WEEKLY REFLECTIVE JOURNAL

Each week the student intern will be required to submit to the Onsite Manager and then
the Faculty Supervisor a typed weekly activity report (log) summarizing his/her daily
activities. This report should be a clear, concise, and accurate account of the types of activities
the intern participated in and/or observed.

During the week, interns should make notes of their observations, thoughts, questions,
and feelings. At the end of five working days, interns should type their daily observations
being certain to leave out any names, situations, or activities that are confidential. The typed
weekly activity report should be submitted to the onsite manager for his/her approval and
then forwarded to the faculty supervisor. It is the intern’s responsibility to make sure weekly
reports are forwarded to the faculty supervisor (Moodle). Weekly reports must be typed and a
hard copy to be submitted to supervising faculty at the end of the internship.

Week Number 1: Dates: From 21/7/2025 to 25/7/2025 and Hours: 8 Hours per day

Monday: At the beginning of the week, I assisted in checking the status of several
overdue POs in the SAP system. My task was to follow up with both users and suppliers to
determine the cause of the delay. In some cases, users had received the goods but forgot to
confirm receipt in the system. In the afternoon, I worked with my supervisor to resolve two
payment issues where delivery notes were missing or unsigned.

Tuesday: I was given more responsibility today in handling PRs and POs. Specifically, I
was assigned to handle multiple Capex requests from different departments. I reviewed
material codes, checked supplier quotes, and followed up with users to clarify incomplete
descriptions. In addition, I learned how to apply delivery terms (like Incoterms) into the
PO form and double-check tax codes for each item.

Wednesday: Today, I helped organize and categorize supplier quotations by product


groups (IT, stationery, spare parts). This is part of a project to streamline the vendor
selection process. I also supported my teammate in preparing two payment files for Apex
items, ensuring inclusion of customs documents for imported goods. This gave me more
exposure to documentation differences between local and imported procurement.

Thursday: In the morning, I assisted in performing a mini internal audit on pending PRs
that were over 30 days. I flagged outdated requests and followed up with respective users
to confirm if the PRs were still valid. For those no longer needed, I learned how to cancel
the PRs in SAP properly to avoid unnecessary. In the afternoon, I helped update a supplier
master file and entered two new suppliers into the system with guidance. I also added
updated contact information for an existing vendor after confirming it via email.

Friday: On Friday, I compiled a weekly procurement activity report summarizing the


number of PRs processed, POs issued, payments submitted, and any outstanding issues.
