Concluding in this way that within the institution the problems
the most prominent are the following
Manual Student Enrollment Process in the Educational Unit
Guayurebo of the Yaracuy State.
There is a lack of reliability in the enrollment process due to the lack
of a computer system, which the process is done manually to
manage a volume of registrations. At the same time, it tends to generate with
slowness in the registration process and certainly the excessive use of materials
as (paper) to carry out the registration process.
Lack of automation of certified notes in the Unit
Guayurebo Educational of the Yaracuy State.
The institution generates certified grades at the end of the school year.
in this way, the person in charge of generating these certified notes tends to
making mistakes, in addition to having work stress, paperwork issues, and not having a good
organization when carrying out the process.
20
Lack of statistical reports by student sections in the Unit
Educativa Guayurebo of the Yaracuy State.
There is no good control regarding statistical handling by sections,
however, the staff in charge manually takes attendance
of students, teachers, and failures by sections.
Hardware outdated in the CBIT department of the Unit
Guayurebo Educational of the Yaracuy State.
The institution has a CBIT department whose machines present
hardware outdated which tends to slow down due to not having
sufficient memory capacity, similarly due to problems of
insecurity do not have a fixed internet.

THE PROBLEM
Problem Statement
For several decades, technology has played an important role in
the development of nations, starting from this perspective, is relevant
highlight that developed countries have emerged thanks to the use of new
technological means such as access to information through use
of computer systems that have given an important turn for development
of trade, ideas, cultures, economy, and the well-being of citizens.
Computer systems allow to store and process information.
This way, the hardware, software, and personnel are interrelated.
computing, within it goes through different phases in its cycle of
life, from requirements capture to maintenance.
According to Laudon (2012), information systems are "A set of

possible improvement of the working method for this, systems are developed
modular based on new technologies, to expand the infrastructure of
networks, improve information security systems and extend usage
of electronic data interchange.
Problem Formulation
It is worth noting that the government authorities of the Yaracuy state
In recent years, significant advancements have been made in the systems.
IT professionals for public services and electronic procedures with the support of the
Free Information Technologies (IT), marked by the enactment in the
2010 year of the Law on Science, Technology, and Innovation, approved by the
Legislative Council of that entity, which promotes the use of Systems
IT professionals in institutions, such as for example a system of
registration and grade control which can help manage in an orderly manner
organized the processes such as student registration and generating forms
of registration of an educational institution.
Due to the situation mentioned above, it is important to highlight that within
of the administrative tasks that teachers carry out at the time of
24
registering the admission of a student there is a problem from the point
from a technological perspective, since this process is carried out manually,
which creates a disadvantage when it comes to developing the registrations
of the students, in which the responsible staff or supervisors must
perform mathematical calculations to register students which they do not
ensures proper control and management of academic performance of the
students, this also generates job stress that affects the
institution, also highlighting that the problem causes failures at the moment
to record and keep track of grades for each student that is part of the
enrollment of this institution.
Now well with everything mentioned before and what we can determine
together with the teachers, the implementation of a
academic registration system and grade control of students, with the
so that there is adequate control of the
operations that are carried out.

FRAMEWORK OF FOUNDATIONS
Arias Fidias (2006) defines the framework of foundation as 'The
summary of a series of conceptual elements that serve as the basis for the
investigation.
Background
According to AriasF (2006), "The background of the research includes all
those research works that have been done previously that
are related to the subject of study of the present research and provide
knowledge and contributions made by specialized researchers.
The following are studies that have contributed to generating
background on the topic of the proposal for a registration system
academic and grade control:
Lozano, O (2006), presented a research project called
"WEB interface system for tracking the evaluation process of

develop and implement the system for tracking the process of
Evaluation and Academic Performance of Students. The methodology used
is based on the life cycle for system development proposed by
Whitten (1997), taking from it the stages of analysis, design and
implementation. The new System allows the registration of students and
keep a good record and control of the grades.
Quintero (2008) presented in his undergraduate project, the development of a
web information system for processing, request control and
reservation of rooms for (OREFI) of the University of the Andes. The

20 activities that the system allows the student to carry out
requests for certificates (grade certificates, good standing certificate)
conduct, registration certificate, among others), remove subjects and to the
professors can make room reservations within OREFI. The
system is part of the automation processes that are carried out in
OREFI.
Vargas, A (2008) presented the development of a degree project.

what is a refinement of the Unified Software Development Process, with
UML notation, and in the analysis and design methodology of the Life Cycle of
Kendall and Kendall Systems Development. The oriented approach was used
to objects at each stage of the analysis and design of the developed system.
It is also important to emphasize the need and necessity of having
with a record and grade control method that helps institutions
to maintain good control of registrations and grades, which allows them to
continue with your daily work without encountering setbacks.
These research works are taken into account as a basis.
with this project through the applied methodology (RUP) since I have
try to find a solution to the problem presented by the staff of the institution
Guayurebo Educational Unit of Yaracuy State.
29
Theoretical Foundation
Once the study problem has been raised, it is necessary to situate it
the theoretical framework that guides the study of all its aspects.
In this regard, Bavaresco, A (2001) indicates that "The theoretical bases must ...
see with the theories that provide the researcher, the initial support within the
knowledge of the object of study, that is, each problem has some
theoretical reference, which indicates that the researcher cannot do
abstraction due to ignorance, unless their studies are based on
pure or exploratory investigations.
In this sense, the theoretical framework supports from a theoretical perspective the
problem, placing it contextually, it is composed of the
theoretical bases basic terms regarding the problem presented within
the following are found:
Information System
According to Peralta (2008), defines an 'information system as a
set of elements that interact with each other with a single purpose, that of supporting
all the activities of a company or business. Taking into account the
computational equipment needed for the information system
can operate and a group of people who are the human resources that
interacts with the information system.” In this way, the team
researcher develops an information system in order to cover the
need that arises in the institution Educational Unit Guayurebo of
Yaracuy State and thus support the work activities of this
institution.
Software Development Life Cycle
The cycle of life of a software according Pressman

developing from the moment the initial idea is conceived until the software is retired
or replaced (dies).
30
In this way, the Academic Registration and Control Computer System
the students' grades (SICRA) will be developed in phases,
taking into account its origin or birth caused by necessity
detected at the Educational Unit Guayurebo in the State of Yaracuy,
followed by its development which ranges from the definition of the project to the
put into growth and maturity.

overall performance in relation to a strategic plan. In this way
they understand the corporate plan including all the methods and

reports.
The various aspects of responsibility regarding the systems of
registration affects many institutions as is the case in the area of
administration of the Guayurebo Educational Unit of the Yaracuy State.

execution process of a system.
Regarding what has been previously stated for the implementation of
Computer System for the Registration and Control of Grades in the Unit
Educational Guayurebo of the State of Yaracuy, must take into account the
development tools.
32
Development Tools
They are aspects of great importance for the design and development of a
computer system, among which we have: The languages of
programming, the methodology, the database, among other tools
that will consider the system.
NetBeans
It is a very complete and professional development environment. It contains
many features, for different types of applications and to facilitate the
maximum programming, testing, and debugging of applications that
It is developed. It also incorporates its own editor.
RUP methodology
It is a software engineering process that provides an approach to
assign tasks and responsibilities within a development organization.
Its goal is to ensure the production of high-quality and better software.
to meet the needs of users who have compliance
in the end within a predictable time and budget limit. It is a
iterative development methodology focused on 'diagrams of the
use cases, risk management and architecture management as

Development Principles (RUP)
The Philosophy of RUP is based on 6 key principles which are
following:
Adapt the process
The process must adapt to the client's needs as it is very
it is important to interact with him. The specific characteristics of the project, the
size of it, as well as its type or the regulations that condition it,
33
they will influence its specific design. It will also be necessary to take into account the
scope of the project.
Balancing priorities
The requirements of the various participants may be different,
contradictory or dispute limited resources. A must be able to find a
balance that satisfies everyone's desires. Thanks to this balance, it
they will be able to resolve disagreements that arise in the future.
Demonstrate value iteratively
Projects are delivered, even if only internally, in stages.
iterated. In each iteration, the opinion of the investors is analyzed,
stability and quality of the product, and the direction of the project is refined as such
as well as the risks involved.
Collaboration between teams
Software development is not done by a single person but by multiple people.
teams. There should be smooth communication to coordinate requirements,
development, evaluations, plans, results, among others.
Focus on quality
Quality control should not be done at the end of each iteration, but rather in
all aspects of production. Quality assurance is part of
part of the development process and not from an independent group, it is also
a software development strategy.
34
Raise the level of abstraction
This dominant principle motivates the use of reusable concepts such as
as software design patterns, 4GL languages or schemas
frameworks) to name a few. These can be accompanied by the
visual representations of architecture, for example with UML.

IEEE
It is a professional organization dedicated to technological advancement and that
it has a wide catalog of standards including
those related to software and systems engineering.
Standards and development process of IEEE
IEEE is one of the leading organizations in the creation of standards
in the world. IEEE develops its standards and maintains the functions through
from the IEEE standards association. IEEE standards affect a wide
range of industries, including: power and energy, biomedicine and health,
information technology, telecommunications, transportation, the
35
nanotechnology, information security, and many more. In 2013, the
IEEE had more than 900 active standards, with over 500 regulations on
development. One of the most notable IEEE standards is IEEE 802,
LA/MAN group of standards that includes the IEEE 802.3 Ethernet standard and the
IEEE 802.11 wireless network standard.
IEEE 830
The IEEE 830-1998 standard for SRS or ERS (Specification of
software requirements) is a set of recommendations for the
specification of the software requirements or requirements that has
as a final product the documentation of the agreements between the client and the
development group to thus meet all requirements
stipulated.
Purpose
In this subsection, the purpose of the ERS document will be defined and
It will specify to whom the document is addressed.
Scope of System

Gantt chart
It is an extremely useful tool when it comes to formulation and management of
projects it deals with, as it allows defining, in a graphical, practical and
systematic, the duration of the different activities that must be carried out
to successfully complete a certain project.
Programming Language
According to Cuevas (2011), "a programming language is one that
element within computing that allows us to create programs
through a set of instructions, operators, and syntax rules;
that makes available to the programmer so that they can
communicate with existing hardware and software devices.

Entity-Relationship Model
Entity-relationship diagrams or models are a tool for the
data modeling of an information system. These models express
relevant entities for an information system, their interrelationships and
properties. The Entity-Relationship Model is a modeling concept for
database, proposed by Peter Chen, through which it is intended

which have attributes and are linked by relationships.
The components of an entity-relationship diagram are:
• Entity: It is any discrete object that one has

inside it through a name.
• Relationship: Describe a certain interdependence (of any kind) between
entities. It is represented by a labeled diamond inside.
through a verb. In addition, said diamond must be connected by lines
with the entities it relates to (that is, the rectangles).
• Attributes: They are relevant properties of an entity and/or
relationship. They are represented by a labeled circle or ellipse
through a name within it. When an attribute is identifying

Legal Foundation
The main justification for this aspect lies in the importance that
review in relation to the legal bases that support the topic to be addressed in the
this project; among these are highlighted:
The Constitution of the Bolivarian Republic of Venezuela. (1999):
Article 110: The State will recognize the public interest of science,
technology, knowledge, innovation and its applications and services
of information necessary as they are fundamental instruments for the
economic, social, and political development of the country, as well as for security and
national sovereignty. For the promotion and development of those activities, the

for them. The State will guarantee the compliance with the principles
ethical and legal standards that must govern scientific research activities,
humanistic and technological. The law will determine the methods and means to give
compliance with this guarantee.
To ensure compliance with what is established in the aforementioned
Article, the application of registration systems is of fundamental importance.
Academic and grade control in public institutions to promote
economic, social and inclusive political growth of the country. Being this the
case of the Information System for Academic Registration and Grade Control

METHODOLOGICAL FRAMEWORK
Research Methodology
Manuel, Luis (2011) states that 'The Research Methodology is
it is considered and defined as the discipline that develops, systematizes, and evaluates the
set of the procedural technical apparatus that Science has, to
the search for data and the construction of scientific knowledge.
The methodology consists then of a more or less coherent set and
rationale for techniques and procedures whose fundamental purpose is aimed at
implement processes for data collection, classification, and validation and
experiences coming from reality, and from which one can
to build scientific knowledge.
Type of Research
The type of research addressed in social projects
Technological is about technology; in this regard, Castillo (2008) defines it.
as:
It is the activity that, through the application of the scientific method, is
aimed at discovering new knowledge (basic research), to the
that later practical applications are sought (research
applied) for the design or improvement of a product, industrial process or
machinery and equipment
42
The development team is based on this type of research already

generation of planned, conscious, rational, and critical knowledge with the
to obtain knowledge for its application and thereby achieve modification
to transform reality into study and generate a solution to a problem in
in this case the existing problem in the Guayurebo Educational Unit of
Yaracuy State.
There is also a field modality by virtue of which the
information was collected directly in the studied reality.
Sabino, C. (2000) defines this type as 'that which collects data in
direct form of reality, through the concrete work of the researcher
(p. 94), which in this case was done in the same way, by the
need to gain greater knowledge in one's own scenarios of the
facts, in the institution subject to investigation.
Technological Research
Now with the research gathered at the Unit Institution
Educativa Guayurebo conducted technological research, which
needs an academic record and grade control information system,
that facilitates work.
Thus, the research team develops a computer system to
the academic record and grade control for the Guayurebo Educational Unit
from the Yaracuy State, where the procedures to be followed are sought to be described
for the achievement of the objectives and goals set from the
requirements and information obtained.
43
Lack of statistical reports by student sections in the Unit
Educativa Guayurebo of the Yaracuy State.
There is no good control regarding statistical handling by sections,
however, the staff in charge manually takes attendance
of students, teachers, and failures by sections.
Hardware outdated in the CBIT department of the Unit
Guayurebo Educational of the Yaracuy State.
The institution has a CBIT department whose machines present
hardware outdated which tends to slow down due to not having
sufficient memory capacity, similarly due to problems of
insecurity do not have a fixed internet.
21
Confirmatory Research
Based on field research, the confirmatory research is
the one that aims to verify hypotheses related to relationships
between events and variables derived from explanations or theories, it is interested
in finding empirical evidence that can support or reject such
hypothesis.
Taking into account the confirmatory research, it is important to note that
this project is governed by this design as it involves the method of
observation to carry out the diagnosis of the information system that is being
developing at the Guayurebo Educational Unit in the Yaracuy State, is
it is important to mention that this research plays an important role in
effective system development, and the desires of the staff for
obtain a high-quality system for the institution.
Evaluative Research
Evaluation research is the systematic application of
social research procedures for evaluation of the
conceptualization, design, implementation, and utility of the programs
social intervention.
Therefore, this project is framed under a design of
evaluative research since the study or issue arises from the interest of
staff of the institution, evaluative research is taken as one of
those that constitute the alternative to solve the problem in the institution
Guayurebo Educational Unit of Yaracuy State.
45
Techniques and Instruments for Data Collection
According to Arias (2005), 'data collection techniques are
the different ways or methods to obtain information.
data and information related to this research the techniques that are
they used are simple direct observation and observation through

46
The Interview
The aforementioned authors Mezquita J. and Rodríguez J.
(2004) consider that 'the interview is a complementary method of a character
planned between the interviewer and the interviewee(s). Its main objective
is obtaining reliable information about facts and opinions.
The interview used for data collection was direct and
individual. The direct interview according to Rodríguez (2004) is "that in the
the interviewer structures and directs the exchange and can be
developed from the formulation of a questionnaire of questions;
guided according to a previously established plan or focused on objectives
precise.
It also states that 'the individual interview is when the interviewee
it is a single subject.” Therefore, in the present research,
conducted an interview with the staff working at the institution
specifically in the area of Coordination. As was: Francis

Feasibility Study
The feasibility study is a tool that helps to guide the
decision making in the evaluation of a project and corresponds to the
last phase of the pre-operational or formulation stage within the cycle of
project. It is formulated based on information that has the least
possible uncertainty to measure the chances of success or failure of a
investment project, based on it the decision will be made to proceed or
not with its implementation.
The feasibility study allows for a deeper evaluation of the

SYSTEM DEVELOPMENT
Development Methodology
A detailed and complete software process is usually referred to as
methodology, defining the latter as a set of phases,
tools, techniques, and procedures that in turn apply a
combination of generic process models to obtain as
benefit the process of development in information systems.
In the computer system for the Record and Control of Grades of the
students at the Guayurebo Educational Unit in the Yaracuy State were applied
as a software development methodology the RUP methodology, which is
based on building first the functionality of greatest value for the customer,
in order to cover the entire system development cycle
each step and necessary use to achieve its implementation.
Artifacts
Phase 1 Start
Functional Requirements
Functional requirements are statements of the services that
the system will provide, in the way it will react to certain inputs.
When we talk about entries, we are not necessarily talking only about the
user entries.
It is for them that the System (Sicra) has functional requirements,
naming some like:
55
Student Registration
The system allows registering a student according to the requirements that
the institution demands.
Teacher Registration.
The system allows registering a teacher who is working in
the institution (the professor will be asked for their name, surname, ID number, subject).
School year record.
The system will link with the computation date and will be able to register the year.
school through the system interface.
Non-functional requirements
These are requirements that do not directly refer to the functions.
specific provided by the system (user characteristics), but to
the properties of the system: performance, security, availability. In
simpler words, they do not talk about 'what' the system does, but about
"how" it does. Alternatively, they define system constraints such
like the capacity of input/output devices and the representation
from the data used in the system interface.
Thus, the Academic Registration and Control Information System
Notes have non-functional requirements such as:
Functionality: The system has functionality because it meets
the needs of the workers of the institution that will be the registry of
students
school year registration, modification of basic data and even consultation of
data according to search criteria.
Usability: The system has usability as it has an ease
of understanding and can be used attractively, easily, and quickly.
56
Safety: The system has security as it will be able to protect the
data from unauthorized users trying to modify data, accepting
only access to the data for those users registered correctly
previously.
Vision Document
The vision document defines the scope and objective of the system, a
clear statement of the problem, a proposed solution and the
high-level product characteristics helping to set expectations
and reduce risks.
Additionally, the Academic Registration and Grading Control Information System
this document provides a clear view of the business,
Functional and non-functional requirements among others.
Note: The vision document can be viewed in an attached document.
The IEEE 830 standard
It is focused on practical recommendations for the specification of
requirements, was developed by IEEE and IEEE-SA (Standards
Association), indicates the structure and organization of all the information that
should be included in a good requirements specification document for
software.
Risks
It is an uncertain event or uncertain condition that, if it occurs, has an effect.
positive or negative about the project.
Just like it happens in many projects, as is also the System
Academic Record and Grade Control IT Specialist in the Unit
Guayurebo Educational, which the risk is present in all
projects. It also has causes and consequences that can be
analyzed with different depth and detail.

Phase 2 Development
ER Model (Entity-Relationship Model)
The entity-relationship model is a data model that allows
represent any abstraction, perception, and knowledge in a system
of information made up of a set of objects called entities and
relationships, incorporating a visual representation known as a diagram
entity-relationship.
The Academic Registration and Grade Control Information System in the
Guayurebo Educational Unit has an Entity Relationship Model for
thus having a fundamental basis for the development of said system.
64
MERE Extended Entity Relationship Model
It is a technique whose goal is the representation and definition of
all the data that is entered, stored, transformed, and produced
within an information system, without considering the needs of
the existing technology, nor other restrictions.
This is how the Computerized System for Academic Registration and Control
notes at the Guayurebo Educational Unit have what this diagram is
represents all the entities of the system in a more complex way for
the development of the SICRA information system.
65
Class Diagram
A class diagram is a tool for communicating the design of a
program that was created to orient objects and allows modeling relationships
between different entities.
The Academic Registration and Grading Control Information System
it has an object-oriented class diagram, where it identifies
its attributes, methods, and operations.
IEEE 829 Standard
Also known as Standard 829 for documentation of
software testing, is an IEEE standard that specifies the form of a
set of documents for use in eight defined stages of testing
from the software, each stage can potentially produce its own type of
separate document. The standard specifies the format of these.
documents, but it does not specify whether all of them must be produced, nor does it
does not include any criteria for the appropriate content for these documents.
66
Phase 3 Development

and simple, this is how the administrator user will have access to all the
options of the Academic Registration and Grade Control information system
Administrator User: Access to all options
Common user: Restrictions in the Files and Settings session.
67
Manage Activity Maestro:
The system for Academic Record and Grade Control has a
interface called ACTIVITY where the user can register, modify and
eliminate the students' activities such as, Football,
Volleyball, Chess, music, among others.
This interface allows for the filling of extra student data that are
equally important for the institution as personal data of
student, representative, directions, and other activities that will follow
archived within it.
68
STAGE 4
Transition
Test Cases
It is a set of conditions or variables under which an analyst
will determine if an application, a software system is completely
satisfactory.
Many test cases can be carried out to determine that a
the requirement is completely satisfactory. With the purpose of verifying that
All the requirements of an application are reviewed, there must be at least one.
test case for each requirement unless a requirement has
secondary requirements. In that case, each secondary requirement must have
at least one test case. Some methodologies like RUP
They recommend creating at least two test cases for each requirement.
One of them must pass the positive test of the requirements and the other must
take the negative test.
69
Now the Academic Registration and Control Computer System
notes at the Guayurebo Educational Unit comply with the processes of
tests that allow to verify that the SICRA computer system works
correctly.

CHAPTER V.
PRODUCT DESCRIPTION AND SOCIAL-ENVIRONMENTAL BENEFITS
System Description
The academic control and registration computer system (SICRA) is a
system that allows educational institutions to carry out an organized
summary of the academic reports of the students, allowing
administrative staff greater ease and security when generating
a report card for those students. Likewise, the system has
varied personal information of the students which allows for tracking a
tracking by year and section
Likewise, the system prevents a paperwork problem from arising.
what could be damaged, lost, or misplaced that could end with
an evident loss of control of data that is important for each student.
That is why the system creates a user responsible for managing everything.
the necessary data to report data such as: full name, ID card
identity, address, year and section and summary of grades that will be
certified. It is important to note that the user belongs to the management staff and/or
institutional administration in question, to ensure credibility and
responsibility in handling relevant data of each individual who does
he/she was active within the institution.

Socio-environmental benefits
The Academic Registration Information System (SICRA) brings with it
some socio-environmental benefits:
Digitalized administrative record that facilitates and organizes the data of the
student in a quick, economical, and clean manner, fostering a
a more pleasant working environment for the administrator.
The work area is broader since the accumulation is avoided.

respiratory diseases and others.
74
Preservation of the environment, as it would prevent the emission of
data on paper, which is done through the logging of numerous
trees that harm ecosystems.

CONCLUSIONS AND RECOMMENDATIONS
Conclusions
The completion of this project resulted in a System
Academic Record and Grade Control Technician for the Unit
Educational Guayurebo of the State of Yaracuy, which was developed to give
solution to the problem that was presented in the institution since the
the registration process was done manually which generated
loss of information, paperwork, and even loss of work time.
According to the activities carried out, the following was reached
The institution needed a computer system to manage
the most optimal way of the student enrollment process.
It was achieved through an interview and the observation that was conducted.
