Planning

1. Project Scoping and Goal Definition


- Project scoping is all about making the things that need to be accomplished crystal
clear and straightforward; and it helps in eliminating all kinds of guessing and
uncertainty. It is informative not only to the participants in the project but to everyone
and makes it easier to resolve any misunderstandings. Everybody on the team is
conscious of what they should concentrate on, and no new tasks are inserted in the
project unless they are authorized in advance.
- Goal is the process of setting unmistakable, specific objectives for the project. To keep
your objectives smart, start by Categorizing them into Specific, Measurable,
Achievable, Relevant, and Time-bound. For instance, given that the goal of a project
is to increase a company's followers on social media, one of the well-defined strategies
can be: "Let the Instagram follower count be increase by 15% over the next three
months." This gives a relatively low goal and, therefore, a clear indication of the
success of the project.
2. Resource Planning
- Resource planning is a technique wherein the identification of the people, tools,
materials, and financial resources needed for a project and the allocation of them are
handled with the greatest skill. It involves finding resources, allocating them to
particular tasks, scheduling them to be available when needed, and monitoring their
use during the project. Efficient resource management guarantees the resource is
being used to the best, and any problems are fixed instantly so the project can be done
on time, within budget, and without any delay.
Organizing

1. Defining Organizational Structure


- Organizational structure of a company is the way in which it is organized, including
the triangle, the function holders and their tasks. It includes reports that state how the
duties are assigned, and how various groups or departments interact. Every person in
the business should be able to understand their work tasks, the route the work passes
through the company to get to a manager, and the communication paths needed by
the people in the organization if they have a clear, functional structure. This type of
structure can be modified to some degree to better suit the organization's convertible
culture and scale. The reason why this is so-formation of a company in its path to
achieving the success it decides on and running a business smoothly does so by
acknowledging the need for clear organizational structure.
2. Role and Responsibility Allocation
- The delegation between departments and the different employees in an organization
is the process of giving distinct duties and responsibilities to individuals or groups
within an organization is known as role and responsibility allocation. It is the first
step to ensuring that all persons involved in a project or task are made aware of their
responsibilities and the persons who are accountable for what. The setting of rules
and responsibilities cancels the negative influence of doubts, effort duplication, and
fulfilling all essential work. Other than that, it also strengthens the relationship between
individuals as they know their own roles in the organization and are accountable for
others doing their parts based on their given roles.
3. Creating Workflows and Processes
- One of the essential steps in creating processes and workflows is to define a list of
activities or stages for employees to follow in order to do tasks quickly. Workflows are
the method of which the work is done by who and when by showing the transferring of
tasks from one person or department to another. Processes are the prerequisites or
procedures which are the standardizing of task execution. Organized workflows and
processes with well-defined steps or phases not only streamline workflow but also
bring about the savings of time, reduction of mistakes, and making sure that each job
is dealt with in the appropriate way. Then, it is straightforward for everybody to find out
what to do and what they should do after that.
