1. Introduction
The Vehicle Rental System is a web-based application created to make renting vehicles
simple and convenient for personal use. It allows users to rent cars, bikes, or scooters for
a certain period without having to visit rental offices or deal with complicated processes.
With just a few clicks, anyone can browse available vehicles, select the one they prefer,
and make a booking online.
One special feature of this system is that users can also request a driver if they do not
want to drive themselves. This makes the system more flexible, as it can serve people
who may not have a driving license, who are new to the city, or who simply prefer to
travel with a driver.
The main goal of this project is to provide individuals with an easy and reliable way to
arrange temporary transportation The system focuses on being user-friendly, fast, and
efficient, so users can save time and enjoy a stress-free rental experience. By offering a
smooth booking process, vehicle availability updates, and the option of hiring a driver,
the Vehicle Rental System makes personal travel easier, safer, and more comfortable.
2. Problem Statement
The Vehicle Rental System is designed to make it easy for people to rent vehicles for
personal use. This system is mainly for individuals who need cars, bikes, or scooters for a
short time, like for a trip, daily travel, or other personal needs. It also gives users the
choice to hire a driver if they don’t want to drive themselves.
The main aim of this project is to provide a simple and user-friendly platform where
anyone can quickly find a vehicle, check its availability, and book it without any trouble.
By moving the rental process online, it saves time, reduces stress, and makes the whole
experience smoother for customers. This is built to be easy to use, reliable, and
convenient, helping people arrange transportation in just a few steps. With features

like online booking, vehicle details, and an option for drivers, the Vehicle Rental System
is a modern way to make travel more comfortable.
3. Objective
To develop a web-based platform where customers can book vehicles for different
purposes.
To develop a user-friendly interface for both admin and customer modules.
4. Methodology
a. Requirements Identification
Study of Existing System
To develop a web-based vehicle rental system, it is important to study existing rental
platforms and websites to collect ideas and references that can help in creating an
efficient, user-friendly solution. Below are some examples:
Sajilo Rent a Car:
Sajilo Rent a Car is a popular vehicle rental service in Nepal. It offers different types of
vehicles like cars, jeeps, and vans for both short and long trips. Customers can book
vehicles online or by phone. They also provide drivers along with vehicles for people
who don’t want to drive themselves. The system mainly focuses on easy booking and
flexible packages but lacks advanced online payment features.
Nepal Vehicle Rental Pvt. Ltd:
This company provides cars, jeep, and bus rentals mainly for tourists. The booking is
usually done through calls or emails, and the website gives only basic information. While
it helps with renting, the lack of a complete online system makes the process slow and
less convenient. This shows the need for a full web-based solution in Nepal.
Self-Drive Nepal:
Self-Drive Nepal focuses on self-drive car rentals and provides helpful features such as
roadside assistance, unlimited kilometers, and flexible booking options. These features
make the rental process convenient for customers. On the downside, the platform requires

a high security deposit, which can make it less appealing for casual users or students who
want short-term rentals
Namaste Motorbike:
Namaste Motorbike specializes in premium motorcycles and offers guided adventure tours
in places like Mustang and Manang. This makes it ideal for tourists seeking unique and
adventurous experiences. However, it is not very suitable for everyday users who simply
need a car for city travel or daily commuting. self-drive options in our system.
Literature Review
Acharya and Sharma (2020) developed an online vehicle rental system that enabled users
to book cars and bikes conveniently through a web interface. Their study highlighted the
importance of real-time availability updates, ensuring that users could see which vehicles
were currently available, reducing conflicts and overbooking. The system also
incorporated secure payment options, which enhanced user confidence in online
transactions. While their platform improved the efficiency of the booking process and
provided a seamless user experience, it had limitations in vehicle management and
reporting, meaning that administrative functions such as generating detailed usage reports
or managing large fleets were not fully developed, leaving room for improvement in
system scalability and management efficiency. [1]
Shrestha and Koirala (2019) conducted an analysis of web-based car rental services in
Nepal, focusing on the usability and flexibility of booking interfaces. Their research
emphasized that a user-friendly interface is critical to attracting and retaining customers,
particularly in online platforms where competition is high. They also stressed the need for
flexible booking options, such as varying rental durations, vehicle types, and optional
services like drivers. Their study found that many existing platforms offered only basic
booking functionalities without the capacity to handle large numbers of users or vehicles,
highlighting a gap in scalability and advanced administrative tools necessary for efficient
fleet management. [2]
Pandey and Rai (2021) explored the integration of secure payment gateways in vehicle
rental platforms, demonstrating that safe and convenient payment processing is a major
factor in enhancing user trust and encouraging repeated usage. Their work pointed out
that in developing countries like Nepal, adoption of online payments is still growing, and

users are often hesitant to complete transactions online without reliable security measures.
By implementing secure payment mechanisms, rental platforms can significantly reduce
transaction risks and increase customer confidence, which in turn can improve overall
business performance and user satisfaction. [3]
Joshi and Thapa (2020) focused on user interface (UI) design for web-based rental
applications. Their study revealed that intuitive navigation, clear instructions, and mobile
responsiveness are key factors in improving the user experience. A well-designed
interface minimizes user errors during the booking process and ensures that customers
can complete reservations quickly and efficiently. They also highlighted that mobile
compatibility is particularly important, given the increasing use of smartphones for online
services, ensuring accessibility for a broader audience. [4]
Ghimire and Adhikari (2018) investigated inventory management and vehicle tracking in
online rental systems. Their research demonstrated that accurate record-keeping and real-
time tracking of vehicle availability are essential to prevent overbooking, reduce
operational inefficiencies, and optimize resource utilization. They emphasized that
efficient inventory management enables administrators to monitor the fleet effectively,
schedule maintenance appropriately, and provide reliable availability information to
customers. Their findings underscore the importance of integrating robust management
tools within online rental platforms to maintain operational efficiency. [5]
i. Requirement Collection
Functional Requirement
The functional requirements describe the main features and actions that the vehicle
rental system should provide. These are essential for making the system easy to use
for both customers and administrators, ensuring smooth operations from booking to
payments and management.
a. User Account Management: Both customers and the admin will be able to create
accounts and log in using a username and password. Registration will ensure that
every user has a unique account, while login will allow access to features based on
their role. Customers will be able to browse vehicles, make reservations, and pay
bills, while the admin will manage vehicles, users, and generate reports. This will
ensure security and controlled access to sensitive information.

b. Vehicle Information and Management: Customers will be able to search for
vehicles using filters such as type, brand, location, or availability. Once a vehicle
is selected, they will view full details including specifications, features, rental
price, photos, and availability. Combining search, selection, and detailed viewing
will help customers make informed decisions quickly and will reduce booking
errors.
c. Reservation: Customers will be able to reserve a chosen vehicle for specific dates
and times. This will guarantee availability during the rental period and will
prevent double bookings, giving customers confidence that their vehicle will be
ready when needed.
d. Payment and Financial Reporting: Customers will pay for their rentals through
secure methods like credit/debit cards, mobile banking, or e-wallets. The admin
will generate payment reports showing rental history, payments made, and
outstanding bills. Together, these functions will ensure smooth, secure, and
transparent financial transactions.

Non-Functional Requirement
a. Performance:
The vehicle rental system will respond quickly when users search for vehicles or
make reservations. It will be able to handle many users and bookings simultaneously
without slowing down. As the number of users and vehicles increases, the system will
scale efficiently to manage the extra load.
b. Reliability:
The system will be available most of the time, with minimal downtime for unexpected
issues. It will include backup and recovery mechanisms to protect user data and
ensure the system will continue running even if problems occur. Since the system will

not have a maintenance phase, reliability features will be incorporated from the
beginning.
c. Usability:
The system will offer an intuitive interface so that users will be able to navigate
easily, make bookings, and complete payments without confusion.
b. Feasibility Study
Technical Feasibility
Technical feasibility will examine whether the project can be developed successfully
using the available technologies and resources. The Vehicle Rental System will use
HTML, CSS, and JavaScript for the front-end, which will make the interface interactive,
visually appealing, and easy for users to navigate. PHP will handle all server-side
processing, such as managing bookings, payments, and user accounts, while MySQL will
store all data about vehicles, users, and transactions securely. These technologies will be
reliable, widely used, and well-suited for building a dynamic web application. The
development team will have the required skills to implement them effectively, which will
ensure that building the Vehicle Rental System will be technically feasible and can be
completed without major obstacles.
Operational Feasibility
Operational feasibility will assess whether the system will function smoothly in a real-
world environment and meet the needs of users. The Vehicle Rental System will be
designed to be user-friendly so that customers will be able to search for vehicles, make
reservations, and complete payments without confusion. At the same time, administrators
will be able to manage vehicles, users, and rental records efficiently. The system will be
built to handle daily operations reliably, ensuring that users will experience minimal
errors and delays. Because of its clear design and straightforward features, the Vehicle
Rental System is expected to be well-accepted and useful in everyday operations for both
staff and customers.
Economic Feasibility
Economic feasibility will evaluate whether developing and maintaining the system will be
cost-effective. Using HTML, CSS, JavaScript, PHP, and MySQL will keep development

and maintenance costs reasonable while ensuring that the system will be reliable,
scalable, and efficient. The Vehicle Rental System will reduce manual effort, will save
time, and will make the booking and management process faster and easier. It will also
have the potential to improve customer satisfaction and attract more users, which will
increase revenue for the business. Overall, the benefits of the system, such as efficiency,
improved service, and cost savings, will outweigh the costs, making the Vehicle Rental
System economically feasible.
c. High level Design of system
Methodology of the proposed system
The first step in developing the Vehicle Rental System involves requirement analysis,
where the needs of potential users and stakeholders are gathered and studied. This helps
identify key features such as vehicle booking, driver requests, payment processing, and
user management. By examining existing rental platforms, the strengths and weaknesses
of current systems are understood, which guides the definition of both functional and non-
functional requirements for the proposed system.
Once the requirements are clear, the system design phase begins. This includes creating
the overall architecture, planning the database structure, and designing the user interface.
Tools such as ER diagrams, flowcharts, and data flow diagrams (DFDs) are used to
represent the system visually, ensuring it can handle multiple users, manage vehicle
inventory efficiently, and process payments securely.
During the implementation phase, the system is developed using a combination of
technologies. The front-end is interactive and responsive, enabling customers to browse,
search, and book vehicles easily. The backend manages data, handles user authentication,
and processes payments, while the database securely stores information about vehicles,
users, bookings, and transactions.
After development, the system undergoes testing to ensure proper functionality,
reliability, and user satisfaction. Various testing methods, including functional, usability,
and performance testing, are applied to detect and fix bugs and confirm that the system
meets all requirements.

Finally, the system is deployed and maintained in a live environment. Regular
maintenance ensures that the system runs smoothly, performance remains optimal, and
any issues are resolved promptly, keeping the service reliable for all users.

5. Expected Outcomes
The expected outcomes of Vehicle Rental System focus on improving user experience,
operational efficiency, and overall business performance. Some key outcomes include:
a. Efficient Booking Process: Customers will be able to search for available vehicles,
compare options, make reservations, and manage their bookings online without any
confusion. The system will reduce paperwork and manual effort, making the whole
booking process faster, smoother, and more convenient for everyone.
b. User Management: The system will provide accounts for customers and
administrators with different levels of access. Customers will be able to create and
update profiles, check their booking history, and manage personal information easily.
Administrators will be able to manage user accounts efficiently, ensuring smooth
operation of the system.
c. Vehicle Management: The system will manage all vehicles effectively, keeping track
of their types, models, locations, and availability. This will prevent overbooking,
ensure that vehicles are used efficiently, and make it easier for administrators to
allocate resources.
d. Customer Experience: With a simple, intuitive, and friendly interface, Vehicle
Rental System will provide customers with smooth and enjoyable experience. The

combination of easy navigation, helpful features, and fast responses will improve
satisfaction and encourage repeat use.
