CHAPTER 3: MAIL MERGE IN WORD
1. Define mail merge & its elements in details.
Ans. Mail merge is a powerful tool used to create letters, emails,
labels, or envelopes, by merging a list of names and addresses to a
single letter that can be sent to different people.
Elements of Mail Merge:
I. Main document: It is the letter containing the information.
II. Data Source: It contains the contact information of the recipients
required to send a mail.
III. Merged Document: It is the final letter that is to be sent. It is a
combination of the main document and data source.
2. What are the advantages of Mail Merge?
Ans.
I. Each document can be personalized.
II. It reduces errors.
III. It saves time and money, as you can send many letters at once without
extra cost.
IV. Editing the letter is also simple—any change made in the main letter
will be applied to all the letters for other people.
3. What are the steps of Mail Merge?
Ans.
I. Creating a Main Document.
II. Creating a Data Source.
III. Inserting merge fields.
IV. Merging the Data source with the Main Document to create individual
letters.
4. Write the steps to create the main document and data source.
Ans. Main Document: It contains the common text and formatting
elements such as the body of the letter. The steps for creating the
Main Document:
I. Open Word.
II. Go to Mailings tab > Start Mail Merge > Letters.
III. Type your common letter content and save the document.
Data Source: It is the list of the recipients who will receive the letter.
The steps for creating the data source:
I. Go to Mailings tab > Select Recipients.
II. Choose Type a New List.
III. (Optional) Click Customize Columns to adjust fields.
IV. Enter recipient details (like name, address). Use "New Entry" for
each person.
V. Click OK.
VI. Save your address list with a name and choose a location.
5. How do you insert merged fields and finish mail merge? Write
steps for printing a merged letter.
Ans. Inserting Merged Fields:
I. Place your cursor where you want the personalized info (like a name
or address) to appear in your letter.
II. Go to Mailings tab > Insert Merge Field.
III. Select the field name (e.g., "FirstName", "Address") from your data
source. Repeat for all needed fields.
Finishing Mail Merge & Printing:
I. Go to Mailings tab > Preview Results to see how your letters will look
with real data. Use the arrows to check different letters.
II. In the Mailings tab, click Finish & Merge.
III. Choose Print Documents.
IV. In the "Merge to Printer" box, select:
a. All (to print all letters)
b. Current record (to print only the letter you're viewing)
c. From...To... (to print a specific range of letters)
V. Click OK.
