Introduction to Project Management
What is a Project?
You are probably dealing with projects every day, some you
recognizes as such, others not so much. In the company where you work, perhaps.
be involved in the Branch Expansion Project or in the Modernization Project
from the IT department, or perhaps you are preparing a presentation for the
meeting with the board or even developing a user manual for a
new system. All these examples are of projects, which can be defined
as unique tasks with the objective of delivering something, within a defined deadline,
that is, continuous (processes), as they happen for an indefinite period and are tasks
repetitive.
A good example to clarify the definition of a project is the construction of a
house. The construction has a beginning, middle, and end, meaning it is temporary. Furthermore, it is a
unique project and delivers something unique. Perhaps you are wondering: 'but I
I can build another identical house,
next to each other." Well, by building another identical house, you will be
in another place, in another time, perhaps with different resources,
In summary, other conditions that generate different variables during execution.
of the project, requiring the development of a specific plan for this new
construction.
Processes differ from projects because they are repetitive. Think, for example,
in an automotive assembly plant, there is a production line, in
a specific location, where the variables are controlled and all tasks are
repetitive, that is, it is not a project.
Every project is an effort to achieve a goal, where you will need
resources that can be people or equipment, in this way, work will be
carried out in order to achieve an expected result. For that, it is essential the
development of a preliminary planning and control during execution.
The key to success
For your projects to be successful, they need to be delivered on time.

all types of projects, as it is possible to control deadlines, set
restrictions, assign resources to tasks and manage project costs, all of this from
quite automated form.

Introduction to Microsoft Project 2016
Project 2016
Microsoft Project 2016 is well known for its Gantt Chart, which
it is nothing more than bars, whose horizontal length represents the duration of the
tasks they are related to. These bars may still be connected by
arrows that represent the links between them (we will see more about links later).
Although the Gantt Chart attracts a lot of attention, Microsoft Project 2016 will
far beyond that, with it we can:
1. Create schedules with a good level of detail;
2. Manage tasks, costs, work, and resources;
3. Work with the data from your schedule in various views and
reports Control and manage your schedule during the existence of
project. And much more...
Microsoft Project 2016 is a paid software, just like Word, Excel,
PowerPoint, etc. However, if you or your company have not yet acquired a version,
can youdownload a trial version for 30 daysall functionalities
available. However, if you or your company decide to purchase the software, the
Microsoft has monthly subscription plans, which are around R$ 120, with
availability of installation on up to 5 different computers, in addition to the version of
Project Online, which can be accessed through your internet browser.

The data used
To go through the steps to create a project from scratch in Microsoft Project.
2016, we will use a sample project developed to be very educational
and facilitate your learning. The project in question refers to a renovation
residential, where all the wiring in the house will be replaced and the painting will also be redone
internal. The basic structure of this project is shown below.

Stages of Project Creation
Duration of tasks
The duration of a task represents the expected time to complete it. OProject
can work with task durations ranging from minutes to months.
Depending on the scope of your plan, you will likely want to work with
task durations on the scale of hours, days, and weeks.
When entering the durations of tasks, you can use abbreviations, as per
the following table:
Abbreviation that you can How it will be displayed It means
to type
30m 30 mins 30 minutes
6 hours 6 hrs 6 hours
4d 4 days 4 days
3s 3 sems 3 weeks
2me 2 months 2 months
Project frameworks
Project milestones are significant events to be achieved (such as completion
of a work phase). Since the milestone itself does not include any
In work, milestones are represented as tasks with zero duration.
Summary of tasks
The creation of summary tasks is intended for the project's plan to be structured in
topics. It is very practical to organize related task groups into a structure
of topics, using summary tasks. When summary tasks are put in
over time, the higher level summary tasks are
called phases. A topic structure is created by indenting the tasks to
to the left and to the right. InProject, the tasks are retreated below the task
summaries are referred to as subtasks.

Task dependencies with links
Whenever tasks are linked, relationships are created between them, these relationships
are called dependencies, for example: "the start of this task depends on
"end of a previous task." When we create dependencies between the tasks (or
links) orProject can automatically adjust the scheduling of tasks
linked, when changes occur in the plan. The use of dependencies by
The connection between tasks is essential to get the most out of
scheduling mechanism of theProject.
In the case of our example project, during the electrical installation service, it is not
it is possible to run the new wiring without first removing the old wiring, these two tasks.
NoProject, the first task 'remove the wiring' is called the predecessor, because
precede the tasks that depend on it. The second task "pass the new wiring" is
called successor, because it succeeds the tasks on which it is dependent.
OProject works with four types of relationships with each other, see the table below.

Latency between tasks
You can adjust the dependency relationship between the predecessor tasks and
successors with latency advance times. For example, it is possible to define a
a delay of two days between the end of a predecessor task and the beginning of its task
successor.
Working with Resources
Microsoft Project supports three types of resources: work, cost, and materials.
Work resources include the people and equipment necessary to complete
the tasks of a project plan.
Material resources are consumable items that you use as
the project is underway. For example, a construction project perhaps
precisely control the steel or concrete as it is used throughout the project.
Cost resources represent a financial cost associated with a task.
to which you need to account. Examples include categories of
expenses such as travel, entertainment, and so on.
Effective resource management is one of the greatest advantages of using the
Project. It is not mandatory to configure resources and assign them to tasks in Project,
Meanwhile, without this information, you may be less efficient in managing
your project. Setting up resource information in Project requires a bit of
effort, but the time will be well spent if the project wants to follow guidelines of
cost and deadline.

Maximum capacity of resources
The maximum workloads, which are in the resource spreadsheet, represent the
maximum capacity of a resource to perform the tasks assigned to it (this
the field is filled out for resources of the work type). Specify that a resource

The project will alert with an indicator and formatting in red, if you assign the
resources more than he can execute at 100% of the maximum units
In other words, if the resource becomes overallocated). The default value is 100% for
maximum units for new resources.
Remuneration of resources
Almost all projects have some financial aspect, the control and management
the cost information of the Project allows the project manager to respond
A crucial question: based on the duration of tasks and resource assignments,

work. When a work resource has a standard remuneration inserted and

work resource, with a standard rate of R$ 20.00/hour, should be assigned to the task,
the cost to carry out this task will be R$ 480.00, that is, 3 days x 8h/day equals
24 hours, multiplied by R$ 20.00/hour, gives us R$ 480.00.

The baseline of your project
After developing a plan, one of the most important activities of a
The project manager is to record the actual values and evaluate the project's performance.
When you record the actual values or update your plan, the original plan
It probably changes. This makes it difficult to keep track of the plan in its original state.
To correctly assess the project's performance, it is helpful to compare it to its
original plan. This original plan is called baseline plan or simply
baseline.
A baseline is a set of important values for schedule, cost, and
work, including some values divided over time.
