stage and arrange seats.
● Arrange refreshments.
● Arrange dressing rooms for the participants.
● Arrange securities for the smooth conduct of the meet.
● Lighting arrangements for the evening events.
● Arrange medical teams including a doctor,nurses & assistants.
● Arrange emergency ambulance service.
● Arrange sound systems
CONSTRAINTS
● The Annual sports meet is scheduled for 3 days, only the college
has the authority or local government can make changes to the
schedule.
● The participants are responsible for their own transportation to
base point/college.
● The participants or guests' food preferences will be different due
to health reasons such as allergies or milk intolerance.
● The overall budget for the meet is up to $37,000/- excluding
sponsorships amounts.
● The ratio of securities to attendees can be a concern.
RISKS
● Getting permission from the government for conducting the
sports meet.
● The ratio of students to the seat capacity and food arranged can
be a concern.
● The meet can be delayed if chief guests arrive late.
● The complementary T-shirts can be insufficient for students &
participants.
● Chance of injury to participants.
